5 2 Processing Inbound with SAP Dock Scheduling You use this process to plan the receipt of goods from external vendors. You want to optimize the capacity utilization of your inbound docks. Therefore the carriers who deliver the products reserve time slots in a Web Dynpro application at least one day before the truck arrives at the warehouse. The carriers add a reference to the purchase order of the goods they want to deliver. The system determines the required number of time slots and the loading point from the purchase order data. This reservation creates a loading appointment in SAP Dock Scheduling. When the truck arrives at the warehouse, you check if an appointment exists for the truck. Then, in SAP Extended Warehouse Management (SAP EWM), you assign the truck to a door of the loading point. After unloading, the truck leaves the door and the warehouse. You move the goods to the final bin. Finally, you can analyze the punctuality of your carriers. Note SAP Dock Scheduling runs in SAP NetWeaver Business Client only. The following figure illustrates the correlation between the physical process and the manual or automatic activities in the system, and is followed by an explanation: Figure 1 Processing Inbound with SAP Dock Scheduling All rights reserved. 5

6 Figure 2 When a carrier receives the information about a delivery and its delivery date, the appointment planner for carrier logs on to SAP Dock Scheduling. The appointment planner for carrier creates an appointment, using the web access application, for the delivery date. He or she enters the docking location of the warehouse. He or she enters the purchase order as a reference document. The system automatically determines the loading point, the required duration of the appointment, and the number of time slots necessary to make up the required duration from the purchase order data. The carrier selects an appropriate start time slot. At least one day before the delivery date, the warehouse clerk checks the planned appointments for next day and verifies that there is sufficient capacity for unloading the planned trucks at the loading point. If necessary, the warehouse clerk calls a carrier to reschedule an appointment or enlarges the available workforce in the warehouse. When a truck arrives, the driver informs the checkpoint clerk of the appointment number. The checkpoint clerk searches for the appointment in SAP Dock Scheduling, using the appointment number, and sets the status to Arrived at Checkpoint. The checkpoint clerk searches for a free door in SAP EWM, creates a planned door activity, and directs the truck to the door. The truck driver brings the delivery note to the Goods Receipt (GR) office. A GR office clerk finds the corresponding inbound delivery in SAP EWM. A warehouse worker confirms the truck s arrival at the door and unloads the truck. A warehouse clerk checks the goods against the delivery note and takes the revised delivery note to the GR office. The GR office clerk posts the GR. Upon GR posting, the system automatically creates and prints warehouse orders (WOs) for the inbound delivery to move the goods into the warehouse. The truck leaves the door and a warehouse clerk sets the status to Departure from Door. The truck drives to the checkpoint. The checkpoint clerk searches for the appointment in SAP Dock Scheduling, using the appointment number, and sets the status to Departed from Checkpoint. The warehouse worker moves the goods from the GR area into the warehouse. The goods are then moved to their destination storage types. At the end of the week or the month, the warehouse clerk selects all the appointments of the last week or month in the Analyze s screen. There, the warehouse clerk analyzes the waiting and processing times and the differences between planned times and the actual times. The warehouse clerk determines how many trucks arrived on time and if processing time corresponds with the planned times. Note For more information about the warehouse internal processes, see the business process Inbound Process Without Packing Information (Manual GR) [external document]. 7 Prerequisites There are purchase orders for the inbound delivery in SAP ERP. The corresponding inbound deliveries exist in SAP ERP and SAP EWM. In SAP Dock Scheduling, slots exist for a loading point. The integration between SAP Dock Scheduling and the SAP ERP system of the purchase order is configured The configuration for the loading point determination and the appointment duration determination has been done An employee in the carrier s office has the role Planner for Carrier in Dock Scheduling (/SCWM/DAS_EXT_CARR_PLANNER) and an external user, and has access to SAP Dock Scheduling. Note SAP Dock Scheduling offers multiple ways to collaborate with carriers, based on the technologies Web Dynpro and SAPUI5. These ways offer differing levels of security. The configuration described here is for SAP Dock Scheduling using the Web Dynpro-based user interface for external carrier access. If you are using different user interfaces and system setup, you might require further configuration. For more information, see SAP Note For more information about the configuration prerequisites, see Configuration of Processing Inbound with SAP Dock Scheduling [page 13]. Process The business process runs in SAP EWM as follows: 1. Create inbound delivery order (SAP EWM). After the creation of a purchase order and an inbound delivery in SAP ERP, the system creates inbound delivery orders in SAP EWM. 2. Book a loading appointment (SAP Dock Scheduling). The vendor of the inbound delivery informs the carrier about a delivery and its related purchase order, and provides a delivery date to transport goods to the warehouse. The appointment planner for carrier logs on to SAP Dock Scheduling to book an appointment for the delivery date. He or she enters the purchase order as a reference document for the appointment. The system determines the loading point and required number of time slots from the reference document. The appointment planner for carrier gets an overview of the free capacity for the determined loading point and the required number of time slots. He or she books the appointment that fits best with the expected delivery date, as follows: If the slots at the point of time when the truck can arrive at the loading point have free capacity, the appointment planner for carrier books an appointment for these slots. If there is no free capacity in the slots when the truck can arrive at the loading point, the appointment planner for carrier books a start time slot near the perfect slot. 3. Check planned appointments (SAP Dock Scheduling). s are planned in parallel by external and internal users, so the capacity situation must be checked before each day. A warehouse clerk checks the planned appointments of a loading point for the delivery date. If there are too many planned appointments for the available capacity, the warehouse clerk negotiates some changes with a carrier. 4. A truck arrives at the checkpoint and drives to the door. A truck arrives at the checkpoint and the driver informs the checkpoint clerk of the appointment number. The checkpoint clerk finds the appointment in SAP Dock Scheduling using the appointment number and confirms the arrival at checkpoint. The system creates a transportation unit (TU) in SAP EWM. The system uses the appointment number as the external number of the TU. The checkpoint clerk assigns the TU to a door. If the door is free, the truck drives directly to the door. If the door is occupied, the truck drives to a parking lot and waits until the door is free. Processing Inbound with SAP Dock Scheduling All rights reserved. 7

8 5. The truck arrives at the door (SAP EWM). The truck arrives at the door for unloading. The warehouse clerk confirms the arrival at door. The system communicates the status update to the appointment in SAP Dock Scheduling. The system sets the status to Arrived at Dock in SAP Dock Scheduling. 6. Check the delivery note and find the inbound delivery (SAP EWM). The truck driver brings the delivery note to the GR office where a GR office clerk finds the inbound delivery in the system. 7. Unload the truck and check the goods. A warehouse worker unloads the truck. A warehouse clerk checks the package information against the delivery note. The warehouse clerk takes the delivery note to the GR office. This step is not carried out in the system. 8. Post the goods receipt and create the putaway WOs (SAP EWM). The GR office clerk posts the GR. The system sends the GR to SAP ERP. When the GR is posted, the system automatically creates warehouse tasks (WTs) 9. The truck leaves the door (SAP EWM). A warehouse clerk confirms the departure from the door. The system communicates the status update to the appointment in SAP Dock Scheduling. 10. The truck leaves the warehouse (SAP Dock Scheduling). A checkpoint clerk confirms the departure of the truck by setting the status of the appointment to Departed from Checkpoint in SAP Dock Scheduling. The system communicates the status update to the TU in SAP EWM. 11. Put away the goods (SAP EWM). The warehouse worker takes both printouts of the WOs from the GR office. The warehouse worker goes to the GR area to identify the goods. The warehouse worker attaches one WO printout to the goods, and moves them to the destination bin. At the end of putaway execution, a warehouse clerk confirms the putaway WOs in the system. 12. Analyze the loading appointments (SAP Dock Scheduling). At the end of the week or the month, the warehouse clerk selects all the appointments of the last week or month in the Analyze s screen. There, the warehouse clerk analyzes the waiting and processing times and the differences between planned times and actual times. The warehouse clerk determines how many trucks arrived on time and if processing times correspond with the planned times.
