3 Job Description Job Title: HR Systems & Data Advisor Hours: Full-time 35 hours per week Responsible To: HR Business Partner Works With/Key Contact: HR/ L&D team Staff and Managers across the Home Sage helpdesk Location: London Duration: 12-month fixed term contract Responsible For: N/A Salary: 32,300 per annum Context and Background Established in 1860, Battersea Dogs & Cats Home aims aim to never turn away a dog or cat in need of our help, caring for them until their owners or loving new homes can be found, no matter how long it takes. We are champions for, and supporters of, vulnerable dogs and cats, determined to create lasting changes for animals in our society. We currently operate from three centres in Battersea London, Old Windsor in Berkshire and Brands Hatch in Kent. Every year, we care for over 7,000 dogs and cats. The Human Resources team works in partnership with Directors, managers and staff across the Home to help them achieve their objectives, and provides high standard advice, guidance and support on all human resources and development issues. Our objective is to recruit, develop and retain high quality staff to enable the Home to provide the best possible support for the animals in our care whilst we are finding new homes for them, and to educate the public about responsible pet ownership. We are currently leading on a number of initiatives to further improve our ability to deliver these objectives. Main Purpose of the Role To create and produce HR Management Information to inform organisational decision making, to be the System Administrator of the HR Information System (Snowdrop), and ensure compliance with Data Protection legislation, including GDPR for all staff records. Overall Objectives Create accurate and up-to-date HR Management Information to support HR plans and enable insightful organisational decision making Be the HR Information System Administrator, ensuring its capabilities are optimised to improve efficiency and effectiveness of HR processes, implementing system changes, developing solutions, and supporting end users with the system Implement best practice records management processes across HR, ensuring compliance with Data Protection principles and the GDPR requirements Ensure the accurate and timely recording of information by staff and managers across the Home through effective use of the self-service function

4 Responsibilities Create and produce reports using Snowdrop, Crystal reports and Excel with accurate HR information internally (e.g., payroll reporting, management reporting and decision-making) and externally (e.g., statutory reporting and pay surveys). This includes creating new report templates, running bespoke reports and analysing data to provide meaningful insight and analysis. Approx % of time 25% Be the main point of contact with the Snowdrop helpdesk/ account management team and the Home s IT team and act as the System Administrator for Snowdrop, responsible for updates, regular system maintenance, testing and implementation of changes/improvements, resolving system issues, managing data imports, licences, user access, etc. Use Snowdrop to make business processes more efficient and effective (e.g., rotas, workflows) and recommend and implement system/ reporting improvements to HR administrative and management processes to enhance the functionality of Snowdrop. Maintain awareness of other organisational IT projects and any linkages/impacts on Snowdrop, contributing to any discussions on future systems developments, evaluating existing functionality and making recommendations for enhancements. Provide training, advice, and user guides for all users of Snowdrop, including the HR/ L&D team and Staff/ Managers using the self-service function. Support the HR team with the annual pay award, providing accurate pay data, maintaining and updating pay scales and individual pay records, supporting with the production of letters, and uploading letters onto Snowdrop. Act as the department s representative on the Data Protection Steering group, leading on the HR team s implementation of the GDPR, identifying, communicating and making necessary changes to HR systems, policies and processes to ensure compliance and ensuring full understanding and implementation of GDPR requirements and process changes across the team Implement processes to ensure all HR data (electronic and hard copy) is collected and stored securely and appropriately in accordance with the Home s Data Retention policy and legislative requirements. Ensure HR data stored on Snowdrop (through administrative access and self-service) is inputted and maintained accurately by carrying out regular quality checks and data cleanses. Significant experience of managing an HR database and understanding and using system functionality/capabilities to improve HR processes and reporting. Experienced user of Crystal reports and good knowledge of SQL IT literate with advanced Excel and good proficiency in other MS Office applications Experience of communicating technical information clearly and simply, with the ability to adapt your communication style for different groups Strongly numerate with strong analytical skills, and excellent attention to detail Experience of training users and developing written user guidance Experience of delivering high quality work with minimum supervision A flexible approach to managing and prioritising a high workload and multiple tasks Proven experience of working constructively and collaboratively with colleagues from different teams Experience of keeping up to date with and applying good practice in your role Experience of positively embracing and adapting to change Experience of suggesting and taking the initiative about new ways of working that have been successfully implemented Excellent written and spoken English Understanding of, and a commitment to the vision, mission, and values of Battersea Dogs & Cats Home Desirable Experienced Snowdrop Systems Administrator with experience of writing complex Snowdrop reports CIPD qualification
