No. SPG/EU/17-18/Disposal of Prosopis Juliflora Cut Woods/SPL Date: Due date: before:2.00 pm Disposal of Prosopis Juliflora (Seemai Karuvela Maram) Cut Woods in IITM Campus 1) Quotations are invited for the Disposal of Prosopis Juliflora (Seemai Karuvela Maram) Cut Woods in IITM Campus and the offers/bids should be submitted as per the proforma given in Annexure A in sealed cover within the last date. 2) The sealed tender should be superscribed as Disposal of Prosopis Juliflora (Seemai Karuvela- Maram) Cut Woods in IITM Campus on the left upper corner of the cover. 3) The contract is for disposal of Seemai Karuvela Maram cut woods lying in the campus of IITM which are identified by the Horticulture Section on as is where is basis. 4) Approximately 600Tons of cut woods are available in the IITM campus. 5) The total wood quantity may increase or decrease. 6) Loading,Transportation and unloading will be the responsibility of the successful tenderer. 7) The successful bidder should bring their own vehicle, equipment, tools, safety equipment/gears, manpower and any other materials required to lift the cut woods and to transport the same from various locations in IITM campus to outside the campus. 8) The vehicle should enter the campus after obtaining entry gate pass and the empty vehicle should be weighed before lifting the cut woods. (Tare weight) 9) After loading the cut woods the loaded vehicle has to be weighed. 10) The removal, loading and weighing of cut woods should be made only in the presence of staff of Engineering Unit, Security Section. 11) Weigh bridge is available near out gate of IITM. The same may be used for weighing purpose. 12) Every loading will be done after prior intimation. 13) Gate pass will be issued by Engineering Unit for moving each lot from IITM campus. 14) The entire cut woods are to be removed only on working days (between AM to 5.00PM) 15) The interested bidder may visit IITM campus for assessing the cut woods between AM to 5.00PM on (Contact Name: Mr. V Seenivasan, SHO ). Any clarification with regard to tender will be provided on the same day. 16) The loaded vehicle will be accompanied by the security personnel upto the exit gate. 17) All labour, tools and equipment for loading the items from IIT Madras to buyer`s trucks with all leads, lifts, etc., shall be at the cost of the buyer. 1

2 18) The personnel employed for the disposal action (job) shall strictly obey the Safety Rules in force while working in IIT Madras Chennai 19) The rate should be quoted on per Ton basis. 20) Tax and any other levies should be indicated separately in the Annexure- A. 21) The job shall be done without damaging the premises / roads / drains / etc. The buyer shall make good the damages, loss, etc., in the event of any occurrence otherwise. 22) No animals shall be harmed in the process of removal, failing which penalty will be imposed as per the prevailing rules of IIT Madras and that of the government. 23) Taxes, as applicable at the time of taking delivery of the items shall be at the cost of buyer. 24) The period of contract will be for 1 month within which the successful bidder shall complete the entire work. 25) The contract period will be extended for a further period with prior intimation based on the requirement. 26) Thehighest bidder will be the awarded with the contract. 27) The entire lot identified by the officer in charge is to be removed in as is where is basis. 28) The material shall be collected only in trucks licensed to carry such products and the driver of the vehicle should have valid driving licence. 29) No other material should be removed from the site. 30) IIT Madras, Chennai also reserves the right to accept / reject the offers or cancel the whole tender proceedings without assigning any reason whatsoever. The decision of IIT Madras will be final and binding on the bidder(s). BIDDERS are not entitled to claim any damage or compensation in case of such cancellation. 31) In case of two (or) more bidders quoting the same rate, IITM reserves the right to divide / split the order between highest bidders. IITM reserves the right to identify the lots for each bidder and the decision of IITM shall be final and binding on the bidders. 32) Jurisdiction: The disputes, legal matters, court matters, if any shall be subject to Chennai jurisdiction only. 33) The tender should be valid for a period of two months from the date of opening the bids. 34) The tender shall be legible and free from erasing and over-writing. Corrections, if any, should be duly attested by the authorized signatory. All pages of the tender documents should be signed by the bidder. Unsigned tender document will be summarily rejected.rates should be written both in words and in figures. 35) All payments due from the bidder under the contract shall be made in Indian Currency. 36) Tenders submitted without fulfilling the above and in contravention to the tender notice are liable to be rejected. 37) The Tender Notice and connected Annexures shall form part of the contract. 38) The work should not be initiated without an official work order. 2

3 39) Payment:Bidder has to remit proportionate payment depending on the weight of the wood lifted on daily basis. The weightment of cut woods will be carried out in presence of staff of Engineering Unit, Stores and Purchase and Security Section. 40) The successful bidder should pay 50% of cost of disposal as deposit amount before lifting the materials. The amount paid shall be adjusted against actual quantity of material removed from site each day. Removal of cut woods will be allowed only if sufficient advance payment is available with the Institute. Further sufficient advance shall be decided based on availability of woods. 41) If the amount deposited is adjusted to the cut wood lifted the bidder should deposit the remaining cost in proportionate to the value of cut wood available for lifting. 42) If the bidder fails to complete the work or any portion thereof as agreed upon or refuses to comply with any directions given to him, IITM shall initiate action to terminate the contract and forfeit the Deposit. 43) IITM will not be responsible for any loss suffered by the bidder or his men for whatsoever reason. 44) EMD of Rs.10,000 has to be submitted by the bidders in the form of Demand Draft along with the tender document. EMD should be drawn in favour of Registrar, Indian Institute of Technology, Madras. 45) Late tenders are liable to be rejected. 46) Corrigendum, addendum and date extension if any will be published only in the Institute website and as well in Central public procurement portal (CPPP).
