1 Popcorn 2012 Welcome Thank you for your commitment as a Unit Kernel for the 2012 Fall Popcorn Sale. As a Unit Kernel, you play an important role for the youth in your unit by helping them learn how to pay their own way while working to provide your unit the support needed to have an amazing program in the upcoming year. We have made a few additions to this year s program so please read this information thoroughly. 2 Role of the Unit Popcorn Kernel 1. Attend District Popcorn Rally & Training and encourage other members of your unit to attend. See calendar for dates and locations. 2. Gather a committee of parent helpers or den leaders to help with unit kickoff, storefront sales supervision, popcorn pickup or blasts. 3. Host unit kickoff rally immediately following Chairman s Rally & Training. At the unit kickoff: Have a party, make it fun and keep the business short! Incorporate the Powered by Popcorn Theme! Provide snacks. Have a poster display contest or achievement/advancement activity. Communicate unit sales goal and incentives for top selling Scouts! Distribute family sales guides and order forms. Promote the $600 club and online sales venue. Role-play and discuss sales techniques, money collection, safety tips and key dates to remember. Get boys excited about all four sales methods Coach participating Scouts on how to approach potential customers and sell, sell, sell! 4. Give leadership to den leaders and families to achieve unit sales goal by weekly follow up and blasts. Promote the weekly filled it up drawings and Mystery House hunts and submit entries by Friday mornings at 10:00 a.m. 5. Make arrangements to pick up shownsell popcorn on October 4 th, verify popcorn inventory and distribute products to Scouts for selling. 6. Collect storefront sales money and submit to council at the end of each weekend s sale. 7. Promote sales throughout the duration of the campaign until November 6th. Have a mid- October rally or Poptoberfest! 8. By November 6 th, Collect take order forms from all the Den leaders and Scouts. Use any left over shownsell product to fill take orders. Tabulate and submit your Unit Take Order online via no later than November 6 th at noon. Return unsold products. 9. Submit the prize selections online by November 6 th. Submit $1500 Club and Scholarship forms electronically to the Aloha Council on time. 10. Turn in a post-dated check for 70% of all monies due and make arrangements for Popcorn pickup on December 1st. 11. Collect final monies from leaders and Scouts and turn in to Aloha Council by December 19 th. 12. Recognize dens, and scouts with outstanding sales. 2
3 The Sale: Big Beginnings to the Exceptional End The popcorn sale can be broken into three easy to manage phases: the pre-sale preparation, the show & sell / show & deliver Phase, and the closeout. Pre-sale Preparation The pre-sale involves making sure that your unit is ready and excited about the sale. The period of the pre-sale is from August 1st through October 6th and during this time you will want to: Attend one of the unit kernel trainings: At the District Kickoffs or at Council September 8 th & 19 th from 9:00a-10:00a Meet with your unit committee to recruit other parents to help you Plan and hold a kickoff for your Unit to get the boys excited about selling Distribute Take Order forms to Scouts to visit neighbors, friends, & family and encourage early sales Make sure to sign up for storefront selling locations organized by council Place your order (show & sell/show & deliver) Show & Sell / Show & Deliver Phase This phase is all about getting your unit out into your community with: store front sales, door to door sales WITH product, door to door with the TAKE ORDER forms for later delivery, and conducting online sales. This part of the sale runs from October 6 th and continues through November 6th. Online sales end November 30 th. During this time you will want to: Plan on holding your first store front sale after you pick up your popcorn on 10/6 Have your Den or Unit Leader provide 5 minutes at every meeting to recognize your top weekly seller Coordinate shownsell locations with a recommended 2 hour rotation with 2-3 boys per rotation Regularly check your inventory to make sure you are not overstocked or close to running out (the districts can often get more popcorn from the council during the sale or arrange for transfers of product between units) Keep track of your scout s individual sales for the prize and commission programs Make on-time payments to the Council Service Center Make any allowable and necessary returns on or well before 11/6 Arrange a neighborhood blitz day during the sale to get every scout selling for 2 hours Hold an Online Sales and Create An Online Account Party for your Unit The Closeout Closing out your sale is all about making sure your unit finishes strong. To run a closeout you will want to: Take a final inventory of all your unit s available product Collect all of your scout s unfulfilled take order forms Calculate your unit s final order based on the difference between stock on hand and required stock to fulfill orders Submit your unit s final payment and prize order 3als.

5 Popcorn Kickoff Setup Etc Follow these simple steps for a successful kickoff! Have a party, make it fun and keep the business short! Incorporate the Powered by Popcorn Theme! Provide snacks. Have a poster display contest or achievement/advancement activity. Communicate unit sales goal and incentives for top selling Scouts! Communicate the Per Scout Sale Goals Distribute family sales guides and order forms and have the scouts write their goals on the Order Forms. Promote the $600 club and online sales venue. Role-play and discuss sales techniques, money collection, safety tips and key dates to remember. Get boys excited about all four sales methods Coach participating Scouts on how to approach potential customers and sell, sell, sell! Make sure you cover safety as a priority in the sale. Prizes and Commissions Prizes are one of the most significant motivators for your boys to sell popcorn. Units are encouraged to run weekly incentive promotions that allow each scout a chance to report new sales.. We also encourage you to reward your Unit s top seller at the end of the season. Many successful Units offer Unit prizes in addition to the Council and Trails-End promotions. These Unit prizes do not need to be lavish and often improve with creativity as demonstrated by a Scout s love of hitting their Leader in the face with a whipped cream pie. 6 Commission Structure Percentage Base Commission 30% Popcorn Kickoff attendance and online popcorn management trained 2% 10% Increase Over Last Year s Sale additional 3% of all dollars over last year s sale. **All Online Sales 30% Total potential 35% Prize Program Rules Prizes encourage a Scout to keep selling through each stage of the sale, and all of his sales, including online sales, count toward his prize level. Please note that there are some important things to know about prizes: Each Scout receives a 2012 patch or pin for making his first sale All gift cards promotions are upgrades unless they are listed as bonuses (i.e. A Scout who sells $250 worth of popcorn will earn a $10 gift card. As soon as that Scout s sale reaches $350, his $10 gift card then upgrades to a $15 gift card) Every boy who sells $600 will receive a $20 bonus gift card or water blaster option (while supplies last) Every boy who sells $1,500 or more will receive a $50 bonus gift card and be invited to the Top Salesman Pizza Party Every boy who sells $500 or more online, mobile or both in October will receive a $20 bonus gift card from Trails End A scout who sells 5,000 or more will receive a choice of $200 gift card or Kindle Fire. Product Return Policy Units are able to return full unopened units of any Show & Sell product other than Double Carmel Crunch with Cheese or products that contain chocolate. Returns can be made at any council office but will not be accepted any later than November 6th. All returned popcorn is a liability of the Council so we encourage you to follow a few key practices: Check on your outstanding inventory and make frequent honest assessments on your Unit s ability to sell Subscribe to a time based sales plan (i.e. we are halfway through the sale have we sold at least half of our inventory) Check in with your District Kernel or District Executive if you have an inventory challenge too much or too little popcorn can usually find a home with enough notice Work toward a zero return policy so that every dollar of popcorn revenue provides better program for our boys Communicate as early and often as possible and contact the district popcorn kernel to share with other units your direct needs to increase or decrease your Unit s inventory 6als
7 Product Selections Ordering Tips If you are new to the sale and do not know what you should order, your District Executive or Kernel can pull your Unit s order from the previous year and make recommendations Please take into account the changes in your Unit s membership: Did you increase youth membership? Did your top selling scout move to another unit? How many show & sell locations have you secured? What is your actual participation likely to be (don t count the number of families, count the number of selling families) Discern what your most popular products were from the year before. Make sure that you have as much climate controlled storage space for the full quantity of your chocolate products Resources There are a variety of excellent resources available at both our Council website and the Trails End Website which will help with your sale administration and the success of your Scouts. Some of the different resources on the sites are: Unit product and prize ordering, invoices, and sale administration: Inventory exchange bulletin board, council promotions, list signup: Virtual sale planning tools including program planner spreadsheet and more: Online sales lookup (requires a second registration): 7als
8 Distribution Locations Popcorn distribution for the Show & Sell and Take Orders will be at the US Coast Guard Station on Sand Island Access Road. (subject to change) Delivery Dates are October 6 th and December 1 st. Non-military families will need to provide Driver and Vehicle information. Please Joan.Greer@scouting.org : Driver/s Name Driver/s Birthday Driver/s license number Vehicle Make Model and Color Distribution Tips Secure enough vehicles to carry your entire product. Wait until all of your drivers are at the distribution site to begin loading. Have a copy of your order with you. Packing slips will need to be signed at the site. Bring the appropriate number and types of vehicles: o Midsize car: 20 Cases o Minivan: Cases o Large SUV: 50 Cases o Pickup Truck: Cases Popcorn Glossary Chocolate Products: Any single product or collection of products that contain chocolate Family Guide: available in mid-summer the guide includes prize information, rules, and the take order form Neighborhood Blitz: a day when your unit goes out to visit an entire neighborhood with a 2 scout team per street ratio Show & Deliver: a door to door sale where the product is delivered as soon as the purchase is made Show & Sell: the part of the sale where product is sold in person after it is shown, typically in store front settings Take Order: any part of the sale where product is sold for future delivery, often door to door or office sales Unit Kickoff: a rally held to excite and train your boys, introduce prizes, and provide a fun start to the sale Unit Popcorn Payments Unit payments can be dropped off at any of our participating Scout Service Centers on Oahu, Big Island, and Guam. Kauai units should mail their payments to Aloha Council, 42 Puiwa Road, Honolulu, HI Attn: Iris Norseth Unit Payments and checks should be made out to Aloha Council BSA with district and unit number in the memo section. 10 Bonus Rewards and Scholarship Scouts who sell at least $2,500 (online, mobile, face-to-face or combination) in any calendar year receive 6% of their total sales invested in their own college scholarship account. That is $0.06 of every dollar they sell! Once Scouts are enrolled, 6% of their sales each year will be added to their account. Scouts only have to hit the $2,500 minimum one time. Online and mobile sales count! How Scouts enroll and report sales Scouts who sell $2,500 or more in a calendar year must a completed scholarship enrollment form and proof of sales to Alohapopcorn@hawaii.rr.com Scouts have to reach $2,500 only one time. Once enrolled, they must report their total sales each year. 10
