2 2014 Popcorn Sales Page 2 Dear Scout Leader, The Rocky Mountain Council, BSA coordinates an annual Popcorn Sale to provide your unit a no-risk fund raising opportunity. It is my hope this event will provide your Scouts with the essential funds needed to participate in a quality Scouting program. By participating in the popcorn sale, you will be helping your Scouts raise money, re-affirming the value of a boy learning to pay his own way, and helping him to earn the money to do it. Important Timetable August Roundtable Sale details released, brochures arriving in Scouts' homes, KEEP IT SIMPLE SALE! Turn in your popcorn sale commitment form as soon as possible so Your Trail s End account can be set up! August 1 Trails End Popcorn Sales Begin!!! - Begin as soon as order forms arrive in the mail or as soon as you get them at your unit kickoff! 6 COMMISSIONS 2014 POPCORN SALE UNIT COMMISSION SCHEDULE Page 6 Scouts can earn enough money to pay for their entire Scouting year by selling popcorn. That s just one of the reasons we sell popcorn. The council sponsors the popcorn sale to provide Scouts a no-risk alternative to other types of sales. Scouts get exactly enough popcorn to fill their orders with nothing leftover but profit. The Scouts learn to pay their own way and to help others. A portion of the proceeds of the popcorn sale helps maintain our service center and summer camp operations. Units can earn up to 39 cents for every $1.00 worth of popcorn that they sell. In order for Units to be eligible to earn top commissions, the unit must complete the following key tasks: Base Commission for selling popcorn: 10% Plus additional Commission earned when unit representative/kernel attends a popcorn orientation and submits Unit Commitment Form: + 10% Plus additional Commission earned when unit places on-time popcorn and prize order to council office by October 23, % Plus additional Commission earned when unit makes on-time payment for popcorn order to council office by December 5, 2014 with one check or money order payable to RMC + 5% Total Commission with Prizes 30% WAYS TO INCREASE COMMISSION BEYOND 30% : 1. Elect "No Prizes" and turn in "No Prizes" sheet by Oct. 23, % 2. $10,000 Club - Unit exceeds $10,000 in total sales. + 1% 3. Top Unit in district, above $10,000 and on time payment. + 1% 4. Pay for your Show N Sell product order in full by Oct. 23, % 5. Complete & Submit your Unit s Recharter Packet before Dec. 5, % MAXIMUM COMMISSION 39% Helpful hint: Develop a yearly calendar and budget to help your unit raise enough funds to support your events and outings. Your unit s goal $ X 39% (0.39)=! These funds will help support your scouting program for the year!
7 PRIZES FOR YOUR SCOUTS Page 7 Youth Prizes: Participating youth earn a popcorn sales patch or pin if they sell at least $25 of product. Prize levels are available at $115 and above. Gift Certificates to the Scout Shop are available at EVERY level above $115. Please refer to the order form for the best representation of these levels and options. All online and regular sales qualify! A Scout may select ONE prize from the prize level of achievement **OR** a combination of prizes that total the level of achievement. Make sure to order your prizes by October 23, Late prize orders cannot be guaranteed. FROM THE ROCKY MOUNTAIN COUNCIL: Top Council Salesman: (One council prize to be awarded + Top District Prize) $850 Gift Check + Your Top District Salesman Prize (To qualify, individual sales must exceed $5,000) Top District Salesman (One to each district top salesman) $250 Gift Check (To qualify, sales must exceed $3,000) TAILGATE - FOOTBALL Incentive: If $1000 in total sales is reached, you and ONE adult will be invited to a tailgate party and CSU-Pueblo football game on November 15, Each $500 beyond the $1000 = 1 more ticket (see details on order form). These tickets need to be ordered by Oct. 27, FROM TRAILS END POPCORN: SCHOLARSHIP/$2,500 Popcorn Sellers 6% of a seller s gross sale will be credited to the Scout s Scholarship account for posthigh school education, Missionary fund, or clergy fund. Fill out a scholarship form immediately after the sale and turn it into your local council. All sales after qualifying one year will be credited to the scholarship account.
8 UNIT INCENTIVES Page 8 $10,000 CLUB Any unit with a minimum of $10,000 in gross sales will receive a 1% commission bonus. Bonus will be based upon total dollars sold and on-time account settlement Recipients : PACK 27 CV district $12, retail sales PACK 223 Pioneer Trails district $19, retail sales Top Unit in District The top selling unit in each district will receive a 1% commission bonus. Bonus will be based upon total dollars sold and on-time account settlement. The unit account will be credited no later than December 31st. 9 STEPS FOR SUCCESS FOR UNIT KERNELS Page 9 1. Prepare your unit s GOAL based on the Ideal Year of Scouting. Ask your Unit Commissioner and/or your District Executive for GOAL assistance. 2. Explain how to earn popcorn commissions! (See page 5) 3. Plan your campaign. From the pre-order through money collection, have the turn-in times and locations predetermined. 4. Attend the District Volunteer Popcorn Training at the August Roundtable thereby increasing your units commission. 5. Train the parents. Brief the parents on all of the incentives and benefits they will receive for supporting popcorn sales. Get them excited! 6. Plan a Popcorn Sale Blitz Day or weekend for your unit. 7. Train your Scouts. Brief them on proper sales techniques as well as public courtesies. The community will support Scouting when given the opportunity. 8. Encourage parents to use popcorn as a customer/employee holiday gift. 9. Only order what the youth pre-sold. Orders must be placed on time. 10. Order prizes at the same time as the popcorn. With the gift cards, this will be even easier this year. Submit names or forms for any other prize levels. 11. Keep accurate records. You MAY NOT return popcorn since you ordered exactly what you needed. The Scouts should be able to deliver the popcorn within a few days after pickup. If a customer refuses/resists delivery, sell it to another person. 12. Collect the money when popcorn is delivered. Schedule a turn-in party to collect money from Scouts. (You may want to have money submitted weekly). 13. Mark your calendars for delivery to the unit. Get help and the right size vehicles. 14. Deadline for sales payment is December 5, Payment must be made in full with one check or money order payable to RMC. SCOUT TIPS Always wear your Class A Uniform. Always sell in pairs, or with an adult and never sell after dark. Always act like a Scout and be polite and courteous. Wear a smile and introduce yourself. Always walk on the sidewalk and driveway, not through the yard. Watch for traffic. Remember to always have two pens with you and make sure you keep your take-order form as neat as possible. Not every house will buy, so do not become discouraged. The more people you ask the more people will buy. Keep your customer list for next year s sale. Always say, Thank you! Remember, you do not collect any money until you deliver the Popcorn, EXCEPT FOR MILITARY PRODUCT. Collect when they order! You do not deliver any product for military orders.
10 Page 10 Military Popcorn Option Consumers may choose to support our troops by ordering a $30 (Silver) or $50 (Gold) military popcorn item. Military popcorn is treated as an item and is ordered when the unit places its order. Trail s End will total all military popcorn orders and ship them to American troops. Units earn commission on military popcorn sales at the same rate as other sales. Deliveries are made overseas, stateside, to areas accepting popcorn for the military and their families. COLLECT MONEY UP FRONT FOR THIS ITEM! Product is delivered by Trail s End and RMC. RMC works with the local military bases to ensure delivery.
11 Page 11 Distribution Sites Where Do We Pickup Our Popcorn? Prior to the pickup dates, your unit will receive information (by ) on the pickup locations. All correspondence will be directed to the registered unit Popcorn Kernel. When signing up your unit for the sale, please be sure that the correct name is listed. This will ensure the correct person receives the information. Call your site coordinator if any last minute changes are required for your distribution day. Please be ready to spend at least an hour at your district s distribution site to assist others as needed. Your site coordinator will contact you with details and to schedule your pick-up time. The pickup areas will have a lot of car traffic and other hazards. Please leave all young children at home to ensure safety for all. If your unit sells over $10K, the order will be delivered to a location of your choice!
12 INCREASE YOUR SALES INVOLVE YOUR VOLUNTEER LEADERS, SCOUTS AND PARENTS: Page 12 Sales Tips Ask parents to consider popcorn as an employee holiday gift or customer Thank you at their place of business. Make a corporate sale! Popcorn is a great gift for the holidays, friends, relatives, mailman, etc. Have the unit committee set a unit popcorn sales goal with special unit incentives such as: Youth achieving goal earns double commissions Top three sellers in unit earn special prizes Top seller in den/patrol awards Advertise popcorn sales in school, church and community publications. Photocopy or keep previous order forms so you can have Scouts call on past, satisfied customers. Be creative and watch your sales (and profits) rise. Be sure to go back to customers who purchased popcorn last year. Be sure to use social media, too; with the online purchase feature you can sell to anyone and the popcorn will be delivered straight to their home! Account Settlement Tips As your Scouts collect payment, checks should be payable to the local Pack or Troop. Paying your account in full by December 5, 2014 with only one check payable to Rocky Mountain Council, increases your commission! (5%)!
13 TAKE A CASE TO WORK/CORPORATE SALES Page 13 Take a Case To Work Parents, you can help your Scout by taking an order form to work, or take a whole case to work and display them. They ll sell! Corporate Sales Get local businesses involved with Scouting through your committee leaders, Scouts and parents. Promote popcorn as a great corporate gift for customers and suppliers, or encourage businesses to keep some popcorn on-hand in the break room for employees and guests. Consider having a separate committee for corporate sales. Decisions are made between May and October for most corporations by the Human Resource Manager, Marketing Manager or Company Incentive Program Manager. Visit them as soon as possible. On-site visits with samples and Scouts in uniforms will increase sales. Have Scouts wear their full uniform to deliver product. Companies choose product first, organization second. Sell them on the product quality and 70% going back to Scouting. Although you might be aiming at the holiday gift-giving programs, companies have reward and incentive programs year around for safety awareness, good attendance, service anniversaries and business referrals. Focus on companies who give out a lot of holiday gifts to all of their customers: banks, insurance agents, car dealers, doctors, dentists, cable companies, etc.
14 ORDERING/SHIPPING INFORMATION Page 14 Order Deadline: Deadline for all orders is October 23rd. No Exceptions, the Master order needs to be placed and the truck needs to leave the distribution center to guarantee on-time delivery for all units. All orders are to be made by the Kernel online at Popcorn Pickup: After your order is placed, you will receive a reminder related to product pickup and confirmation of your location. Questions on pickup? Call your District Popcorn Kernel (see phone numbers on page 4) or the staff advisor. Please do not call the pickup location directly; they will not have the specific information. The locations are donating space to help us with distribution only. Important: All orders will be triple checked and signed off for accuracy. It is your responsibility to ensure your order is accurate.
