1 June 2016 The Citrus County Chamber of Commerce Business Women s Alliance is excited to host our Women s HEALTH and FITNESS Expo 2016 on Saturday, September 24, The purpose of the Expo is to educate women and those around them about their health, fitness and wellness. Seven Rivers Regional Medical Center is proud to be the presenting sponsor of this energetic, informative and well-attended event. We are seeking sponsors to help make it all happen. Proceeds from the Expo will be used to further the education of students from Citrus High School, Crystal River High School, Lecanto High School and Withlacoochee Technical College. Last year, we were able to provide nine scholarships. Our intent is to make the Expo an even greater success than it was last year. With your help through sponsorship, we can reach our goal. As a sponsor, you will benefit from multiple opportunities. Last year s Expo exhibitors met more than 1200 potential customers and this year we expect to be just as successful. 5 1. Mandatory check-in is at the front desk prior to set up on Friday. Saturday, September 24, 2016 The Event Coordinator will assign the exhibitor space and direct participants upon arrival. The sharing of tables is prohibited without prior approval. Table/Booth assignments may not be changed. 2. Set-Up: Set-up is from 1:00 pm to 5:00 pm on Friday, September 23, Please bring your own dolly for transport of materials/boxes. Tables/Booths must be ready by 8:30 am the day of the event. Please respect the integrity of the Expo by NOT packing up your area until 2 pm. This will be strictly enforced. The following items are provided: One 8 table, two chairs, table covering/skirt and two lunch tickets (one additional ticket may be provided, depending on lunch availability). If you registered for a booth, these items will be set up in a 10 x 10 space. Exhibitors must keep their display within the space provided. Banners/signs may ONLY be hung on the wall with 3M removable hooks/tape. If there is use of any other product, your items will be removed and you will be responsible for any damage to walls. If you have requested electricity, please bring your own extension cord. Please, do not staff more than three people at any one time at your table/booth. The Event Coordinator reserves the right to reject or prohibit any exhibit, in full or part, that is not suitable to or keeping in the theme of the event. Each display must be suitable to or in keeping with the mission statement of the event. All set-up materials must be kept out of sight. Boxes and materials may be stored under the table provided or outside of the premises, inside Exhibitor vehicle. 3. Door Prizes/Making Your Display Interesting: SPONSORSHIP AGREEMENT Exhibitors are encouraged to bring a basket for patrons to submit a business card or contact information, to be drawn for prizes at a designated time set forth by that Exhibitor. This is an excellent way to see who has visited your table and build a contact list. You may also provide giveaways, food samples/appetizer size (commercially pre-packaged, no water/soft drinks), brochures among other items of interest. Booths are located along the perimeter of the main room and tables are in the middle. Therefore, tables will not have a wall for hanging. Feel free to bring an easel for behind your table to post signs or devise a stand-alone hanging mechanism. Balloons affixed to your table (not for distribution) can add visual appeal. -- NEXT PAGE --

6 SPONSORSHIP AGREEMENT 4. Exhibitor Responsibilities: The Citrus County Chamber of Commerce, Crystal River National Guard Armory or any Sponsor of the event assumes no responsibility for Exhibitor property. The Exhibitor is responsible for the assembly and break down of display. It is the Exhibitor s responsibility to keep their area in order during the event and cleaned upon departure. Empty boxes must be taken away and disposed of by the Exhibitor. A representative from your organization must be present at your table/booth throughout the event. Exhibitors will be provided with two exhibitor badges upon Saturday check-in. It is the Exhibitor s responsibility to pass along the badges to future workers during the day. Exhibitors, due to limited supply, please wait until the end of the event to obtain fellow exhibitor giveaways. While you are permitted to sell your own business merchandise, you will not be permitted to engage in recruiting for business opportunities. Handling and accountability of money is the Exhibitor s responsibility. 5. Registration: Acceptance of registration is on a first come, first served basis and how your business promotes health and fitness. No exceptions. Registration will not be accepted without a completed Exhibitor Agreement and registration fee. Payment and agreement are due no later than Friday, September 13, No refunds after September 13, Any registrations received afterwards will not be included in advertising or the program. If you are a no show for setup on Friday, September 24, your booth will be available to those on the wait list. Exhibitor registration fees are non-refundable.
