Call to Order Quorum Approve June Board of Directors Meeting Agenda MINUTES: The meeting was called to order by Chair: Wolfgang Guembel at 8:34 a.m. Motion to approve June board agenda. Moved by Carlos Garcia, John Scott Motion Carried.

Guest Presentations - Port Reporter Marty Mako Peter Wing - Port Reporter is a not for profit, community information newspaper published by a group of volunteers. - Published quarterly, 2500 copies distributed to targeted homes with an additional 3500 copies for the summer edition to be made available, also includes a digital version. - The Port Reporter focuses on issues related to the Port Dalhousie Waterfront, the preservation of heritage across the City and encourage residents to work together to improve the environment. - Community advertising available, free event listings available on the calendar of events (Port specific events). - Volunteers are welcome to participate, a person with web development and social media would be an asset. - Newsletters are themed, next edition will focus on Canada 150 (reflect on the history) the following edition theme will be looking ahead. - The presentation details are included following the meeting minutes. Port Reporter Group Discussion - The Port Reporter, led by a new group of volunteers has been rebooted from its original format for the purpose of community education and engagement and that it's a partnership with community stakeholders. - The focus is on collaboration and maintain a positive message. - Businesses can get involved through advertising and volunteering. - There were concerns around the partnership between the Port Reporter and the Conservancy. It was identified that it was necessary for liability purposes that the Port Reporter be under the Conservancy in order to operate as a not for profit. - Councillor Garcia answered questions of the board regarding his involvement in the Port Reporter. It was noted that there was no direct political involvement, support or influence from the Port Dalhousie Ward Councillors.
3 - City of St. Catharines Sabrina Maselli Karen Doyle Port Dalhousie Way Finding Signage (Update) - An initial first draft of the signage was shared, the signage lists the City assets and will be placed in the asset areas (12) identified on the map. - The total costs and installation of the way finding signage will be supported by the City of St. Catharines. - The City will provide an update on installation and exact locates once a date is confirmed. Port Dalhousie Map (Proposal) - It was discussed at the previous board meeting that a map for Port Dalhousie to promote the BIA businesses and area is necessary. - Creative costs range from $1,000 to $2,000++, to keep creative costs lower it is suggested that the template developed for the way finding signage be used. - A total of 4 print options along with samples were shared, the 11x17 tear-off style format is preferred with 5000 copies at a cost of $ All Port BIA businesses members will be automatically listed on the map, for those businesses not included within the BIA boundary can purchase a listing for a $100 advertising fee. - The Chair will work with the City of St. Catharines in the development of the Port Dalhousie Map. Motion to thank the City of St. Catharines for the financial contribution and development of the way finding signage and to support the graphics and way finding signage as presented. Moved by Al Visser, Seconded by John Scott, Motion Carried. Motion to approve the development of the Port Dalhousie Map with an expected cost of $2000-$3500 that the Port BIA will contribute towards the creative and print production. The BIA will explore revenue opportunities outside of the BIA. Moved by Al Visser, Seconded by John Scott, Motion Carried.
4 3. Approve Minutes of May Board of Directors Meeting Motion to approve the Board of Directors Meeting Minutes of May as presented. Moved by John Scott, Seconded by Al Visser, Motion Carried. 4. Treasurer s Report Treasurer away, financial reports not available, deferred to next board meeting. 5. Champion Reports & Updates - Special Events Oktoberfest 2017 Wolfgang Guembel - Marketing & Events Calendar - Rachel Wrighton - Social Media John Scott - Boundary Expansion Al Visser - City of St. Catharines & Council Updates Carlos Garcia - Deferred/No update. - Provide Rachel with event information, events can be forwarded to the Port reporter for inclusion within event calendar. - Deferred/No update. - Deferred/No update. - With the support of Mayor Sendzik the fireworks for Canada Day will take place, an additional $11,000 was fundraised, the fireworks display will be relocated to Henley Island, it is unknown at this time if the grandstands will be open. - Weather has delayed the opening of Lakeside Park, sod has started, the sun shelter for the mobi-mat area has been built, Alectra will connect hydro once water has receded. Official opening date to be announced.

New Business - Recording Secretary The current recording secretary will conclude on July , Karen Doyle will assume the BIA city liaison role in the interim, a recording secretary will be required for future board meetings, once a person is confirmed Sabrina/Karen to facilitate introduction to the City for posting of web information and procedures. - Port Dalhousie Marketing The City of St. Catharines Tourism has weekly social posts specific to Port Dalhousie, those businesses interested in providing any giveaways or promos please contact Karen. - Heritage District The Chair provided comments regarding the development terms for the Heritage District of Port Dalhousie. A motion that the Port BIA supports the comments prepared by the Chair and an official letter issued to the City regarding the Heritage District of Port Dalhousie be submitted. Moved by Al Visser, Seconded by John Scott, Motion Carried. 7. Next board meeting Tuesday July , 8:30 a.m. at Lock Street Brewing Company. 8. For our June issue we ve printed 3500 for extra distributing throughout the summer. PROUD TO BE COMMUNITY SUPPORTED Never doubt that a small group of thoughtful, committed citizens can change the world; indeed, it's the only thing that ever has. Port area residents purchase goods and services all across the City and your organization may be interested in this targeted approach to get information out about your product or service. Margaret Mead The Port Reporter focuses on issues relating to the Port Dalhousie waterfront, the preservation of our heritage across the City and encouraging residents to work together to improve our environment. It is currently published quarterly, usually in March, June, September and December. The paper is hand-delivered individually and not buried within a multitude of ads and flyers as is the case with other delivery methods. Combined with a low cost for the ads, your business/ organization can get its message out to an interested population in an economical method. 1
