2 Congratulations you are now the owner of your District Popcorn Team. As an owner of the Columbus Lions I can tell you that it takes a lot of people in different positions to make a championship team. The popcorn sale gives units the chance to earn a great commission and for a portion of the sale to go directly into camp improvements at Camp Pine Mountain and Camp Frank G. Lumpkin. The Columbus Lions Professional Indoor Football team is proud to partner with the Chattahoochee Council to provide some great new prizes and recognition events. For our most successful Packs and Troops their program is powered by popcorn. They find that Trails-End popcorn is the most effective way to raise money for not only year around program needs but to also make investments like pinewood derby tracks, camping gear, storage sheds, or trailers. The vision is to have Scouts selling popcorn and see the benefits of their work in three different areas. The first is the direct benefit that they get from a quality program in their unit with a well funded program. The second is from the awards they earn by establishing a goal and reaching their sales goals. The third is Scouts know that they help keep their camp looking good and well maintained. The focus of the Trail s End popcorn sale is for Packs and Troops to have a well funded program. In addition the popcorn sale does generate revenue for our local Chattahoochee Council. The funds generated by the popcorn sale help offset the cost to operate our camps. The move is to shift funding from general operating expenses to funding camp improvement projects. This is a multi-year goal that is going to take time but it requires everyone s support. Your leadership to this year s campaign is just the start of keeping a strong, financially sustainable Scout program with exceptional camps and outdoor experiences. The first step an owner of a team has to do in order to build a championship team is to hire a coaching staff. For you this means assisting Packs and Troops with recruiting their Unit Popcorn Chair. Unit Popcorn Chairs will be like your coaching staff who work with the Scouts and Parents who are the athletes who make everything happen. 4 WHO TO CONTACT There is plenty of support available for your unit to have a successful popcorn sale; all you need to do is ask. If you are a Unit Popcorn Chair you need to know your District Popcorn Chair who is ready to help you. In addition you have a local District Executive who can also provide support. District Popcorn Chairs have our Volunteer Council Popcorn Chair in addition to the Council Popcorn Staff Advisor and Support Staff. We receive support from our Trail s-end field representative. 5 2017 POPCORN CAMPAIGN DETAILS FEBRUARY Trail s End Conference It all starts when Trails-End hosts a national conference to review last year s sales and introduce changes to the popcorn sale. MARCH Council Popcorn Chair A volunteer Council Popcorn Chair is identified and recruited. Focus Group - In March a group of volunteers from different units and districts come together to review last year s sale and discuss changes coming from Trail s End. This focus group helps finalize the products we will include in the sale along with the prize program. MAY Popcorn Champions Dinner A special, invitation only, dinner for top selling units and top selling Scouts to show our appreciation for their hard work. The event is hosted by the Columbus Lions and Trails-End Popcorn. JUNE Champion Units The top selling units in each district are contacted by the District Executive to confirm that they have a Unit Popcorn Chair identified, Show-N-Sell scheduled, along with unit kickoff planned. The District Executive offers assistance in any way need to ensure continued success. Non Selling Units Units that did not sell last year, do not have any other fundraisers, and have a weak program are identified by the commissioner staff as potential units to get assigned a Popcorn Commissioner. Greatest Opportunity Units Units that sold last year but have the potential to double their sale are identified so that the District Popcorn Chair can contact them. JULY District Popcorn Chairs District Popcorn Chairs are identified and recruited in each district. Popcorn Commissioners Units who were identified in April meet with their assigned Popcorn Commissioner and plan their Unit Kick-Off together. Greatest Opportunity Units District Popcorn Chairs contact their greatest opportunity units to meet and plan their unit kick-off together. 5

6 AUGUST Council Kick-Off Meeting The Council Popcorn Chair hosts a meeting with all the District Popcorn Chairs and other volunteers who will be involved in the sale to review the campaign. Council Popcorn Meeting The Council Popcorn Chair hosts a meeting with all the District Popcorn Chairs and other volunteers who will be involved in the sale to review the campaign. School Nights New parents and Scouts are informed about the popcorn sale and are given invitations to attend the Popcorn Extravaganza in September. SEPTEMBER 7 th - District Popcorn Kick-Off at Roundtable A review of the sale, products that will be sold, timeline, and sales training is conducted prior to Roundtable. Dinner is provided to all who attend. Details of the sale are reviewed using the Unit Popcorn Chair Leader s guide. Unit Kick-Off Meetings This is where the Pack or Troop reviews the sale with their parents and Scouts. Goals are reviewed and dates for Show-N-Sell or Blitz Days are announced. A review of the product, prizes, and commission is key. 12 th - Show-N-Sell Orders Due Units place their Show-N-Sell order to the council. 23 rd - District Popcorn Extravaganza Scouts and Parents are invited to attend this fun and interactive event where Scouts will get excited about the selling popcorn, and learn sales techniques. This will be hosted by each District; Locations TBD. 23 rd 24 th - Blitz Weekend One Every Scout who sells popcorn on this special weekend will earn a special popcorn patch. This is the first patch of a two piece set. The second patch is earned by selling popcorn on the second Blitz Weekend. 21 st - Show N-Sell Distribution Units pick up their Show-N-Sell orders. Take Order This is when Scouts go door to door in their neighborhood or parents take an order form to work. Customers place their order and receive their popcorn several weeks later. Show-N-Sell This is where a Pack or Troop makes an order of popcorn to sell in front of a local store or location where a lot of people are. The popcorn inventory is right there for people to purchase. OCTOBER 21 st - 22 nd - Blitz Weekend Two Every Scout who sells popcorn on this special weekend will earn a special popcorn patch. This is the second patch of a two piece set. Finish the popcorn sale strong. NOVEMBER 7 th - Sale Ends-Take Orders Due The sale ends when Take Orders are due to the council office. The council then places the final order for popcorn and it is delivered within 10 days. 16 th - Take Order Distribution Popcorn orders from the Take Order campaign are delivered and distributed to units. DECEMBER 1 st - Payment Due Payment for all popcorn is due to the Chattahoochee Council. 1 st - Prize Orders Due All prize orders are due and will be delivered upon final payment for popcorn. 6

7 Top Selling Units in 2016 Top selling units have something in common; they all use Popcorn to fund their entire year of Scouting. Many use it as a way for Scouts to earn what the Pack or Troop would normally charge for dues. Program supplies, awards, advancement, snacks, and outdoor activities are all funded through popcorn. 8 District Popcorn Chair Position Description POSITION SUMMARY: The job of the District Popcorn Chair is to organize, manage and lead the district s annual popcorn campaign and to coach unit kernels. QUALIFICATIONS: Be enthusiastic about helping units achieve their financial goals. Be a strong communicator and meet with the District Committee and District Executive as often as necessary to ensure a successful campaign. RESPONSIBILITIES: 1. Attend the Council Popcorn Meetings at the Scout Service Center Kick-off Meeting on Thursday, August 7:00 p.m. EST Meeting #2 on Thursday, August 7:00 p.m. EST Meeting #3 on Thursday, September 7:00 p.m. EST Meeting #4 on Thursday, October 7:00 p.m. EST Wrap Up Meeting on Thursday, December 6:00 p.m. EST (Dinner) 2. Lead the District Popcorn Kick-off at September Roundtable, September 7 th 3. Lead the presentation for the Popcorn Extravaganza on September 23 rd Encourage each unit to set a unit goal and a goal per scout. 4. Keep an updated list of all Unit Popcorn Chairs and communicate with them regularly on the key aspects of the sale. 5. Instruct units how to place their popcorn and prize orders using the Trails-End website. 6. Identify 2 to 4 units in your district who sold last year and have the potential to double their sale and coach them by doing the following. Make sure they have a dedicated Unit Popcorn Chair Make sure as many Scouts and Parents attend the district kick-off Encourage them to do a neighborhood blitz day Assist them with placing their Show-N-Sell Orders, Take Orders, and Prizes Orders 7. Assist District Executive to coordinate needed manpower to sort and distribute popcorn during the Show-N-Sell and Take Order delivery. 8. Assist units on distribution day. Insure the correct inventory is handed out along with a product receipt. 9. Help tabulate popcorn and prize orders for units without access to the Internet 10. Remind units of payment due date and assist council in contacting units. 11. Have fun and help units have fun selling popcorn! 8

9 Unit Popcorn Chair Position Description POSITION SUMMARY: The job of the Unit Popcorn Chair is to organize, manage and lead your unit s annual popcorn campaign and to coach each parent and family. QUALIFICATIONS: Be enthusiastic about helping your unit achieve their financial goals. Be a strong communicator and meet with the District Popcorn Chair as often as necessary to ensure a successful campaign. RESPONSIBILITIES: 1. Sign up and sell popcorn at 2. Attend the District Popcorn Kick-off on Thursday September 7 th at 6:00 p.m. local time at the same location as your Roundtable. 3. Review the Unit Popcorn Chair Guidebook and keep it handy for reference. 4. Set a date / time / location for your Unit Popcorn Kick-off. 5. Work with your unit leadership to establish a unit goal and a minimum goal for each boy that will cover their program year and cover your unit expenses for the year. 6. Review commission structure with unit leadership to work towards a high participation rate among your Scouts. 7. Secure a location with adequate space to separate and distribute and store your popcorn for Show-N-Sell and Take Order. Space needs to be dry, cool, and secure. 8. Secure date / time / location for Show-N-Sell. 9. Log onto Trail s-end website and create unit account and to establish accounts for each Scout. 10. Place the Show-N-Sell order for your unit. 11. Coordinate the pick-up of your Show-N-Sell order and Take Order. 12. Promote selling popcorn on Blitz Weekends of Sept and Oct Work with your unit leadership Den Leaders or Patrol Leaders to track how much each boy has sold every week. Report weekly on progress to the Council Popcorn Chair. 14. Submit order forms for Scouts who reach $650 and $1,200 to get their Free football tickets. 15. Collect money from Scouts throughout the sale and make final payment to the Chattahoochee Council before the deadline. 16. Make sure Scouts deliver their popcorn in a timely manner. 17. Meet with unit leadership after the sale to evaluate the sale and to make recommendations for next year. 9

10 Sell The Scouting Program It takes money to run a quality Scouting program, where parents are not nickel and dimed to death and the focus is on delivering the promise to boys. We choose the Trail s-end Popcorn sale as a way to support Packs and Troops to earn money for their program and as a way to support camp operations at Camp Pine Mountain and Camp FGL. Cub Scouts Sell Popcorn, Boy Scouts Can t When selling Trail s-end Popcorn you must keep in mind that people are not interested in purchasing popcorn as much as they are willing to support a boy or young man who is working hard to pay his own way. That is why HOW a Scouts sells determines how much they will sell. A first grade Tiger Cub Scout in a blue uniform knocks on a door and asks his neighbor to support his Cub Scout Pack. He is young and he may stumble, he may get some information wrong, and he may not look everyone in the eye. That neighbor, however, is glad to see such a young boy Doing His Best and is happy to make a purchase. Take that same boy six years later in a Boy Scout uniform and the expectation of that neighbor is different. They are expecting to see a young man. They are expecting strong eye contact, a neat uniform, a clean appearance, and someone who is confident. The point is Boy Scouts can and do sell popcorn just as well as Cub Scouts do. The difference is Boy Scouts who are successful look successful and meet or exceed the expectation someone has of a Boy Scout, not a Cub Scout. How Trails-End Popcorn Compares to Other Fundraisers We want everyone to be confident that the Trail s-end Popcorn sale is the right choice. What factors did we consider when choosing Trails-End? When selling Trail s-end Popcorn you must keep in mind that people are not interested in purchasing popcorn. They are willing to support a boy or young man who is working hard to pay his own way. Is the product or service of value and reflect positively on Scouting? Popcorn is a wholesome and healthy snack. Trail s End Popcorn invested millions of dollars in a new factory that uses canola oil compared to palm oil. Canola oil is free of trans-fat and does not endanger rain forests. Trail s-end has been a partner with Scouting for 25 years and works diligently to protect the good name of the Boy Scouts of America through quality products that are produced just for the Boy Scouts of America. Are awards and prizes provided to Scouts? Scouts earn prizes and can even earn money for college through the Trail s-end Popcorn sale. They can even win a Family Vacation in Orlando, FL. All of this is provided at no cost to the unit. In addition, access to on-line sales, free sales materials and order forms, really make popcorn a turnkey operation. Is there local volunteer and professional support to help you be successful? Units have their District Popcorn Chair, District Executive, the Council Popcorn Chair, the Council Popcorn Staff Advisor, and the Council Popcorn Administrative Assistant all on hand ready to assist your unit. All of these individuals are local volunteers and professionals working together to support your unit sale. 10

11 SHOW-N-SELL Show-N-Sell is where a unit pre-orders popcorn to sell. Typically, a unit will set up a date and time to sell in front of a store where there are a lot of people or there might be a local community event where a lot of people will be. The key to a successful Show-N-Sell is to be where the people are. IDEAL LOCATIONS FOR SHOW-N-SELL High traffic area where there are a lot of people A store or place where people with disposable income frequently go Visible location where people can see you and have space to interact with you Is willing to promote your show-n-sell booth HOW TO CONDUCT A SUCCESSFUL SHOW-N-SELL Identify and confirm your location early. It may take some time to get in touch with the right person who can give you approval. Have a specific date and time in mind but be prepared with alternate dates and times. Think about your Show-N-Sell Order. Review any notes from last year to make sure you order appropriately. Not many people are going to spend $40 or $50 at Show-N-Sell. Remember you can use anything you have left over from Show-N-Sell to fill your Take Orders. Train your Scouts. Make sure that they have a sales pitch. Encourage them to attend the Popcorn Extravaganza on September 23 rd. Discourage Scouts from asking; Do you want to buy some popcorn? Show-N-Sell Scouts and leaders reported 5 out of 10 consumers made a purchase No sitting. Have boys take turns approaching customers. You may consider a simple method where you only ask those who are leaving the store so that you don t ask people more than once. The last thing you want are boys sitting in chairs behind a table full of popcorn just watching potential customers walk by. Have a well communicated plan on how credit for Show-N-Sell is given to the boys. Leave your Show-N-Sell site better than you found it. You want to leave a good impression so that location will be happy to have you back again next year or next weekend. Send a thank you note to the location after the sale. Let them know how you did. 11

12 SHOW AND DELIVER (PART OF SHOW-N-SELL) Show and Deliver is another way to sell pre-ordered popcorn, your Show-N-Sell order. This is where Scouts instead of setting up a booth at a store to sell popcorn the Scouts go door to door in their neighborhood with a truck or van filled with popcorn. The Scout has a list of the inventory he has and sells the product door to door. BENEFITS TO SHOW AND DELIVER Scouts are selling in their neighborhood where average sales are higher. The transaction is completed right there, no going back to deliver product or collect payment. It s a great way to make sure you sell all of your Show-N-Sell order. HOW TO CONDUCT A SUCCESSFUL SHOW AND DELIVER If you sold last year the best place to start is to look at what your neighbors and friends purchased last year and have that product ready. Now you are going to their door with the product you already know they like compared to taking an order and delivering it later. Think about the best time to go door to door in your neighborhood. Every neighborhood is different but generally speaking going door to door at 10 a.m. on a weekday is only going to create frustration, not sales. Generally speaking, Sunday afternoon might be a good time to catch people at home. Have parent(s) take some product to work. Some work places have no solicitation policies, however a discussion with your supervisor at work may lead to a way to give your coworkers a chance to buy that doesn t break company policy. Your chartered partner is a great place to make some sales. It may be a church or a civic club but both will more than likely allow your Scouts to ask members to support the unit they charter by buying popcorn. Be Prepared to accept different types of payment. Unlike take order where you have time to collect you need to be ready to accept, cash, checks, or credit cards. We recommend you use a mobile device like a smart phone or ipad which will give you the ability to accept credit cards but also to receipts. Participate in the two Blitz Day weekends. Scouting is fun when more people are involved. Instead of relying on parents taking their Scout around the neighborhood, schedule a date and time to go around a specific neighborhood. This way the boys can be together and parents can socialize. 12

14 TAKE ORDER The Take Order sale is when Scouts, Parents, and Leaders take order forms to family, friends, and neighbors to take orders for popcorn. This has been proven to be the most effective way to sell popcorn. On average a Scout will sell twice as much per hour going door to door in their neighborhood compared to an hour at a show and sell. The national average sales for Take Order in a neighborhood is $300 an hour. Take Order 85% of consumers, who had the opportunity to purchase, did so. Popcorn Take Order sales is a different type of sale. Success is based on the relationship the Scout has with the customer. For example, grandparents are more likely to spend $100 on popcorn then someone you just met at the grocery store. Neighbors you know are more likely to buy compared to neighbors you don t know. The higher the relationship the greater opportunity for a sale. HOW TO CONDUCT A SUCCESSFUL TAKE ORDER SALE If you sold last year, the best place to start is to contact those who purchased last year. Within a day or two you could reach what you sold last year. This is a great lesson in sales for your Scouts. If they sold $900 last year they don t have to find all new customers again, they already have a customer base. Think about the best time to go door to door in your neighborhood. Every neighborhood is different but generally speaking going door to door at 10 a.m. on a weekday is only going to create frustration, not sales. A best method of units who do great with popcorn is they get the money up front for Take Orders. Nothing is more frustrating than to have someone order popcorn and still owe you money weeks later. You want to be done with the sale as quickly as possible and not have your garage full of unpaid popcorn. Conduct a neighborhood blitz day. Scouting is fun when more people are involved. Instead of relying on parents taking their Scout around the neighborhood, schedule a date and time to go around a specific neighborhood. 16 ON-LINE SALES A great way to reach family and friends who live far away and want to support your son s Scouting program is to conduct an on-line sale. On-line sales have some great advantages. Payment is done on-line so there isn t any worry about collection. Your unit gets the credit and so does the Scout. Sales on-line do count towards the prize program. The product is delivered directly to the customer so you don t have to worry about how to get the popcorn to them. In order for Scouts to sell on-line Scouts must personally set up an account at FACTS ABOUT ON-LINE SALES Your unit gets commission that is reported directly to the Chattahoochee Council. What Scouts sell on-line will count towards prizes. When someone buys popcorn on-line they must use the Scout s ID number when ordering for him to get credit. When someone buys popcorn on-line from your Scouts, the popcorn is delivered directly to the customer so it will not be part of your Show-N-Sell or Take Order, there is nothing you need to do. HOW TO HAVE GREAT ON-LINE SALES Have a Pack competition to see who can sell popcorn in the most number of different states or furthest state. Promote on-line sales to everyone in your Pack. Not everyone will do it but many people who recently moved here may have several friends and family who are not here that would buy if asked. Suggest to parents to post on Facebook and other social media the link to their son s online sales page. Suggest that everyone send at least 10 s to people they know and ask them to support Scouting with the purchase of popcorn. 16

17 Where does the Council portion of the money go? The annual cost to keep and maintain our Scout Camps is supplemented by popcorn sales. The goal is to move towards popcorn funding camp improvement projects instead of annual operating costs. The Council Executive Board budgeted for a gross sale of $300,000. Any amount over this will be used towards camp improvement projects. Projects have been identified by the volunteer properties committee along with members of the program committees. At the end of the sale these committees will match the amount of funding we have available to the projects that are of the highest priority. 17

18 GETTING THE TEAM READY TO RUN THE PLAYS It s great to have goals but without a workable plan goals cannot be achieved. In order to grow the popcorn sale and have more Champion units we will focus on two areas. Increase the number of units selling popcorn and increase unit sales. INCREASE NUMBER OF UNITS SELLING COMMISSIONER STAFF Units who did not sell popcorn last year, don t have a major fundraiser, don t have a financial plan, and/or don t have a dues structure will be identified by the District Commissioner and the District Executive in June and July. These units are in trouble. Without proper funding the quality of their program is impacted. Without proper financial plans Den Leaders and Parents are probably paying out of pocket for advancements and awards and crafts. The challenge in these units isn t just about popcorn it s bigger than that so the commissioner staff has agreed to provide leadership to these units. Unit Commissioners will be assigned to units who have been identified and are willing to accept help. The unit commissioner will meet with the unit leadership in August to help develop a simple and workable budget plan, establish a unit popcorn goal, establish a minimum goal for every Scout, and assist the leadership in the unit throughout the sale. The goal for the number of new units selling: Muskogee 4 Saugahatchee 3 George H. Lanier 2 Yellow Jacket 2 INCREASE UNIT SALES DISTRICT POPCORN CHAIRS Units that have the greatest potential are units who have a low percentage of Scouts selling popcorn and/or have lower than average per Scout sales. These units will be identified in June and July by the District Popcorn Chair and District Executive. There are several reasons why a unit has lower than average sales. New Leadership In some cases the unit might have gone through a leadership change in one or several positions and no one properly passed the torch onto someone else. These units are so focused on staying alive they may not feel like they can handle an additional project. No Unit Popcorn Chair In many cases the unit doesn t have someone who is dedicated to serve as the Unit Popcorn Chair, the Cubmaster or Scoutmaster is trying to manage the sale in addition to their other responsibilities. Disconnect With Parents If parents don t understand why the unit is selling popcorn, where the money goes, and are not given an opportunity to get trained like at a unit kick-off meeting the sale is doomed. Constant communication with parents is a must. In each of these cases the District Popcorn Chair will step in to assist where needed to coach and mentor these units that have the greatest potential for growth. 19 CHAMPION UNIT SALES DISTRICT EXECUTIVE Units that historically sell over $5,000 or are one of the top five units in the district in sales will be identified by the District Executive. These units will receive direct support from the District Executive. These Champion units make up the majority of the overall sale. They usually have a well planned dues structure where boys sell popcorn to pay off their dues. They use popcorn sales as part of their overall Scouting program. They don t need to be convinced to sell they are already planning on it. The District Executive will give personal calls to these units just to touch base on four critical areas. Unit Popcorn Chair We want to make sure the unit has someone already recruited to be the popcorn chair and hopefully has someone working with them who can take over the sale in the future. District Kick-Off A friendly reminder to the unit to promote attendance within their unit to attend the District Kick-Off meeting so they can share positive experiences with others or best methods. They may even be asked to be a formal part of the kick-off presentation. Unit Kick-Off Asking if the unit needs any assistance with their unit kick-off in September to make it a special event for their Scouts. A strong unit kick-off will launch the sale and get it started on the right foot. Ordering and Pick Up The District Executive will give personal attention to make sure these units have what they need to make their Show-N-Sell and Take Orders along with offer assistance for pick up day. INCREASE AVERAGE SALE PER SCOUT The goal of your unit s popcorn sale is to give every boy the chance to earn his own way. There are basic costs to providing a quality Scouting program; weekly program supplies, advancements, awards, ceremonies, volunteer leader recognition, service projects, and more. Every boy should take part in raising money to make the program exceptional. Units that sell $7,000 or more or has an Average Per Scout Sales of $450 earn 40% Commission. Average Per Scout Sales is $300 or more = 35% Commission Per Scout Sales is $100 or to $ = 33% Commission Per Scout Sales is under $100 = 30% Commission Your total sale will be divided by the number of registered youth in your unit as of June 30 th. Boys that join your unit in the fall during school nights will only count for you, not against you. 19

20 2017 DISTRICT KICKOFF AT SEPTEMBER ROUNDTABLE At 6:00 p.m. local time each District Popcorn Chair coordinates the district kick-off at the September Roundtable. This early meeting time is designed so it will not interfere with Roundtable attendance and serve as an opportunity to get more people to attend. Dinner is provided to everyone who attends. Each district will be given a budget for food, drinks, and will have special door prizes to attract unit leaders and those who will serve as popcorn chairs in their unit to attend. 21 A blitz in football is when additional players are sent to "rush the quarterback" that is, try to tackle the quarterback or disrupt his pass attempt. The term is borrowed from the Blitzkrieg, the German strategy of "Lightning War" employed during World War II. Like the Blitzkrieg, the blitz is a concentration of force at high speed to force a breakthrough and proceed without regard to the flanks. A popcorn blitz is when we want as many Scouts out selling popcorn as possible on two specific weekends. For your efforts in participating in the Blitz Weekends we have a special Columbus Lions Blitz Patch Scouts can earn. To participate all you have to do is sell popcorn on one of the days of the scheduled blitz weekends. You can do a Show-N-Sell, Show and Deliver, or Take Order sale to qualify. Unit Leaders will have until the following Thursday from the blitz weekend to report how many Scouts participated that weekend and qualify for the patch. After that Thursday we will mail the patches on Friday to the popcorn chair to distribute to their Scouts at the next meeting. 23 2017 UNIT KICK-OFFS The single most important meeting of the popcorn sale is the Unit Kick-off. This is where the sales force of parents and Scouts get all the details about the sale and the enthusiasm for Scouting is on display. A quality Unit Kick-off is well planned and can easily serve as half or all of your Pack Meeting for that month or Troop Meeting for that week. If a unit is using popcorn correctly this will fund their program year, failure here will cause the unit to have a year full of financial problems and low quality program. BEFORE THE UNIT KICK-OFF July or August Use the Virtual Sale Planner found on the Trails-End website The program calendar for the year is developed. Each month the schedule for meetings is decided and the monthly activity. Remember to include summer activities like Day Camp and Summer Camp. Successful units plan fun summer activities to keep everyone connected. Set the date for unit kick-off in September. The annual unit budget is developed. Take into account the cost of events and activities as well as the big ticket items like camping supplies. What big goals or dreams do parents have for your unit and what will that cost? Dues for the year are determined. What is the cost per Scout to do everything you want to do? Make it clear on what dues will cover and what it does not cover. Parents want to know up front what their registration fee covers and what their dues will cover. Now determine how much popcorn each Scout must sell in order to cover their dues. A mission that is not funded is just a dream. A mission that has funding becomes a movement. The formula is simple Dues per Scout.35 = Popcorn Goal to cover dues Example: Pack or Troops Dues are $105 $ = $300 A Scout would need to sell $300 to cover his dues of $105 September Confirm location for Unit Popcorn Kick-off Secure sample popcorn and kick-off materials from District Popcorn Chair o Parent guidebooks for each family o Posters o Extra take order forms Review agenda with Pack leadership and decide who in the Pack will do what part of the presentation. It works best when two or three people share the agenda instead of one person talking the whole time. If using Power Point make sure you have presentation, laptop, and projector. 29 ORDERING POPCORN All popcorn orders must be done on-line through the Trail s-end website at You will need to have your username and password that is provided to you by the council to set up your unit account. Once you are in the system you will be asked to create your own username and password, make sure to write this down. We do not have access to your username or password only the Trail s-end technical support can do that. The first step is to go to the website and set up your unit account. When you visit the website you will see in the upper right hand side of the page Scouts Leaders Councils. Click on Leaders. Every Scout in your unit who is selling popcorn should be entered into the on-line popcorn system when you place your Take Order. This information helps us indentify Scouts who are participating. The next page that opens up gives you the option to enter the Popcorn System to place your unit s popcorn order. Click the box on the left. From this point you will be guided through setting up your account. You will need to use the username and password provided to you by the council at the District Kick-off. After this is done when you want to come back to the page all you need to do is sign in by clicking on the upper right hand corner of the page. Set up an account for every Scout who is selling popcorn in your unit. This provides you with a great tool to manage the sale and know how much each Scout sold, what they sold, and who they sold to. SHOW-N-SELL ORDERS ARE DUE SEPTEMBER 12 Placing your unit Show-N-Sell order requires some background information about your past sale and what you are doing different this year. You should have a Show-N-Sell date / time / location confirmed before you make a Show-N-Sell order. Have you considered doing a Show-N-Deliver method where you take product door to door to sell in the neighborhood? Consider where you are conducting a Show-N-Sell and how many hours you plan on selling. A standard Show-N-Sell in front of a good location will generally make $100-$125 an hour in sales. If you plan to go door to door in neighborhood to conduct a Show-N-Deliver then your sale rate doubles to $200 to $250 an hour. Know what products sold well last year and remember that most people buying at a Show-N-Sell want to sample the product before they buy. Show-N-Sell orders must be done by case. Keep a good inventory of your product because you will use any leftover inventory from Show-N-Sell to fill your Take Orders. This will reduce the amount of inventory after the sale. For your convenience Take Orders will be done by container to help reduce unsold inventory. Your goal with Show-N-Sell is to try and sell out of all the popcorn you order. It is a good thing to sell out of an item. 29

30 TAKE ORDERS ARE DUE NOVEMBER 7TH Before you place your Take Order make sure every Scout who sold popcorn is entered into your account. Your unit participation rate will depend on the number of Scouts you have entered into the system. This will also help you with tracking the sale and placing the prize order. Take Orders are done by container. To help reduce the possibility of un-sold popcorn we allow you to place your Take Order by container. Once you have collected all of the Scouts Take Order sheets enter them into the popcorn system. Then you will have a master order form of how much popcorn you need to order. Have the inventory of any leftover Show-N-Sell handy and make sure to subtract that from your Take Order, this will reduce or eliminate any leftover popcorn from your sale. For example if you have 3 containers of Butter Light Microwave and 5 containers of Unbelievable Butter Microwave that did not sell at your Show-N-Sell make sure to inventory that and keep a record of it. When you total all of your Scout s Take Order sheets you find out that you need 18 Butter Light Microwave and 25 Unbelievable Butter Microwave BEFORE you place your order SUBTRACT your inventory from Show-N-Sell and reduce your order to 18-3=15 Butter Light and 25-5=20 Unbelievable Butter. PROPER INVENTORY OF SHOW-N-SELL WILL REDUCE OR ELIMNATE ANY LEFT OVER POPCORN. POPCORN DISTRIBUTION / PICKUP There are two different distribution days. The first is for your unit to pre-order popcorn that you plan to use for Show-N-Sell the second is for your Take Orders. When you plan to pick up your popcorn the last thing you want is to find out is that you don t have enough room. The person that is picking up your popcorn needs to know how many cases your order is, that way you can use the chart below to determine what size vehicle you need or if you need more than one vehicle Cases - A standard size car without any passengers Cases A mini-van or large SUV without the back seats 100 Cases Standard size utility van without passenger seats 200 Cases Moving truck about 12 foot long 30

Local Time You will be asked to schedule a time for pick up between 8:00 a.m. and 5:00 p.m. local time. When you arrive at your location make sure to have your popcorn order for your Show-N-Sell. Please be patient as we may have several units arrive at the same time. When it is your turn you will be asked for your unit confirmation order form and you will be shown where your order is. It is up to you to confirm that your order is correct, please double check the order before you start loading your vehicle. Once you have confirmed your order is correct it will be up to you to load your vehicle. We will provide assistance if possible but please don t count on it as we may not have enough volunteers that day to help everyone. 32 ACCEPT CREDIT CARD AND DEBIT CARD PAYMENTS Our recommendation is to use Square. The card reader is FREE and the transaction fee for processing the payment is competitive. We also recommend it because there are no set-up fees or annual fees. You only pay for it when you use it. By using this system you can also apply it to accept payment from parents for Pack or Troop dues and activities. Industry research indicates that the ability to accept credit cards increases revenue by as much as 23%. You will need to have your Pack or Troop Treasurer do this as it will require that the account be attached to a bank account. You want to make sure that it is attached to an account that the unit has, not an individual s account. Your first step is to request your free reader. This small device plugs into any iphone, ipad, or Android. Just keep in mind that in order for it to process it uses internet access so your device needs to have a data package and/or be connected to WiFi. Second you will need to download the application to the device you plan on using. The application is free and is on itunes and Android formats. You can even set up each product into the system and track inventory and sales. Now you are ready to accept Credit or Debit Card payments! At a Show-N-Sell make sure your device has service or can connect to WiFi. Everything up to this point is FREE. Now when you make a sale the company called Square will charge you 2.4% regardless of the purchase amount. So if you sell a $20 item you will see $19.52 in your unit checking account. Your unit is responsible for these transaction fees and they are automatically deducted from your deposit. With this special offer the first $100 of sales there are no fees. 32

Too often we hear of large orders that someone makes and when it comes time to deliver they don t have the money to pay for it. Give your families the chance to turn in money throughout the sale. This requires a good treasurer and record keeping but also reduces the risk of cash getting lost or stolen. When you have good controls in place for cash and your unit finances people have greater confidence and willingness to sell more.
