3 1.0 General Expo Management Information TiE is pleased to have chosen Rossi Expositions Inc. as its official show management company. Rossi has established a TiEcon website portal from which you can order additional services beyond what comes standard with your Exhibitor Booth Package. Rossi will forward each exhibitor login information for accessing this resource. You can contact Rossi at info@rossiexpo.com. 2.0 General Exposition Hours The TiEcon 2016 Exposition is open for attendees on Friday, May 6 th from 10:00 am to 7:00 pm; and on Saturday, May 7 th from 10:00 am to 6:00 pm. 3.0 Exhibitor Move-In Schedule Depending on booth size, the below schedule specifies the date and time for move-in: Large Exhibitor Booths (8x20 and larger): Thursday, May 5 th from 8:00 am to 12:00 pm. All Other Booth Sizes: Thursday, May 5 th from 12:00 pm to 5:00 pm; and Friday, May 6 th from 7:30 am to 9:30 am. If you have contracted Rossi to assemble an exhibitor-owned, custom display booth, then please contact Rossi not later than Wednesday, May 4 th for any updated information. If you have contracted with another Exhibitor Appointed Contractor (EAC) to assemble an exhibitor-owned, custom display booth then have your contractor follow the move-in schedule outlined above. Please note that all EAC s must utilize union labor and have an EAC form, with proof of insurance, on file with Rossi Expositions. Please note that all booths must be setup no later than Friday, May 6 th by 9:30 am before the start of the event. 4.0 Exhibitor Move-Out Schedule The Expo event officially closes Saturday, May 7 th at 6:00 pm. Exhibitors should remove their exhibit material and vacate their booth between 6:00 pm to 10:00 pm. If you have brought your own custom booth displays and contracted with Rossi for assembly/dismantle, then breakdown will on begin at 6:00 pm on Saturday, May 7 th. If you contracted with another service to assemble/dismantle your custom display booth, your contractor should begin move-out on Saturday, May 7 th from 6:00 pm to 10:00 pm. 5.0 Exhibitor Booth Material Move-In and Move-Out Rules The following specifies what material exhibitors can self-carry into the event for use in their booth: Sales and marketing literature, and other printed material. Electronic equipment such as LCD screens and laptop computers used for demonstration purposes and product examples for display. If you have questions about bringing other equipment into the event, please contact Rossi.

4 Exhibitors may also bring their own portable booth displays, such as pop-up booths and kiosks; provided they fit within the dimensions of the booth you purchased, or have arranged with Rossi for custom booth arrangement services. 6.0 Shipping Exhibitor Freight to the Event All exhibitor freight shipments to and from the event must be contracted and managed through our official contractor: Rossi Expositions Inc. Exhibitors can schedule any such freight through the Rossi TiECon exhibit order site. Advanced freight order deadline is Wednesday, April 27. IMPORTANT: All freight should be shipped to the advance warehouse address. Any freight shipped directly to the Santa Clara Convention Center can ONLY be scheduled for delivery on Thursday, May 5 th, from 8:00 am to 5:00 pm. Exhibitors will incur a Show Site Freight fee that must be paid prior to receiving their freight. The TiE organization, its volunteers or agents, and/or Rossi Expositions, cannot be held responsible or liable for any freight shipments that have not followed the freight shipping directions set forth in this Exhibitor Guide. 7.0 Exhibitor Booth Signage Exhibitors may bring their own special signage for use within the confines of their booth. Signage cannot obstruct or impinge on another exhibitor s booth space; or extend into the walkway aisles. Exhibitor booth packages include a simple ID sign with the exhibiting company s name, these signs are constructed using cardstock and printed in black lettering, which hang from the top of the draped back-wall. If you would like to enhance the image of your booth, Rossi Expositions offers custom sign production and design services. You can order such services through the Rossi/TiEcon exhibit order site. 8.0 Exhibition Hall Security Physical security services will be on duty during Exposition hours. After closing each exhibit day, the Exhibit Hall will be locked and secured. Therefore, you can leave such items as marketing material, video displays, and other such equipment in your booth during the overnight hours. However, it is advised that personal electronic items such as cellular phones, laptop computers, and tablet computers be removed at the closing of each day s Exposition. 9.0 Entertainment at Exhibitor Booth Exhibitors may hold raffles, give-a-ways, contests, and other such entertainment activities at their exhibitor booth; providing that such activities do not interfere with other exhibitors or unsafely obstruct the aisle walkways.

5 10.0 Digital Communications Services As part of the Exhibitor Booth Package, a shared WiFi service is offered to all exhibitors. Since this service is shared, it may not be suitable for product demonstration purposes because of its up/down load speed and capacity. If you require a more comprehensive digital communication resource at your exhibitor booth, a hardline Internet connection can be ordered through the Rossi/TiEcon exhibitor order site Exhibitor Assistance Services An Exhibitor Help Desk will be maintained and staffed by TiEcon personnel during the Exposition show hours to assist exhibitors with ongoing needs during the event. TiEcon Expo personnel will coordinate with Rossi Exposition to manage service requests Additional Exhibitor Equipment Rental Services Each Exhibitor Booth Package includes the basic amenities, such as countertop, stools, waste basket, electrical power, and so on. However, exhibitors might require additional video equipment, furniture, and other such items, as well. Such additional services can be easily ordered through our official event contractor Rossi Expositions. You can order such services through the Rossi/TiEcon exhibitor order site Exhibitor Booth Management Exhibitor booths are expected to be manned by exhibitor staff during the official event hours of each day. In the event an exhibitor only has one staff member at the event, the booth can be left unattended periodically for breaks, lunch service, and or to attend a Conference activity. However, exhibitors who have purchased a booth but have not moved-in and initially staffed their booth Friday, May 6 th by 9:30 am, could be considered abandoned. Such abandoned booths can be reassigned/re-sold to another exhibitor at the discretion of TiEcon management Exhibitor Booth Electrical Management Each Exhibitor Booth Package includes electrical service in the form of a single, 500 watt outlet. Exhibitors should bring and use their own standard grounded extension cord to power devices in their booth. Exhibitors should also bring and use their own single, standard multiple plug outlet strip, to power multiple devices. Please do not combine or string together multiple outlet strips to the single electrical service in the booth; as doing so creates an electrical hazard and violates Municipal Fire Safety Codes. Also, no electrical cords can cross walkways, in or out, from your exhibitor booth.

6 If you need additional extension cords, or your proposed electrical requirements exceed what is provided in the standard Exhibitor Booth Package, You can order additional services through the Rossi/TiEcon exhibitor order site Attendee Information Retrieval Process Each TiEcon event badge has a QR code that contains the attendee s/exhibitor s contact information as provided. This QR code can be read using your smartphone with any appropriate app ; or by any other such reading device designed for such purpose Media Promotion Optional Programs Video Interview Promotion TiE Media Team will help promote exhibitors by creating a promotional video for them at the event. Exhibitors will be given access to their promotional video. Social Media Distribution TiE will distribute exhibitor content via its Facebook, Twitter, and YouTube channels. Interview Production Services Exhibitors are welcome to produce their own content through their existing resources or can utilize the services of TiE s media partners (please note there may be a separate charge for this determined by the media partner you choose, and appointments can be made at the Media Booth the day of the event.)
