1 JOB TITLE: LOCATION: Project Manager (Funder Management) Birmingham, Leeds or London Office INTRODUCTION TO THE PRINCE S TRUST Youth charity The Prince s Trust helps disadvantaged young people to get their lives on track. It supports 11 to 30 year-olds who are unemployed and those struggling at school and at risk of exclusion. Many of the young people helped by The Trust are in or leaving care, facing issues such as homelessness or mental health problems, or they have been in trouble with the law. The Trust s programmes give vulnerable young people the practical and financial support needed to stabilise their lives, helping develop self-esteem and skills for work. Three in four young people supported by The Prince s Trust move into work, education or training. The Prince of Wales s charity has helped 825,000 young people since 1976 and supports over 100 more each day. Our Vision: Every young person should have the chance to succeed. Our Values: Approachable we are open minded and value diversity Non-judgemental we focus on the potential not the past Inspiring we lead by example Empowering we enable positive change Passionate we are absolutely committed to supporting young people CONTEXT OF THE ROLE: In the UK, currently there are more than 950,000 young people aged who are not in education, employment or training (NEETs). The Trust works with around 58,000 young people across the UK. We support young people through teams of staff, volunteers and delivery partners in three English regions and offices in Scotland, Wales and Northern Ireland. Each of the regions and countries has a Director and in the countries they are supported by Country Advisory Councils, which are made up of non-executive volunteers. This role is responsible for ensuring we effectively maximise our income in compliance with our funding agreements and alerting in a timely manner any issues preventing us from doing so. It is part of the National Operations Team, which is responsible for maximising our income by working effectively across operations, finance and fundraising in a proactive manner to maximise income, ensure compliance and raise awareness of our performance. This role manages a Project Executive to fulfil our responsibilities on funding agreements.
2 RESPONSIBLE TO: Senior Head of Operations (Contract Management) RESPONSIBLE FOR: Project Executive (Funder Management) KEY CONTACTS: Contract Management Team National and Regional Finance Team Fundraising Teams Operations Teams Other Head Office Functions as required BUDGET: Responsible for contract income of c 8million per annum DETAILED RESPONSIBILITIES: 1. Managing relationships associated with each partner as required including funders, fundraisers and operations 2. Ensuring all operations staff (internal and external) understand delivery and reporting requirements and timescales for claims and invoices to be submitted 3. Maximising drawdown and producing accurate and timely claims for approval at the appropriate level 4. To direct the work of the Project Executive to support the contract and project management of the projects 5. To work closely with the Senior Head of Operations (Contract Management), and operations, finance and fundraising teams to ensure maximum drawdown of funding available and that income and expenditure targets for the project are met 6. To ensure that outcomes and targets (both financial and project) are reported to funders and other key stakeholders in a timely and accurate manner 7. Liaise with regional operations teams to ensure delivery targets are being met, working up plans for any under delivery. 8. To contribute to internal reporting systems such as MFRs, forecasting, Contract Management Reports, Communications updates and project Guidance Notes

Work with the Senior Head of Operations (Contract Management) to ensure efficient, standardised systems and procedures across all contracts, regions and countries while tailoring for the needs of each funder. 10. The management of the Project Executive which will include the leadership, recruitment, development, retention and appraisal of staff in accordance with the standards set out in the Human Resources policies and procedures. For all funding contracts/agreements for which allocated responsibility: 1. To carry out reviews of terms and conditions of contracts and raise any concerns with Senior Head of Operations (Contract Management) 2. To ensure funding contracts are accurately recorded and copies stored on the contract management system 3. To produce and disseminate funding contract guidance to all appropriate staff to ensure The Trust s compliance with contract conditions and ensure these are available for users on Trustnet 4. To establish and maintain good working relations with funders 5. To lead on regular contract review meetings 6. To prepare timely and accurate contract claims to maximise income and ensure internal financial processes are adhered to 7. To liaise with appropriate delivery and fundraising staff to identify opportunities for corrective action and maximisation of income from contracts and to liaise with funders on the reallocation of funding as required 8. To ensure all funding evidence is collected and stored appropriately to comply with funder audit requirements 9. To prepare reports on the performance (both financial and operational delivery) of contracts and alerting the appropriate delivery and fundraising staff in a timely manner of issues 10. To ensure recommendations from funder and internal audits are acted upon 11. Attend where necessary internal/external training courses and management/steering group meetings as require
4 12. To regularly review the Debtors Report to ensure sufficient cash flow for the organisation Compliance with The Trust s governance as described in the Governance Manual ( The Handbook) 13. Carry out other duties as may reasonably be required by The Trust, including deputising as appropriate on activities relevant to area of responsibility. 14. To supply accurate information as required by the Senior Head of Operations (Contract Management) in a timely manner.
5 PERSON SPECIFICATION Criteria Essential Desirable Skills and Knowledge: Minimum two year s experience managing multiple private sector funded projects Sector specific knowledge of Retail Experience of using software to track and monitor contract performance and Hospitality Sectors Experience of preparing and updating funding budget profiles using Microsoft Excel Knowledge of the voluntary sector Experience of working in a financial environment and carrying out duties such as financial analysis, forecasting and budgeting using financial tools Line Management Experience Experience: Strong contract/project management and analysis skills with the ability to deliver significant documented outcomes including audit requirements Excellent interpersonal skills and able to influence colleagues and funders Excellent communication skills ability to write reports and communications Can influence decisions through negotiations and where appropriate understand the impact on interrelated areas Have planning skills to control effective use of staff resources The ability to process Project management responsibilities with ease and meet deadlines Knowledge and understanding of private sector funders Behavioural Indicators Delivering Results Delivers great outcomes through our vision and strategy, effectively planning and meeting targets.
