Professional Engineers, Architects, and Surveyors Meeting Minutes MEETING DATE Thursday, June 26, 2014 at 10:00 am SUBJECT Pre-Bid PROJECT NAME Hurricane Isaac Damage Renovations to the Pontchartrain Center MINUTES DATE ISSUED 06/26/2014 PROJECT NUMBER G MINUTES BY Logan M Harrell ATTENDEES, COMPANY (See attached Sign-In Sheet) MEETING MINUTES Pre-Bid Meeting Start Time: 10:00 am The Pre-Bid meeting started in the Pontchartrain Center Lobby and was followed by a building walk through to discuss the complete scope of work. Linfield, Hunter & Junius, Inc. (LH&J) introduced the design team and owner s representative. For this project proper coordination with the architect, owner, and user group will be critical. All work will need to be performed in accordance with the owner s and user group s requirements. Stephen Braquet will act as the Project Manager. Logan Harrell will act as the Project Architect. Zab Meyers will act as the User Group s Representative. LH&J outlined the scope of work to be provided in the contract as outlined in the base bid. The project schedule is 150 days from Notice to Proceed. This includes all work associated with renovation and work in Halls A, B, and C along with their entrances from the lobby, and other various locations in the Pontchartrain Center due to Hurricane Isaac water and wind infiltration. Liquidated damages are $ per day; additional sets of plans and specifications can be purchased from LH&J for a $ deposit. Bid opening is scheduled for and will remain on July 15 th at 10:00 am in the Purchasing Conference Room at the City of Kenner Purchasing Department. Contractor to submit questions, RFI s, clarifications or prior approvals to the architect by 12:00 pm on July 11 th to be included in the last addendum. Contractors are to submit all questions in writing to the architect to be included in any future addenda s, i.e. , fax, U.S. mail, etc. The project budget is an estimated $600,000. Contractors are to submit all prior approvals to the architect to be included in any future addenda s (no substitution will be allowed once the project is bid). Contractor to perform all work in strict accordance with the Pontchartrain Center s security standards. This includes all employees associated with the contractor and sub-contractors. Prior to construction the successful contractor is to schedule a meeting with the User Group s (SMG) of the Pontchartrain Center to review the event schedules in advance (2 weeks). 4 Linfield, Hunter & Junius, Inc. Professional Engineers, Architects, and Surveyors It is critical that the contractor coordinates with SMG on their event schedule. All work is required to meet the current code requirements as indicated in the construction documents. Contractor is responsible to coordinate with the roofing contractor of a separate contract for the roofing project, for the installation of the mechanical ductwork extensions to ensure a high quality installation. The warranties provided in conjunction with the requirements must have the legal jurisdiction in Jefferson Parish, State of Louisiana. Contractor to provide a full time superintendent on site for the duration of construction. Contractor to be licensed in the State of Louisiana, and must be in good standing with the State of Louisiana. Owner requires a high quality project from the fasteners to the overall renovation process. Contractor to acknowledge all addenda on the Louisiana Public Bid Form. Prior to construction the contractor, owner, and architect are to locate a staging area. The building s original drawings are available for scheduled review at the office of LH&J. However, these drawings cannot be relied upon as confirmed As-Built drawings. The building walk through followed the meeting.
