Sign up for 2015 Annual Conference & Expo at the San Jose Convention Center using the self-service kiosk. 8:30 a.m. - 3:00 p.m. Move-in, please arrive on time. Exhibitors will not be permitted firsttime access after 3:00 p.m. You may remain in your booth to complete setup after 3:00 p.m. Shipped freight cannot be accepted after 1:30 p.m. If you need additional set-up hours, please contact the Expo Department at rinman@cacities.org or (916) as soon as possible. 2:30-3:00 p.m. Exhibitor briefing Exhibitor s Lounge, Expo Hall. Post conference attendee list for follow-up, includes contact name, title, and authorized s. *Deadlines apply RULES AND REGULATIONS Children under the age of 12 are not permitted in the Expo Hall. Selling of products or services is prohibited and will result in immediate removal of exhibitor from the Expo Hall at the exhibitor s expense. Refer to the exhibitor contract for a complete list of rules and regulations. HOTEL RESERVATIONS Step 1 Full payment for expo booth space must be received before hotel reservations can be made. Check current balance. Forgot Password? Step 2 One-night paid deposit required. Hotel is located eight blocks from the Los Angeles Convention Center. Shuttle buses will be provided. Begin hotel reservation process. Hotel reservation changes, date modifications, early check-outs, or cancellations must be communicated directly to the hotel. Financial penalty, one-night room charge or attrition fees may apply. EXHIBITOR PARKING Convention Center: Parking rate is $15/vehicle/day at the West Hall Garage on the intersection of 12 th and LA Live Way. No in/out privileges. Parking may increase to $20 after 4pm depending on other downtown events. Additional parking locations and information can be found at The Westin Bonaventure Hotel: Parking rate is $42/night with in and out privileges

6 GES - OFFICIAL SERVICE CONTRACTOR This kit contains all related order forms for: furniture, carpet, display rental, signage, labor/drayage, shipping, storage, labor, utilities, furniture, floor coverings, special decorations, visual aids, sound equipment and special cleaning. Order forms are also available at or online chat assistance at GES National Servicenter Ph: 800/ , Fax: 866/ GES onsite Servicenter will be open throughout installation, show hours and during move-in and move-out. FREIGHT MOVE-IN HOURS Move-in, 8:30 a.m. to 3:00 p.m., Wednesday, September 3 If additional set-up hours are needed please contact the Expo Department. You may remain in your booth to complete set-up after 3:00 p.m., however exhibitors will not be permitted first-time access after 3:00 p.m. GES will install any display not completely installed by 4:15 p.m. at exhibitor s expense. Sorry, shipped freight cannot be accepted after 1:30 p.m. Please be aware of the following: 1. Exhibits may not extend above 8' in the back half of the booth, above 36" in height in the front half or extend into the aisle. Allowable exceptions: product/signage may extend above the 36" height in the front half of the booth with League approval and island booths must leave a 6 line of sight of the adjacent booths. 2. Exhibitors on corners may remove the outside side rail to improve access, however exposed carpet corners must be taped down. 3. Keep booth displays presentable. If, in the opinion of the expo management, an unsightly area is visible, you will be required to fix the area, additional fees may apply. 4. Unacceptable noise level please be mindful of your neighbors. Exhibitors with equipment that, in the League s sole determination, annoys or disturbs adjacent exhibitors and their guests will be asked to change equipment or discontinue usage. FREIGHT MOVE-OUT HOURS 4:00-9:00 p.m., Thursday, September 4 pack and clearly label boxes so cleaning crews do not mistake full boxes as debris or boxes to be shipped. Important! Freight drivers much check-in at the docks by 6:00 pm, Thursday, September 4. DISPLAY SHIPMENTS AND LABOR (UNIONS) An exhibitor may move material that can be hand carried by one person in one trip, without the use of dollies, hand trucks, or other mechanical equipment. Hand trucks, dollies, ladders, etc., are not available to loan or rent. Union personnel are not required for unpacking or placement of exhibitor materials. You may set up your exhibit display if one person can do the task in less than one-half hour without the use of tools. If your exhibit preparation, installation or dismantling requires more than one-half hour, complete the labor order form L-2 on page

7 ONSITE CARTLOAD DELIVERY BY PRIVATE-OWNER VEHICLES (POV s) POV s or cartload orders should come directly to the convention center loading dock on LA Live Way. POV s or cartload orders will then be dispatched to the POV loading area as space becomes available. GES will unload your materials from your private vehicle and deliver to your booth. Complete the Cartload Order form on page 42. Cartload services are for those exhibitors with a maximum of 200lbs or (8) pieces that can be moved on (1) cart and are in a small passenger vehicle only. At the close of the show, when you are packed and ready to be loaded, check with the GES Servicenter before bringing your private vehicle to the loading dock. Every effort will be made to expedite your move-out. GES will move your materials from your booth to your private vehicle for a fee. All outbound shipments require a GES bill of lading. HAND CARRY ITEMS Hand carry is specified as materials that can be hand carried by one person in one trip without the use of dollies or hand trucks or other mechanical equipment. CRATE REMOVAL, STORAGE AND RETURN Exhibitors are NOT permitted to store empty crates and boxes in their booth area or behind their booth during the show. Empty crates and boxes, when properly marked and identified by the exhibitor, will be removed, stored and returned to the booth at no additional charge, if the exhibitor uses the official drayage contractor to handle their freight-in and freight-out of the show. Labels will be available at the GES Servicenter Desk. SECURITY SERVICES General guard service will cover the Expo area during installation, expo hours, move-in and moveout. However, exhibitors will be responsible for the security of individual displays. Because of the need for utility personnel to have access to the Expo Hall at various times, it is not possible for the League to guarantee full security, regardless of the number of guards used. Neither the League nor any of the official contractors can be held responsible for theft, vandalism, fire, terrorism, earthquake, or water damage. PRIZE DRAWINGS FOR ATTENDEES For exhibitors offering an attendee booth prize, the League will announce the giveaway during the last hour of the Expo. Refer to instructions on page 10. IMPORTANT! The Political Reform Act prohibits city officials from accepting gifts totaling more than $440. Prize Giveaway form, page

Ordering Services For a complete menu and form, please contact Taneisha Carr or tcarr@levyrestaurants.com Exclusive Service Levy Restaurants is the exclusive food and beverage provider for the Los Angeles Convention Center. No food or beverage of any kind will be permitted to be brought into the facility. Sampling Guidelines The selling of Food and/or Beverage products by any other entity is strictly prohibited. Sponsoring Organizations of expositions and trade shows, and/or their exhibitors, may distribute SAMPLE food and/or beverage products ONLY upon written authorization and adherence to ALL conditions. Items dispensed are limited to products Manufactured, Processed or Distributed by exhibiting companies. All items are limited to SAMPLE SIZE and must be dispensed/distributed in accordance to Local and State Health Codes. Food Service exhibitors may distribute food samples in your authorized space only and must not be in competition with products or services offered by Levy Restaurants. Exact descriptions of sample and portion size must be submitted to Levy Restaurants for written approval fourteen days prior to the opening of the event. Non Alcoholic Beverages limited to maximum of 4 oz. Sample Size, served in biodegradable (or plastic) cups. No cans or bottles will be permitted. Levy Restaurants will be happy to provide biodegradable service wares for all services, please contact your Catering Sales Manager for a price list of available items. Food items are limited to bite size, not to exceed 2 oz. portions or 2 oz. prepackaged samples. All food/beverage items brought in are required by the Los Angeles Health Departments to have a temporary Health Permit. This includes prepackaged food samples, samples not intended for consumption on the show floor, and bottled water. No alcoholic samples may be distributed. Any exhibitor giving away and/or selling food in their booth must have a permit and all fees current on file with the LA County Health Department. Any exceptions to the above require a minimum of two months prior written approval. Alcoholic Beverages Alcoholic beverages are not permitted on the show floor at any time unless authorized by the League of California Cities. All of the aforementioned policies will be strictly administered. Any violation of these will result in the removal of product from the show floor. All items subject a vender buy out fee of $500 per day, 20% service charge and 9% sales tax
