On July 31, 2007, official action was taken to award the above-referenced bid to International Restaurant Distributors, Inc. This bid is a three-year contract, renewable annually based upon mutual consent of both parties. The first year of the contract will expire on July 31, Considering services have been satisfactory, Mark Spencer, National Sales Manager, International Restaurant Distributors, Inc., was contacted to verify his willingness to enter into the second year of the agreement. As such, International Restaurant Distributors, Inc. has agreed in writing to enter into the second year of the contract with a price increase of $1.03 per unit price (except for items #5 Pressureless Connectionless Steamer, 208 volt, and Item #6 Pressureless Connectionless Steamer, 480 volt, these items were not awarded on bid). The increase is based on the monthly producer price indexes published by the Bureau of Statistics, U.S. Department of Labor using combined cumulative data with 50% weighting from Industry Data Series ID: #WPU , Group: Machinery and equipment, Item: Commercial cooking and food warming equipment, using the month of December, final version, and 50% weighting from Industry Data Series ID: #PCU , Not Seasonally Adjusted, Industry: General freight trucking, long distance, Product: General freight trucking, longdistance, using the month of December, final version. The annual percentage change in the Producer price index is based on the December 2007 index for the second contract year, as stated in the bid documents. At this time, it is my recommendation to enter into the second year of the agreement with International Restaurant Distributors, Inc. with the requested increase as allowed under the bid s terms and conditions. Term of Contract: This bid is for purchasing large kitchen equipment for Food and Nutrition Services to replace old equipment that can no longer be repaired at various schools and to purchase equipment for the two new schools. This is the first year of a three-year bid, renewable annually by written consent of both parties. The first year of the contract is effective August 1, 2007 through July 31, Notations and Exceptions: Recommend acceptance of bid from International Restaurant Distributors as the lowest and best responsive and responsible bid meeting written specifications. Award based on total All or None pricing. Recommend rejection on item numbers 5 & 6: Pressureless Connectionless Steamers due to incorrect specs on bid. Would like permission to rebid these items at a later date. Recommend rejection of Great Lakes Hotel Supply Company for not submitting Bid Bond as stipulated in bid document. The bid prices MUST remain firm and fixed for the first year of the contract. Bid document allows the School District to grant fee increases (or decreases) prior to each annual contract review. Increases (or decreases), if granted, shall be in increments of full cents per purchase unit only and shall be based on the monthly producer price indexes published by the Bureau of Statistics, U.S. Department of Labor. Total savings was based on current commercial prices. Offers from the vendors listed herein are the only offers received timely as of the above opening date and time. All others submitted in response to the solicitation, if any, are here by rejected as late.
