2 Job description Job title: Senior HR Advisor Division: CO Date: April 2015 Reporting to: HR Manager Main contacts: Internal: divisional colleagues and staff from other divisions at all levels, as required. xternal: external agencies/suppliers as appropriate, professional bodies, other employers. Major objectives To provide assistance and support to other members of the HR team and act as an advisor to managers for all employee relations issues. To take responsibility for producing xecutive level reports and any required HR information for the organisation. To oversee the monthly payroll and auto enrolment process. To support and manage the recruitment process. Responsibilities Recruitment Carry out interviews alongside managers. Prepare paperwork for interviews and recommend relevant assessments. Record up to date equal opportunities data on all applicants. Produce regular reports on recruitment, monitoring recruitment spend, candidate source and seeking ways to increase direct recruitment. Work closely with our Preferred Suppliers to ensure the smooth running of the recruitment process and review terms and conditions alongside the Procurement team. Run job evaluation panel meetings for any newly created roles. mployee relations Run 2nd line disciplinary and grievance hearings/outcome meetings and absence management meetings advising on a way forward in line with company policy. Advise colleagues on employment legislation, policy, process and procedure. Update the company policies, procedures and template letters as and when required in line with legislation. Keep up to date with employment legislation and flag up any changes that will impact on AAT to the rest of the team.
3 Produce paperwork for hearings, ensuring that all meetings are accurately recorded and the outcomes confirmed in writing and recorded on the HR systems. Assist the Chief People Office/HR Manager with any re structures or consultations. Training, learning and development Book training courses and events as requested, through liaison with training organisations. Assist the rest of the HR team in organising training and development activities in line with the training strategy. Carry out induction training for new joiners and managers, regularly review induction materials and update accordingly ngagement Work with the Chief HR Officer to run the annual staff engagement survey. Work with the HR Manager conducting focus groups in areas of the organisation with low staff engagement. Coordinate quarterly snap shot engagement surveys. Produce reports for management from exit interview analysis to identify any improvements to increase staff engagement levels. Internal relations Develop and maintain good working relationships with colleagues within the HR team and across AAT so as to promote the reputation of the division as the centre of excellence. Hold monthly management meetings with all Grade 3 and 4 line managers to proactively discuss and advise on any upcoming or present issues in terms of recruitment, performance, absence, training etc. Contribute as appropriate to the AAT s internal communications and represent HR as a brand champion. Reporting Carry out quarterly management information reporting. Carry out quarterly recruitment and retention reporting. nd of year reports. Monthly absence management reports/dashboards. Best company survey. ngagement surveys. General HR reports as and when required by Senior Management. Payroll Oversee the permanent monthly payroll. Work closely with finance to ensure accuracy for the payroll function. Suggest improvements for the HR database to ensure the smooth running of payroll. Oversee the auto enrolment process ensuring all new joiners are checked for eligibility. General HR Produce HR Management reports as and when required. Oversee and maintain all HR systems and records including carrying out the year end procedures. Oversee the management of the CaptureIT system and train new line managers in how to use it. Keep manual personnel records and personal development folders up to date. Liaise with the company benefit providers and process information accordingly.
4 Undertake such other duties and projects as may reasonably be required by the HR Manager. Work in such a way as to minimise the risks to the information technology environment - safely, securely and confidentially. Handle confidential and sensitive information appropriately. Take responsibility for own CPD. Act as a mentor to the HR Advisor and HR Administrator. Customer centricity Develop friendly, positive and supportive relationships with external and internal customers, and to provide them with excellent service. Actively to learn from customer feedback, comments and suggestions, including complaints, to review and improve existing processes, and by doing so to anticipate other customers needs. To communicate this knowledge to relevant colleagues. Meet and exceed teams customer service standards. Understand situations from the customers perspective so that appropriate and relevant solutions can be identified.
