3 PARTICIPATION OPTIONS (all found at SECTION A INSTRUCTIONS The is made available to members of the Management Association and TMA. If you are a member of both groups, you need only participate once to be included. 1. Participate online. See our invitation for your custom link. This is our preferred participation method. 2. Participate via spreadsheet. Download our Excel spreadsheet and e mail it back. 3. Participate on paper. Return Section B (all sides) via (surveys@hrsource.org) or fax ( ). MATCHING JOBS All of our survey benchmark jobs are graded using the Management Association s point factor plan. If you use our job evaluation plan, report your salaries for the job titles and grades that best match your jobs. Some job titles may have more than one grade level. If you do not use our job evaluation plan, carefully read the job descriptions to be sure that your job matches are accurate. We consider it a good match if 70% of your job is found in our description. You may not be able to report on every job in your organization. If a job is currently vacant, do not report anything for that job. DATA REPORTING FORM If you have more than one employee within a given job and they each earn a different salary, then you will need to take the average of all of their salaries and tell us the total number of employees for which the average was configured. Report salaries in effect as of March 1, Salaries are defined as actual straight time pay. Do not include overtime premiums, shift differentials, bonuses, or any other incentives or variable pay components. REPORTING AVERAGE SALARIES The following examples demonstrate how to calculate an average weighted by number of employees. # of Emps Hourly Rate Total Rate 1 X $8.50 = $ X $10.50 = $ X $9.00 = $ total = $56.50 Divide total pay by total number of employees: $56.50 / 6 = $9.42 Average weighted by employees # of Emps Annual Rate Total Rate 1 X $47,900 = $47,900 1 X $43,790 = $43,790 2 X $50,000 = $100,000 4 total = $191,690 Divide total pay by total number of employees: $191,690 / 4 = $47,923 Average weighted by employees PART TIME EMPLOYEES To include part time employees in this survey you ll need to convert their salary to an hourly rate and then average all of the rates for the position together (part time and full time). See example below. Example conversion for an employee who works 20 hours a week and earns: WEEKLY: $300 ($300/20 = $15/hour) MONTHLY: $1,200 ($1,200/80 (20 hours x 4 weeks) = $15/hour) ANNUALLY: $15,600 ($15,600/1040 (20 hours x 52 weeks) = $15/hour) ANNUAL BONUS/CASH INCENTIVES Enter the average annual bonus/cash incentives provided to employees in the position. Calculate averages based only on employees receiving an annual bonus/cash incentive. Do not include shift differentials, overtime premiums or any base salary adjustments. PAY BASIS Indicate the salary basis used when providing the salary for the position i.e., Hourly (H), or Annually (A) by using the appropriate letter in the rate reported by column. Do not convert other bases or time periods. COMBINATION JOBS If you have jobs which combine the duties of two or more jobs in this questionnaire, report salaries under the highest graded job only. 4 SECTION A FREQUENTLY ASKED QUESTIONS (FAQ) How long will it take me to complete this survey? It depends on how many jobs matches you have at your organization and if you ve participated in the past. We estimate an hour or two. If you need help at any point, please let us know. Do you want my data even if I only have a couple of jobs that match? YES! Please provide us with as many job matches as you have, even if only a few. As a member, will I be able to get free survey data if I don t participate? Members are no longer able to call our Hotline for free survey data unless they participate. You will, however, be able to purchase the survey at the member discount. Can I get a copy of what I submitted last year? Yes! Please us (surveys@hrsource.org) to request your 2017 data report or to get a copy of your 2017 Excel spreadsheet if you participated via Excel. We encourage all participants to keep a copy of what they submit in case there is a problem with transmission. What happens if I need help filling out the questionnaire? Call us: We are more than happy to help you over the phone, or in person. Please do not hesitate to ask for assistance, especially if it makes the difference between participating or not! Does it really matter if I participate every year, or can I just complete it every two to three years? One of the keys to having a reliable survey is repeat participation. When organizations come and go from a survey, the statistics reflect that movement. While each year s survey is valid in and of itself meaning that the reported averages and percentiles are calculated correctly the trends from year to year can change dramatically. For example, a market leader joins a survey and the addition of their data significantly increases the survey average for customer service representatives (CSR). You then use that reported average to determine that you should increase the pay range for your customer service representatives. The next year, the market leader decides not to participate in the survey and in so doing, the reported average for the CSR drops. Now it appears that you should cut your CSR s pay when in reality, had the other organization maintained participation, the average would have most likely slightly increased. These kinds of swings in statistics lead to distrust and doubt of a survey s validity. Is my data kept confidential after it s submitted? Can other organizations find out what we are paying? We treat your organization s pay data with the utmost protection. We only report on jobs where five or more organizations submitted data. We only report aggregated data, never organizational specific data. Can I earn HRCI credit for participation? Yes. You can earn one leadership credit per year. Qualifying surveys will be highlighted in our invitation s and directions for claiming your credit will be provided in the confirmation .
