CONTEXT Under the general supervision of the Chief, Manila Financial Services and under the direct supervision of the PCST (PRISM Central Support Team) Supervisor, the successful candidate will be responsible for the thorough review of projects documents and the general maintenance, optimization and various modifications of the Processes and Resources Integrated Systems Management (PRISM) or SAP Master Data. 2 CORE FUNCTIONS / RESPONSIBILITIES 1. Review financial viability of all new projects once informed by Project Information Unit that all necessary information is available. 2. Follow-up with the Missions for missing or incomplete data. 3. Review supporting documentation to ensure projects have confirmed funding prior to incurrence of expenses. 4. Ensure correct application of IOM s policies and procedures through interaction with Mission staff (Chief of Missions and Project Managers), Department of Resources Management and MAC personnel. 5. Provide guidance to IOM offices on the correct procedure to use. Follow-up with COMs and/or Project Managers on pending documentation, or inconsistency of data related to project release. 6. Escalate issues to HQ (Accounting, Budget, Service areas, Co-funding group) and Regional Offices (ROs) related to project activation procedures. 7. Activate projects in PRISM/SAP review WBS structure in Project System (PS) module; create within Grants Management (GM) module of grant and sponsored programs; create fund and funded programs within Funds Management (FM) module; review Budgeting for New Projects (BNP) and coordinate upload in PRISM/SAP; review project structure and modify as required to ensure that specific Donor reporting requirements will be achieved; ensure integrity of cross modular data integration (PS, FM & GM) and correct nomenclature; upon endorsement from authorized officials, inform relevant personnel and departments. 8. Master Data ensure accurate and timely update of Daily Subsistence Allowance and exchange rates; create and maintain customer codes master data in PRISM/SAP; create and test new costing sheet master data in PRISM/SAP; analyze creation and maintenance of Master Data Elements considering the impact on report preparation, consistency in financial and management reporting, and general integration of the data elements in PRISM; Page 2 / 5

3 coordinate with stakeholders (e.g. ACO, DRD, RO Brussels) the creation of data elements like Donors; classification of the master data and maintain accuracy for reporting 9. Reports preparation monthly reports for newly released projects; monthly reports for newly created customer codes for DRD review; other master data reports as per request. 10. Others provide guidance to IOM missions, in close coordination with the Chief, MFS and other units, to align the organizational use of PRISM to ensure correct use of Master data, to ease data processing and analysis, and improve overall data quality (e.g. the correct use of Special Sponsored Programmes SSP). perform other administrative, system and accounting functions as may be required explore opportunities of process improvement for a more efficient operation; solve problem and interface with IT, PRISM Teams and Missions to obtain solution to issues and problems encountered. REQUIRED QUALIFICATIONS AND EXPERIENCE Education University degree in Accounting, Finance or a related field from an accredited academic institution, with two years of relevant professional experience; Completed High school degree from an accredited academic institution, with four years of relevant professional experience; Preferably a Certified Public Accountant (CPA) or equivalent. Experience Sound knowledge of accounting systems and/or SAP plus generally accepted accounting principles and internal controls; Computer literacy including proficiency in MS Office applications; Good analytical and problem-solving skills. Languages Fluency in English is required. Working knowledge of Spanish or French an advantage. Page 3 / 5
