2 What is my stand number? 2 You will find out your stand number the week of the event. This will be sent to you including a copy of the floor plan. How big is my stand? The average stand allocated is 3x3 metres (9²m) unless other arrangements have been made with the organiser. This may vary slightly depending on the venue layout. Please note that the Health Sector Jobs Fair is space only. Is electricity provided at my stand? There is no guarantee of access to electricity at space only stands however, if you require power please let the organisers know and we will endeavour to locate your space near to a power point. Furniture and fittings Each space is provided with a trestle table, table cloth and four chairs. You may make alternative arrangements at your own cost however, please consider the limited space and your fellow exhibitors when bringing/ordering in additional furniture.

3 When/where should I send my display materials/stock? 3 The venue will only accept materials up to 3 days before the event date. It is the responsibility of the exhibitor to ensure all deliveries are correctly labelled with the following: your company name, stand name, contact person (including phone number/ address), and number of items in the consignment. Neither the venue nor the organisers will accept responsibility for the safety of any such items delivered to the site in the absence of the exhibitor or their agent. Exhibitors are responsible for the acceptance of all goods and for following up on any missing or damaged items. Return freight It is the exhibitor s sole responsibility to arrange return freight. If you depart the venue prior to your freight leaving the venue, the organisers must be notified. All consignments are left at your own risk. When packaging return freight after the exhibition please ensure that: You have a CLEAR address label attached to every item being collected, we recommend that you print these in advance and bring them with you to the fair. All items are packed and sealed correctly. A consignment note is completed and affixed to your consignment prior to leaving the venue. The consignment note must include your company s account number and final destination address. Neither the venues nor the organisers can sign or complete any consignment notes on your behalf. All freight must be collected immediately following the event where possible.

4 I ve got some posters to display. Are there any restrictions regarding the construction of my stand? 4 Your stand/space must not be designed or erected in a way that disadvantages another exhibitor. No signs, graphic panels, banners or other display equipment may be fixed or attached to any part of the building - this includes items suspended from the ceiling without prior consent from the organiser and venue. Where possible you should consider the use of fire retardant materials in the construction of your stand. Gas bottles and balloons are not permitted in many venues. Please contact the organisers for more information. Lightweight poly-board or card panels can be fixed to your trestle table with double sided sticky tape, double sided Velcro or Blu-Tack. When can I set up/take down my stand? Exhibitors are able to access the venue from 8:30am on the morning of the event only as the organisers will be doing their own set up to make sure the room is ready for you. We do not have access the night before in the venue. Break down is from 4pm. Can I distribute flyers? You are not permitted to distribute marketing collateral anywhere within the venue, except at your own stand/space. You must not encroach upon the aisles or open spaces or do anything that may cause obstruction to pedestrians or other exhibitors.

5 Can I sublet my stand/space? 5 You must not assign the contract, sublet or share your stand/space without prior written consent from the organiser. No name other than that of the company or firm which entered into the contract with the organiser may be displayed on the site or stand, nor may any literature in respect to goods other than those of the exhibitor be displayed or distributed. How do I access the internet? Basic WiFi is available free of charge. Please ask event staff if you need assistance. Are there any printing/photocopying services available at the venue? Printing and copying services will be available for any last minute needs (low volumes only). We suggest that you do not rely heavily on these services as the business centres have limited capacity. Please come prepared with all relevant material.

6 Do I need to arrange insurance? 6 As an exhibitor you are obliged to take out adequate insurance cover in relation to the event with special reference to: Employers liability, Personal accident to staff and All risks to: Exhibitor s property at the exhibition and Property on hire or loan to you at the exhibition. It is possible that your existing office policies will extend to cover you at the exhibition however verification should be sought from your insurer. Please ensure that any accident involving a possible claim on insurance is reported to the organisers office as failing to do so could result in claims not being met by your insurer.
