1 UNIVERSITY OF DERBY JOB DESCRIPTION JOB TITLE DEPARTMENT / COLLEGE LOCATION Deputy Administrative Officer (Fixed term, 12 Months) Health and Social Care Research Centre, College of Health and Social Care Kedleston Road, Derby DE22 1GB JOB NUMBER SALARY 22,285-24,395 per annum REPORTS TO Senior Lecturer, Health and Social Care Role Summary The Health and Social Care Research Centre is the research centre for the College of Health and Social Care and works in partnership with our local NHS Clinical Commissioning Groups. The Centre offers a multi-disciplinary approach to academic and applied research and evaluation in the field of health and social care with the overall aim of building healthy, sustainable communities across Derbyshire. The disciplines currently represented in the Centre include primary care, public health, psychology, nursing, midwifery, allied health professions, arts and health and medicine. The Centre has three broad thematic areas of work: Optimising individual health and wellbeing enhancing the management, care and treatment of service users. Promoting healthy communities improving the health and wellbeing of local populations and communities. Building and developing an effective health and social care workforce including building the professional evidence base and transforming the roles of health and social care professionals. The Deputy Administrative Officer role will play a lead role in ensuring the creation and maintenance of efficient systems and processes to support the Research Centre s functions. The post holder will work with the Head of Centre and the Senior Lecturer to ensure that all projects are delivered on time and within the finances available. They will assist the lead investigators in bid preparation, research governance processes, project and financial management, and dissemination of project findings. The post holder will have responsibility for specific areas of work from start to finish and, as a consequence, for organising and prioritising workloads within required timelines. The post holder s work will require forward planning, to meet known short and medium term deadlines. This role will involve frequent interaction with others where initiative to resolve problems and queries will be required. 1

2 Principal Accountabilities INFORMATION TECHNOLOGY Use electronic communication media for internal/external audience ie /skype/word processor Adopt University information systems to the advantage of the Centre and seek electronic business solutions to help the Centre manage its business Employ a range of IT skills to manage and progress workload efficiently Ensure accuracy of databases through effective working practices ADMINISTRATION TASKS Support the Head of Centre and Senior Lecturer in the production of corporate reports Support lead researchers in the development of research bids, administration of project grants and reports, and dissemination of findings commensurate with the grade for the post. This may include working with finance colleagues to cost projects, working with HR to organise recruitment of staff, and helping the researcher manage projects budgets. Responsible for the collection, collation and reporting of REF related information in support of the College REF lead. This will include liaising with college staff to capture research interests, publications and bids and will require the post holder to develop suitable databases to capture the information Responsible for implementing University procedures and develop appropriate local systems of work to support the Centre in delivering its business Working with the Head of Centre and senior lecturer, develop systems, processes and procedures that ensure research governance, financial governance, quality and effectiveness are all delivered for individual projects and for the Centre as a whole. These processes are complex and the post holder would be expected to exercise their own judgment about how to best ensure compliance and efficient running within the Centre The successful candidate will be responsible for the development of the systems and processes described above and would have considerable autonomy in the role. Assist with the administration of the development and performance review activities for the team, equipping and enabling staff to deliver the required professional standard ORGANISATIONAL Organise operational meetings for the Centre staff to ensure delivery of corporate and project objectives Support the Head of Centre in Academic, corporate and clinical roles as required Organise aspects of large events, eg. Conferences, end of project meetings etc. Support the progress of projects through to completion and review end results to learn how best to manage future projects. Project will vary in size from 20k 3 month evaluations to 200k+ multiyear research programmes Co-ordinate the day to day administrative support for the Centre 2

3 SERVICING COMMITTEES Arrange/organise and Service meetings as required Represent the team on internal/external committees/groups CUSTOMER CARE Develop and maintain service information including effective recording and retrieval of information. This may include: o A database of research active and interested staff within the college o Database of external contacts across the County, region, country and internationally to support the development of the Centre o Data capture on ongoing projects to ensure key milestones are hit by the lead investigators o Support the Senior Lecturer in budget reporting on a regular basis Continually develop the service and systems used by the Centre Provide information, advice and guidance to the rest of the Centre team, college staff and post graduate students on the research projects the Centre is leading on and how to develop research bids TEAM DEVELOPMENT Seek out opportunities to learn and develop Actively involve others effectively in the work of the team Encourage others to try out new ways/ideas Offer and seek constructive feedback to help others develop and connect with organisational performance 3

Essential Criteria Qualifications Degree level or equivalent qualification and/or experience GCSE Maths and English or equivalent Experience Previous experience of a busy administrative environment, preferably including experience in a supervisory capacity IT proficiency - ie can use advanced functions on /databases/word processors/spreadsheets Experience of working effectively with and developing organisational procedures Minute taking/report writing skills Skills, knowledge and abilities Ability to manage multiple activities/projects and achieving deadlines Produces accurate written communication that is well structured and of a high standard Business requirements Sets high standard for self and others ie eye for detail Creates a team spirit, which engages others to innovate and perform effectively Offers a flexible approach to working ie occasional weekends/late working 2.
