2 PURPOSE OF THE POSITION Under the direction of the Library Team Leader, the Library Assistant provides a comprehensive and quality service to all staff of Counties Manukau DHB by: supporting the library team in the provision of customer focussed services supporting the day-to-day technical operations of the library including the ongoing maintenance and updating of the library s online library management system and circulation processes including Interloans. Collection maintenance, including processing and organising of the library s print collection and updating of library databases Vision and Values All parties to this agreement commit to the Vision and Values of the CM Health. 4 NATURE AND SCOPE OF RESPONSIBILITIES Key Accountability Service Delivery Ensuring customer enquiries are dealt with in a timely and efficient manner Supporting the library team in the provision of customer focussed services Standards / Achievements Customer satisfaction ratings are high Reference and request services are managed and delivered efficiently Good knowledge of library systems Stakeholders are engaged and well informed about library resources and services Contribute to the development and maintenance of resources for stakeholder engagement and capability building incl. marketing and promotional materials. Knowledge of library systems Support the Senior Librarian (Systems and Processes) in the administration of acquisitions, collection management and other core systems and processes tasks as required. Responsible for processing of library print collection (texts and periodicals) and updating of library database (texts and periodicals) Library user databases maintained Supports Librarian (Systems and Processes) in provision of interloan and document delivery services to Counties Manukau Health Library users and stakeholders. Including processing of interloan requests and liaison with Recall and other document supply partners. Library office and team support Displays competence in the use of the library management system Displays knowledge of reference techniques including expertise in searching online databases Displays knowledge of classification system (issues, returns, shelving, book reserves) Good procedures in place to manage overdues and ensure efficient circulation of library collection Library print collection is processed in a professional and timely manner Updates to library database(s) are accurate CMDHB staff and stakeholders can access library resources in print and online (via the library management system and remotely via Athens) Interloan services are managed and delivered efficiently Internal and external document requests are responded to efficiently and effectively Ordering of library stationery and sundries via the Oracle procurement system Maintains health & safety register Position description Counties Manukau District Health Board 4

Utilise Information Technology Demonstrates an ability to access and use available library information systems. Is conversant with applications required for specific discipline/role. For example, Te Puna, online databases searching, DB Textworks, internet, etc. Maintains own professional development by attending relevant IT educational programmes. 6 COMMUNICATION AND INTERPERSONAL SKILLS Will be required to interact on a regular basis with a range of CM Health staff members including: The library supports and collaborates with staff working in every department/service in the Counties Manukau District Health Board Externally there will be contact with: CMDHB Partners and stakeholders Other medical libraries both in New Zealand and overseas International document and information resource providers Situations may often call for tact, diplomacy and will require information to be handled in a discreet and sensitive manner. In conflict situations will be required to exercise sound judgement, negotiation and persuasiveness skills, toward facilitating a workable outcome. PROBLEM COMPLEXITY Will be regularly challenged by a wide range of information needs from a diverse group of library users. There will be a requirement to be able to prioritise issues and negotiate time frames, while still providing a quality customer service. The range of problems will be diverse and require solutions customised to meet the circumstances of the client. Therefore opportunities will arise to provide innovative options to the client based on proven outcomes. There will be demands to meet deadlines, maintain accuracy and quality of information. Failure to do so could impact on the organisation in terms of organisational effectiveness and timeframes. Will refer to Senior Librarian (Systems and Processes) for advice or second opinion. SCOPE FOR ACTION Is encouraged to use initiative and problem solving skills to develop innovative approaches to issues. Discretion is required to be exercised in releasing confidential information to the appropriate parties. DIMENSION OF THE POSITION Will be responsible to the Library Team Leader for the achievement of agreed objectives and operates within the confines of CM Health. PERSON SPECIFICATIONS Minimum Qualification NZ recognised tertiary qualification in library and information studies (NZQA Level 5) or equivalent qualification in a related field. Experience Previous experience in a customer facing role Preferred Studying towards a professional library qualification.
