2 Scientific Program The scientific program will take place over three days and will start at 9.00 a.m. on Tuesday, the 15th, and end in the late afternoon on Thursday, the 17th. The 14th and 18th are suggested travel days. The conference, lunches and dinners will take place at the hotel. For detailed information please refer to the conference web site: Accommodation The organizers have booked rooms at the hotel for invited speakers. So, you need to take care about this issue. Beilstein will cover boarding and lodging but not extras such as drinks, telephone calls etc. Address: Hotel Jagdschloss Niederwald Niederwald Ruedesheim Germany T F jagdschloss@niederwald.de Travel Location of the hotel The hotel is located on top of the Rheingau heights of Ruedesheim which is in the valley of the Rhine river between Wiesbaden and Koblenz. By plane Ruedesheim is located ca. 50 km north of Frankfurt airport which can be reached by almost all airlines from Europe and Overseas. Other airports close to Ruedesheim are Cologne and Dusseldorf. From these airports, it is then possible to travel by train via Mainz and Wiesbaden to Ruedesheim. 2

3 Low-price airlines fly to Hahn airport from where bus connections to Koblenz, Mainz and Frankfurt are available. By rail Travel to Ruedesheim via Wiesbaden (from Frankfurt airport) or Mainz (from Cologne or Dusseldorf airport) and take a taxi or the hotel shuttle to the Jagdschloss Niederwald Hotel. By car Coming from Koblenz or Cologne. Take the autobahn A61, exit Bingen and take the ferryboat to Ruedesheim. Alternatively, take autobahn A61, change at "Dreieck Nahetal" to the A60 and drive in the direction "Mainz". Change at "Dreieck Mainz" to the A643, in the direction "Wiesbaden, Frankfurt", cross the river Rhine and change at "Autobahnkreuz Schierstein" to the A66/B42, in the direction Ruedesheim. Coming from Frankfurt airport. Take the autobahn A3 and drive in the direction Cologne. Change at "Wiesbadener Kreuz" to the A66, in the direction Wiesbaden. The autobahn A66 becomes the B42 and leads you directly to Ruedesheim. Both the Niederwald Monument and the Jagdschloss Niederwald are sign posted. Presentations The presentations should be 30 min long with 10 min for questions. We will have an LCD projector connected to a Windows PC available. The precise order of presentations will be decided upon when we have received all the final abstracts. 3

4 Poster Session and Software Demo This Beilstein ESCEC Symposium provides young scientists the opportunity to present the latest and hottest results from their research with either presenting a poster and a short oral presentation or demonstrating a piece of software. The organizers would be pleased to receive your application for one of the few slots by sending your abstract. Applications for both the poster presentation and software demonstration should be submitted electronically by 29 May Presenting authors are waived the conference fee. 5 Travel Expenses The Beilstein-Institut will cover reasonable travel expenses for invited guests. In general, only those travel expenses are covered which are induced by a meeting or symposium organized by the Beilstein-Institut. In order to assist you planning your journey in time we are sending out the Speakers Expenses form together with this Information for Speakers. Please note that returning the completed and signed Speakers Expenses form latest by 5 June 2015 is required for a successful reimbursement procedure. The expenses will be reimbursed on request after the event. The requests need to be delivered to the Beilstein-Institut not later than six weeks after the event. A reimbursement form is provided to arrange for a rapid completion of your claim. What is required? the original invoices, all original tickets used, for air travel the original passenger coupons (boarding cards), any other receipt to document your qualified expenses. For car travel please note the exact number of kilometers travelled. Please send the completed and signed reimbursement form along with the documents listed above to the organizers of the event at the Beilstein-Institut. What is covered? Principally, expenses for the economically most worthwhile and reasonable means of transportation which include economy flights, 2 nd class rail travel, travel with your private car (with 0.30 per km), public transportation by bus or train, taxi if necessary or appropriate 5

6 What is not covered? travels which differ from a direct return trip from your home to the conference and back and which are not confirmed by Beilstein-Institut, travel costs that exceed in total, travel with rented cars without approval by the Beilstein-Institut, any other expenses which have been made without prior consultation and confirmation by the Beilstein-Institut Please consult us in advance when the estimated travel costs exceed the anticipated limit of in total, the travel plans differ from a direct return trip from your home to the event and back (round trips, open jaw flights), you plan to rent a car, you intend to arrive earlier or depart later e.g. in order to avoid jet lag. We never reimburse other costs than transportation (e.g. food, drinks, internet costs etc. during your travel) 6

7 Proceedings As with all Beilstein symposia, speakers are invited to submit their scientific contributions as papers for publication on our web site as part of a series of such events. We would like to have a paper that reflects the contents and theme of your talk. Deadline for submitting the Proceedings papers will be end of December, The length of the submitted paper should be between printed pages. We hope that all speakers will be able to provide us with a paper of their talk, to enable us to have a lasting documentation of this symposium. The Proceedings are planned to be published in Perspectives in Science with Elsevier as open access articles and published both on the web-site Perspectives in Science and of the Beilstein-Institut as well as a hard-cover book. In addition, your article is listed in ScienceDirect. Perspectives in Science is going to be indexed by the major indexing services. Please see our website for proceedings and information about previous conferences at Instructions for Authors Due to the processing of the manuscripts for the different modes of publication (htmland pdf-file format), we would appreciate it if the manuscripts would fulfil following requirements: a) General: Please prepare your manuscript as an unformatted text file, saved in a readable document format as rich text format (rtf), DOS-text document,.doc format,.docx format,.odt format or html. Please do not deliver files that contain hidden text: for example, do not use your word processor's automated features to create footnotes or reference lists. Graphics should be separately saved as tiff- or jpeg-format; file sizes should not exceed 5 MB. Images should not exceed 500 pixels per inch in width or height. Do not embed the graphics within the text nor link them by OLE, but please insert corresponding placeholders within the text. 7

8 Tables should be separately delivered as text file. Please include a separate text file containing the legends of the graphics; do not save figure numbers, legends or author names as part of the image. It is the responsibility of the author to obtain permission to reproduce copyrighted material in his/her article. b) Manuscript format: Title, Author s name(s), Affiliation (including department, institution and complete address for each author), address of the corresponding author 3 to 5 keywords Short abstract (about 10 lines) Introduction, Methods/Results, Conclusion or any other chapters/sections if appropriate References: o all citations in the text should refer to Single author: (author s family name, year), two authors: (both authors names, year), three or more authors: (first author s name followed by et al., year) o Groups of references should be listed first alphabetically, then chronologically. o List of references in the following style: <name of author 1>, <initial 1>., <name of author 2>, <initial 2>.,... <year> <title> <journal> <issue>:<page range>.
