5 1. PURPOSE AND SCOPE This guide is aimed at suppliers of Group El Corte Inglés S.A. (Group ECI) from third countries (import suppliers). It is a reference guide which purpose is to define the standards and best practices for the delivery of merchandise with prepacks. To do so, the following lines cover all stages of the process from order notification to the shipping process. Version 3.3 1

6 2. ORDER NOTIFICATION: B2B PORTAL GROUP ECI Supplier will access the web and introduce the login and password provided by the Buying Office of his area. Then supplier will see the following screen, where he should select "Order notification": Version 3.3 2

7 The next screen displays an order search form in which the following mandatory information (marked with an asterisk) must be completed: Company (El Corte Ingles, Hipercor, Sfera, etc.). Supplier (supplier number that has been assigned by Group ECI). Date of issue. Once completed these fields, supplier must click on the Search button. After that a list of orders for the selection made will be displayed. Supplier can also introduce department and order number to delimit the search. In this example we have selected the orders issued from 01/01/2013 to 31/12/2013. Version 3.3 3

8 On this screen supplier can select the orders of his choice and perform different operations: This option will allow the supplier to obtain a flat file which lists the data needed for making the retail price labels of the order (in case he has chosen no to print them directly from the portal, using the option "Labels PVP"). 9 By selecting this option, the supplier will get a PDF file with ready-made retail price labels to print. The Buying Office will provide appropriate contact details of companies supplying label paper with Group ECI s logo. Version 3.3 5

10 The system will provide a file with as many pages as references (SKU) are contained in the order. Textile suppliers within variable data project will print these labels through one of Group ECI s nominated printing agencies such as Avery Dennison, Indet or Etitextil. Please note that retail price (PVP) and prepack labels will only be available to print when marked as Available SI. selected. This option will allow the supplier to print the orders previously Version 3.3 6

11 2.1. DISPLAY ORDER DETAILS To view the details of an order the supplier must click on the magnifying glass symbol (field Detail ). The following screen will appear: Version 3.3 7

12 This screen has two tabs: This tab appears first by default and shows the total quantity requested for each reference-model-colour-size (SKU). In this tab, the supplier may consult the composition of each prepack. Same order may have different types of prepacks (with different compositions) and they will be named as prepack 0001, prepack 0002, prepack 0003 and so on. This example displays the contents of the prepack type 0001 with the distribution of quantities per model-colour-size (SKU) and additionally shows that a total of 58 prepacks of this type must be produced. At the bottom of the screen supplier will find the following buttons: Version 3.3 8

13 Clicking this button supplier will return to the search screen. Clicking this button supplier will return to the previous screen (Order Management. List). Clicking this button supplier will be able to select one of the references (SKU) of the order to create the corresponding retail price labels. If no reference (SKU) is selected, the system won t generate any labels. The remaining buttons allow the supplier to obtain the necessary labels to identify the different types of boxes (prepacks, storage or balance pieces) in which the order is to be packaged, as well as the template for making the packing list. A prepacks order will have 3 kinds of packages: - Prepack cartons. - Storage cartons. - Balance pieces cartons (in case there were any. This type of cartons shall be avoided whenever possible). Specific requirements for each type of carton are explained on point 3 of this guide. The procedures to print the appropriate label for each type of carton are explained on the next pages PREPACK LABELS Pressing this button will automatically generate a PDF file containing the carton labels to identify the goods to be packaged in prepacks. The information displayed in these labels will correspond to the selected order and may be printed or sent to a printing agency. Version 3.3 9

15 2.3. STORAGE LABELS Pressing this button will display a form in which supplier must specify the total amount (of the remaining pieces of the P.O. that have not been packed in prepacks) sent in full cases of a single reference (model-colour-size = SKU). This will generate an equal number of labels for each reference. Version

16 When supplier first access this screen, the application will show the remaining amounts allocated to storage per each model-colour-size (SKU) on field "Storage" (this amount is the result of taking the total number of units that will be packaged in prepacks away from the total number of units of the order). Version

17 Supplier will complete field "Units/Carton" with the number of units to be introduced in each box. In field "Total labels" the number of labels needed be automatically calculated. This number is the result of dividing the number of units to be stored by the number of units per case: In case the number of units per carton is not divisible by the number of units for storage, the system will calculate the number of labels and change the number of units for storage to be an integer. In the following example, the number of pieces per box has been changed to 14 and 25 respectively and the system has adjusted the new quantities for storage and the new number of labels. As 90 pieces are not divisible by 14, the system has recalculated the storage units to be an integer. The same occurs in the second case. Supplier must subtract these new units to the initial storage quantities to get the number of units to be packaged in balance pieces boxes. Version

18 Continuing with the example above, supplier will have 6 and 7 units respectively to put in balance pieces boxes. PLEASE ADVISE THAT THESE BALANCE PIECES BOXES SHALL BE AVOIDED AND BE USED ONLY IN VERY EXCEPTIONAL CASES. Supplier may amend the number of labels proposed by the system if necessary. Finally, when supplier has completed all the fields he must click on the "Save" button and then on the "Print" button to generate single reference storage labels. Version

19 2.4. BALANCE PIECES LABELS Storage label sample (not real size) Clicking this button will give the supplier access to a form where he will have to enter manually the information needed to generate labels for boxes with balance pieces not included in the single reference storage cartons (one single model-colour-size = SKU). The form is as follows: Supplier must enter the following information: Style. Colour. Balance pieces (number of pieces per box). Total labels. Version

20 Then click on the "Add" button and the reference will be added to the list of balance pieces labels: Finally click on the "Print" button to generate labels. The balance pieces label differs from the storage label in that it does not show size or barcode. Balance pieces labels samples (not real size) Version

21 2.5. PACKING LIST Pressing this button, the program will generate a packing list template in Excel format, containing the data of the composition of each prepack. Data for the storage and balance pieces boxes (if any) must be entered manually by the supplier. Version

22 3. PREPARATION OF THE DELIVERY 3.1. CARTON AND PACKAGING REQUIREMENTS Dimensions and weights As a general rule, the boxes to be used should have a base of 60 cm x 40 cm and a maximum height of 40 cm. If the merchandise is very small, boxes of a base of 40 cm x 30 cm and a maximum height of 30 cm may be used. In the event that the goods are bulky, boxes of a base of 80 cm x 60 cm and a maximum height of 60 cm may be used. The weight of each box shall be kept to a minimum of 2,3 kg and a maximum of 15 kg. Version

23 Packaging Material The boxes must protect the goods all the way from the supplier's factory until its receipt by the Group ECI. The boxes must withstand compression support for stacking and be properly closed. The strength of the box must be at least 32 ECT (edge crush test, breaking test limit) to prevent breakage in transit. Those boxes that are large or heavy may require a higher ECT. The material used will be double faced corrugated cardboard (5 PLY): Group ECI recommends the use of recyclable materials on boxes whenever possible Packaging The contents of the box should fit the size of it and ensure its maximum occupancy. Unnecessary empty spaces must be avoided in the packages, but no empty boxes or other items should be used as fillers. All those fragile items (china, glass, etc...) must be packaged so that breakage can be avoided in the normal tasks of handling and shipping of goods. Those packages containing clothing shall observe the following general rules: o The garments should be protected with plastic bags to prevent wrinkles and blemishes. o Package the merchandise in a way that it s stacked horizontally in boxes. Version

24 o To avoid crushing between clothes and reduce the movements, supplier may use tissue paper or cardboard between the separations. o All merchandise with zippers, buckles or items that can cause damage to the garments should have all its elements tightly closed. Boxes should be sealed securely with reinforced / security tape which does not come off. All faces in which the box opens, including edges, shall be sealed using the H method. No bands, straps, ropes or staples can be used on the outside of the boxes. These items can damage the sorting equipment and prevent correct scanning of barcodes Method of preparation of balance pieces boxes Supplier should complete boxes containing balance pieces applying the following order of priority: Version

25 Priority 1: whenever possible, the supplier must attempt to incorporate balance pieces in the storage boxes, but must take into account the following: Different sizes cannot be mixed. Goods shall not suffer any damage. The new quantities per box must be updated in both the labels and packing list and the rest of shipping documents. Example: We have an order for 230 units. The supplier manufactures 236, of which 138 units must be shipped in prepacks. This leaves a total of 98 storage units. Assuming the supplier packs the goods to be stored in boxes of 16 units, we get 6 full storage cartons and 2 balance pieces. These two pieces are not enough to fill a box, so the supplier must allocate them within the full storage cartons already prepared. This way, he will have 2 boxes with 17 units each. Finally, the supplier will have to modify the quantities from 16 to 17 units on the labels, packing lists and other shipping documentation. Version

26 Priority 2: if it is not possible to carry out the first option, the supplier must include all balance pieces with the same style and colour in a box, so that only sizes are mixed. This box can be smaller than full cartons used previously for storage. Priority 3: if the total number of balance pieces is very small and can not follow any of the above options, the supplier must observe the following criteria: Same style mixed sizes: try to make boxes with same style and different sizes. Same colour mixed sizes: try to make boxes with the same colour and different sizes. Mixed styles colours sizes: if none of the above options were possible, supplier can mix styles, sizes and colours in same box. These boxes must carry as many labels as styles and colours contain PREPACKS LABEL PLACEMENT At least two labels should be placed for each box on two adjacent faces: long + short side. If because of the box size it s not possible to place the label on the short side, it shall be placed on the upper face. If the height of the box is less than the height of the label, it may be rotated 90º to place it horizontally. Version

27 In the rare case that even rotated the height of the label remains higher than the side of the box, it will be accepted to place a single label on the upper face. Labels must be placed so that the bottom of the barcode is at a distance of not less than 32 mm from the base of the box and the end of the barcode is at a distance from the vertical edge not less than 19 mm. Barcodes must be clearly visible to be read at all times so they cannot appear wrinkled or covered by retractable seals, security tape, etc., which may interfere with the correct reading PLACEMENT OF STORAGE AND BALANCE PIECES LABELS The merchandise for storage boxes (single model-colour-size = SKU) and balance pieces boxes shall be identified with at least one label on the side of the box. This will facilitate the storage and the subsequent sorting of the goods to the stores from Group ECI s distribution centers. Version

28 3.4. SHIPPING MARKS In addition to the labels explained in the preceding paragraphs, the supplier must identify all cartons (whether prepack, storage or balance pieces) with the shipping marks shown below. The relevant Buying Office will provide a template in Excel format for the supplier to make their own labels and print them with an ordinary color printer. 29 3.5. REQUIREMENTS FOR BOXES CONTAINING SHOES AND OTHER FASHION ACCESSORIES (COSTUME JEWELLERY, HANDBAGS, BELTS ) Due to the size of the inner boxes of some fashion accessories, it s not always possible to meet the above requirements and completely fill the volume of the cartons. In the following sections there is a description of the criteria to be followed to optimize the occupation of the cartons used Merchandise in prepacks Prepack packaged goods must be sent in boxes of more than 2,3 kg and less than 15 kg and not exceeding the following dimensions: Merchandise for storage The goods to be stored shall be sent in single reference boxes (one model, one colour, one size = one SKU). This merchandise will be stored in the warehouses of Group ECI until the goods sent in prepacks for the implementation have been sold. These boxes are to be reused at Group ECI S distribution centers, so their sizes should be as close as possible (never exceeding them) to the following dimensions: Version

31 Group ECI understands that due to the stiffness of these type of goods, it s not always going to be possible to comply with the above requirements and will be tolerant towards those special cases, as long as cartons comply with the minimum and maximum limits CONTAINER LOADING PLAN When loading the container or transport vehicle, the following schemes shall be followed. This will facilitate the unloading on logistics operators platforms (if it is merchandise to consolidate) as well as on Group ECI S distribution centers (if it is a direct shipment). Version

40 APPENDIX 2: LABELLING REQUIREMENTS 1. INTRODUCTION All information relating to the labels that the supplier must generate from the Group ECI B2B portal is explained in this appendix. All boxes must be identified with barcode labels to be read at Group ECI s distribution centers. There are two types of labels: prepack and storage labels. 2. PREPACK LABELS 2.1. CONTENTS Prepack label sample (not real size) Version

BARCODE QUALITY The quality of the printed barcodes shall be A, according to the quality measurement methodology for barcodes established by the ANSI Barcode Print Quality guideline. Group ECI recommends using stain resistant material and inks, and print elements that allow a first attempt reading above 99%. Version

44 Thermal transfer labels should be avoided (rubbing with other boxes during handling and transport causes smearing on barcodes) as well as glossy, or too bright materials (brightness can interfere with the correct reading and this kind of material is more difficult to recycle). 5. TECHNICAL SPECIFICATIONS OF THE LABELLING MATERIALS Once the supplier has downloaded the PDF file from Group ECI s B2B website, the labels can be printed using a regular PC printer and self adhesive paper of size A4 containing four A6 labels per sheet. The requirements for the materials in this appendix have been designed for moist environments, when the merchandise is going to be transported in sea containers on vessels. Without appropriate materials, moisture can blur the barcodes making them unreadable by scanners. Glossy or too bright surfaces can also interfere with a correct scanning. The requirements of the materials of the labels are different for each kind of printer. The types of printers considered in this appendix (most common in offices) are: Laser printers. LABEL VALIDATION In the event that the supplier uses the printer in his own facilities to print the labels, these must be approved by Group ECI in order to guarantee that the barcodes can be read correctly. The supplier must send a label sample to the Buying Office in his area. Once the Office has approved it, all labels printed thereafter must meet the quality requirements approved for the sample sent. The Buying Office will inform the supplier about any problems noticed in the printed labels. The supplier will only send a label sample if it is the first time he creates carton barcode labels for Group ECI or else if he has changed the printer or the paper used. 7. LABEL PRINTING AGENCIES In the event that the supplier does not have resources enough to generate the carton barcode labels by his own means, he may send the relevant information in a file to a label printing agency approved by Group ECI. Supplier will send the carton labels file to the agency well in advance; this agency will generate the labels and send them to the supplier for the labels to be fixed on the cartons. Version

47 APPENDIX 3: SHIPPING MARKS 1. INTRODUCTION All cartons (whether prepack, storage or balance pieces) and fabric rolls (raw materials) shall be clearly marked with the shipping marks shown below. The relevant Buying Office will provide the templates of these shipping marks in an Excel file so that the supplier can make and print these labels with a regular color printer. 2. 54 8. SYMBOLS 9. DIRECTIONS The size of the labels must be A5. This will allow the supplier to print two labels on a size A4 sheet. The supplier must place at least 2 labels on adjoining sides of each box, as shown in the following scheme: Version

55 o Prepack labels and Storage labels will be placed on the other side of the carton following the same above scheme. If the height of the box does not allow placing the label on the side, the supplier may place a single label on top. In the event that items are packed in decorated boxes (no master carton) the shipping marks must be applied directly on the box, trying to preserve the attractiveness of it. In these special cases it is allowed to use a single label. Version

56 For Sfera orders department label shall be sticked next to the SSMM. For raw materials orders at least two SSMM shall be placed on each fabric roll. Version

57 The supplier must handwrite some of the label data, including: o Shipper s name o UNECO (department number) o Order number o Reference number (SKU) o Color o Total meters per piece (only for fabric rolls) o Gross weight and net weight o Measurements (cm) o Number of carton and total number of cartons in the order (e.g. 1/165, 2/165, 3/165, etc.). Number of pieces in case of fabric rolls. o Obviously, this information must be legible. The supplier must complete all data except the number of invoice and packing list number. However, Group ECI recommends including this information if known when carrying out the packaging process. In any case, these data will be mandatory if required by the legislation of the country. The "Made in" is optional, but Group ECI recommends including this information. Version

58 10. COLOURED HANGER RINGS In addition to the shipping marks explained on the previous points, GOH merchandise shall be identified with Secure Over Hanger (SOH) coloured rings. Example of SOH rings These SOH rings will show no size on them and their colour will match the one printed on the corresponding shipping mark label. Therefore, colours to be used shall be the same as for shipping marks: RED FOR MADRID (050, 061, 090, ) BARCELONA BLUE (062) GREEN CANARY ISLANDS (072, 012) Each garment with a hanger must have the appropriate SOH ring attached to the hook. 61 APPENDIX 5: LOGISTICS REQUIREMENTS FOR CARDBOARD PACKAGING 1. CARTON MEASUREMENTS: If the supplier can not comply with these standard measurements, he must contact the relevant Buying Office. In any case, measures should always be multiples or submultiples of the standard module (60 x 40 cm). Depending on the type of product, the maximum height of the packages will be 40 cm (for a base of 60 x 40 cm), 30 cm (for a base of 40 x 30 cm) or 60 cm (for a base of 80 x 60 cm). 2. MAIN FEATURES: The boxes must protect the goods all the way from the supplier's factory until its reception by Group ECI. Cartons must be properly closed and be sufficiently robust to withstand the compression borne by stacking during transport (see diagram next to this paragraph). Unnecessary empty spaces must be avoided in the cartons, but no empty boxes or other items should be used as fillers. The packing material should be minimized. Version

62 The strength of the box must be at least 32 ECT (edge crush test, breaking test limit) to prevent breakage in transit. Those boxes that are large or heavy may require a higher ECT. All those fragile items (china, glass, etc.) must be identified as such on the outside of the box and packaged so that breakage can be avoided in the normal tasks of handling and shipping of goods. The material used will be double faced corrugated cardboard (5 PLY): Group ECI recommends the use of recyclable materials whenever possible. For this reason, the use of glossy materials in packaging is not advisable. The weight of the box should be at least 2,3 kg and not exceed 15 kg. If the supplier is unable to accommodate this requirement, he should contact the Buying Office of his area. Boxes should be sealed securely with reinforced / security tape which does not come off.
