1 INVITATIONS APRIL 1. INVITATIONS. Send out invitations with an RSVP deadline so you can effectively estimate your count in your hospitality area. A good understanding of your count will assist in controlling your costs with catering. To maximize your value at this year s tournament, we recommend having 2 sets of invitations: The first list is for your top clients, special guests, etc. These tickets would be purchased by you, at the Corporate Rate, and you give these tickets to your clients. They are your special guests for the day or week. Purchasing parking for your clients is optional. The second list is for your clients that you know are going to be at the tournament anyway. You let them know that you have purchased a space, tell them where it is located, and invite them to stop by during the tournament. You are not obligated to purchase tickets or parking for individuals on this list, unless you wish to entertain them in the Patio Club, Hogan Club or Hogan Skyboxes. Tickets are required for these venues. Develop a list of RSVPs by the beginning of Tournament Week to ensure you have the correct number of tickets. The nature of some people is to wait until the last minute; have someone on your team call those clients who have not responded (approximately a day or so before the deadline). After you receive a number of declines, you are now able to extend invitations down your prioritized list to clients and guests to utilize any remaining tickets. This also allows you to provide an accurate count to the caterer. Begin to summarize ticket numbers for each day. Will guests pick up tickets from you? Alternatively, will you leave them at Will Call? Do you hand deliver? If you have tickets that include food and beverage--such as Patio Club, Hogan Club, or Hogan Skyboxes--be sure not to send out any ticket too early. That will result in tickets being passed down to unintended guests as schedules change and conflicts occur. 6
2 SHIPPING & GIFTS 2. MERCHANDISE GIFTS/SOUVENIRS. Exclusive to our corporate partners, we have created a Tournament Merchandise program that will save you more than 30% for top-quality Official Tournament Merchandise co-branded with your company logo. SHIPPING OR DELIVERING GIFTS: All gifts or items you wish to have delivered to your venue must arrive at Colonial between Monday, May 15th and Friday, May 19th. Your box(es) must be addressed as follows: DEAN & DELUCA Invitational Attention: Mike Zinga 3735 Country Club Circle Fort Worth, TX You must also include the delivery label with each box you ship. The shipping label can be found on the Plaid Line Hotline. See page 12 for more information. Failure to include both items on each box could result in your items not arriving on your desired day. Please contact Mike Zinga or Rachel Smith if you have any questions regarding shipping or delivering your boxes. If you work within the DFW area, and prefer to bring the items to Colonial yourself, you must come no later than Friday May 19th. A $300 handling fee will apply if: - Boxes are taken to Will Call for ANY reason - Any box that arrives at Colonial after Friday, May 19th. Please allow a minimum of 5 hours for your boxes to be delivered to your venue. The most reliable, cost-effective choice is to mail your boxes or bring them to Colonial NO LATER THAN FRIDAY, MAY 19TH. We will store them and deliver as per your instructions. 7
3 TICKETS & PARKING IMPORTANT NOTE: For sponsors who distribute gifts or souvenirs to their guests on-site, it is critical that you have a plan for getting all leftover items or personal equipment out of your area before Sunday evening as the tournament concludes. Tear-down of venues and other golf course infrastructure begins immediately following play, continues in earnest Monday morning, and every day thereafter for a week. DO NOT LEAVE ANY GIFTS OR ITEMS OF VALUE IN YOUR VENUE Sunday evening. The best advice is to get any items not being used on Sunday out when you leave Saturday evening. Keep only what you need to give out or use on Sunday. Get all extras and other valuable items safely stored away before Sunday. You don t want to be closing up your venue Sunday afternoon with any more than what you can carry out such as a small container of office supplies used at registration. If you need assistance from the Tournament Staff to do this, please let us know and perhaps we can assist with your needs. MAY NEW FOR 2017: Save time by ordering tickets online through the Plaid Line Hotline. Please see Page 12 for more information. 1. TICKETS AND PARKING PASSES. Colonial is not responsible for any items left behind after the tournament. This includes items left in your venue. 8
4 CATERING 2. FINALIZE YOUR CATERING NUMBERS AND MENUS. Be sure your menus and catering arrangements are finalized. If you will be on the golf course, your point of contact is Melanie Parker. If you will be inside the clubhouse, your point of contact is Sarah Green. Please see the box on the right for complete contact information. 3. INSTRUCTIONS FOR GUESTS. In an effort to create a smooth and hassle-free experience, provide detailed information for your guests. Create a one-page summary with some orientation for your guests: parking, schedule of events, times, what to expect, attire, weather, course map, etc. You can print this information off the tournament website through our Plaid Line Hotline. See Page 12. It would be extremely wise to also view the course maps at the end of this guide to see exact directions to your venue. These maps can be forwarded to your guests, directly from the Plaid Line Hotline. Educating your clients will only enhance their experience. TICKET DEADLINE. Ensure you have the right amount of tickets. Confirm tickets and numbers. Be sure you have enough, and expect some people to call in at the last minute! Last minute tickets are usually available, but ensuring in advance is the best way when providing service to your guests. For the fastest service, we recommend ordering tickets through the Plaid Line Hotline. Our office is open through Sunday during the tournament, and will be able to assist you. 9
5 STAFFING 5. STAFFING ASSIGNMENTS. Planning will maximize your investment. Do you have designated staff/host checking attendees and/or credentials? Protect your investment by having someone check in your guests, track attendance, and keep out party-crashers. Are you providing gifts for your guests? Promotional materials, giveaways, name badges and/or lanyards for tickets for your guests? Gifts with Colonial or DEAN & DELUCA Invitational logo must be ordered through Alicia in the Colonial Golf Pro Shop. Please see page 7 for Alicia s contact information. 6. PARKING. Planning will maximize your investment. Please remember that beginning first thing on Monday May 22, 2017, all security checkpoints will be up and running, including parking. If you are headed out to the club any day that week, make sure you have your parking credentials. Only official parking credentials for Valet on the appropriate day will be allowed past security. Proceed to the clubhouse where the parking attendants will valet your vehicle. If you have a VIP Shuttle Parking credential, you will follow the signs on Berry Street for this special lot, Monday-Sunday. Specific instructions for these lots are included with the parking credential. Please see Map B on page 26 to view the VIP Shuttle Parking map. All other parking maps are included as well, for your convenience. Make sure you know in advance that you know which lot you can access with your parking pass. 10
