1 Christ Community Church 4078 Milgen Road Columbus, GA ccclive.org Church Administrator Job Description IDENTIFICATION Date Posted: October 9, 2015 Application Due: October 30, 2015 Hire Date: December 7, 2015 Hours: 40 Hours/Week (plus 5 hours of volunteer service/week] Reports to: Lead Pastor Compensation: $50,000-65,000 Benefits: In accordance with Personnel Handbook Vacation and days off: In accordance with Personnel Handbook JOB SUMMARY Under the direction of the Lead Pastor of Christ Community Church, the Church Administrator: 1. Gives direct oversight of entire church concerning all administrative systems 2. Gives direct oversight of the Administrative Assistant Team 3. Gives direct oversight of the Resource Management Team (RMT) 4. Serves on the Senior Leadership Team (SLT) GENERAL DUTIES AND RESPONSIBILITIES 1. Takes responsibility for personal spiritual growth through appropriate spiritual disciplines. 2. Models in attitude, speech, and actions a consistent daily walk with Jesus Christ. 3. Models good biblical stewardship of time, spiritual gifts, and finances. 4. Upholds the mission, core values, and strategic initiatives of CCC. 5. Follows the Matthew 18 principle of conflict resolution in dealing with church staff and members of the congregation. 6. Regularly attends all weekly staff meetings (Tuesdays), weekly staff Crave Prayer Gatherings (Thursday), RMT meetings (as needed; at least every other month), monthly Board of Directors meetings, Leadership Community (triannually) and meets with Lead Pastor concerning major administrative details (i.e. annual budget, major constructions projects, personnel decisions). 7. Establishes set office hours, in coordination with the Lead Pastor. 8. Agrees to follow the protocol found in the Personnel Handbook. DIRECT OVERSIGHT AND TEAM INVOLVEMENT 1. Church Systems a. Provides leadership in creating, maintaining and adjusting church administrative systems in order that the church can function at its highest capacity. b. Meet with and coordinate non-ministry facility usage so that the church calendar, - 1 -

2 teams and systems are both in place and are highly functioning. c. Provide direct oversight for the church database system which includes making sure the systems are in place to use it well and encouraging staff to use it as a tool for ministry. 2. Administrative Assistant Team a. Provides leadership and supervision for all members of the Administrative Assistant Team, consisting of: Receptionist, Financial Admin Assistant, SLT Admin Assistant, Equipping Staff Admin Assistant, Director of Communications, Café/Kitchen Manager, Membership Admin Assistant, and Custodian. b. Meets monthly with each Administrative Assistant Team member for supervision, encouragement and goal setting. c. Meets every other week with the entire Administrative Assistant Team to gather necessary information for the staff meeting, hear concerns, and provide encouragement. d. Is available daily for Administrative Assistant Team members to ask questions, get information and provide encouragement. 3. Resource Management Team (RMT) a. Leads and coordinates the RMT which consists of the Facility Team, Finance Team and Personnel Team. b. As the RMT Coordinator, this position serves as the link between the Board of Directors (BOD) and the RMT and attends BOD meetings as a non-voting member, receives guidance, and schedules RMT meetings to implement BOD guidance and recommendations. c. Establishes RMT communications procedures to facilitate smooth functioning of RMT actions. d. Works with the Facilities RMT to coordinate all matters related to the facilities, grounds, and physical assets of the church. This would include, but not be limited to the following: i. Reviewing and updating church administrative/logistical documents and functions, such as contracts, insurance policies, and legal documents. ii. Working with the custodian and volunteer ministry teams to insure the general maintenance and upkeep of all facilities, grounds, and other physical assets. This would include the development and supervision of a maintenance schedule. iii. Working with the custodian to see that all specific maintenance and repair needs are met. iv. Coordinating all non-ccc functions and events that require use of the facilities while making sure that all related policies and guidelines are upheld. v. Coordinating facility lock up for major church events and procedures for staff to make sure the facility is secured upon their exit. vi. Serving as the primary contact person for the security monitoring service. e. Works with the Finance RMT (along with the Financial Administrative Assistant) to coordinate all matters related to the financial needs of the church. This would include, but not be limited to the following: i. Maintaining sound accounting practices

3 ii. Providing a monthly financial statement to the board. iii. Providing accountability for all matters related to the church budget, including guiding the overall process for creating an annual budget. iv. Securing an annual internal audit of the church s financial records. v. Providing members with quarterly financial updates. vi. Providing members with an annual report of contributions for tax purposes. vii. Supporting the Financial Administrative Assistant (i.e. assisting with counting offering, approving invoices, approving monthly financial reports) viii. Assisting in the raising of capital funds. f. Works with the Personnel RMT to coordinate all matters concerning personnel actions related to the church. This would include, but not be limited to the following: i. Reviewing and updating the Personnel Handbook and all appropriate forms therein. ii. Updating job descriptions. iii. Creating new job descriptions as the need arises. iv. Take lead in hiring Administrative Assistant Team members. v. Along with the Lead Pastor, formulating of the annual personnel budget for compensation and benefits. vi. Managing personnel benefits, such as vacation schedule, personal leave days and keeping record of the same. 4. Senior Leadership Team (SLT) a. The Church Administrator, along with the Lead Pastor, Executive Pastor and Pastor of Leadership Development, meet weekly to lead the staff and the church. b. The Church Administrator is on this team to give insight into how decisions will impact our church and staff administratively and vice versa. This position is the conduit for which the Administrative Assistant Team receives communication about upcoming changes and plans. c. Give an update to the SLT about the Administrative Assistant Team and any concerns that may arise from that team. d. Assist in leading the staff meeting through communicating upcoming events, facility concerns and all administrative training. SPECIFICATIONS 1. Knowledge a. Organizational systems. f. Dynamics of a volunteer organization. 2. Skills a. The ability to build and work with a paid staff and volunteers

4 b. Verbal communications skills to present clear, concise instructions and responses. c. Ability to work without close supervision. d. Ability to work through conflict and other stressful situations with emotional stability, objectivity, and optimism. e. Ability to develop and maintain rapport with staff and congregation members. f. Ability to submit and be loyal to constituted authority. g. Computer literacy skills in Microsoft Office h. Fluency in ACS Church Management System preferred. 3. Values a. Servant leadership. b. Expertise in finance, budget application and profit and loss preferred. 3. Experience in leadership role where applicant has been responsible for staff development and supervision. 4. Large church (1000+ in attendance) experience preferred. SPECIAL REQUIREMENTS 1. Has received Jesus Christ as Lord and Savior. 2. Embraces the mission, core values, and strategic initiatives of Christ Community Church. 3. Willing to become a member of Christ Community Church (a Free Methodist Congregation). 4. Willing to work outside normal hours (9:00 am to 5:00 pm) and on weekends. 5. Willing to attend training workshops to update knowledge and skills. 6. Willing to use personal vehicle for travel.
