1 Objectives: To gain a high level overview of the important Warehouse Outbound systems and how they interface between departments. Understandd the key warehouse systems and definitions: SUS (AS 400) RoadNet SWMS route generation SOS SLS Syntelic Load Mapping Trainer notes: Assumption is that this is a AS400 OpCo, not on SAPP Laptop connected to projector and internet connection. It is also most effective if participantss can be connected and interacting with Systems during session. Have the S.O.S and S.L.S. wearable hardware present for demonstration. Handout of pick label and test. There is a lot of information in this FLO Action Workshop to deliver in 60 minutes. This iss designed to be a high level overview of the important systems used by the Outboundd Warehousee so that those in other departments gett a working knowledge of these systems. This will be a review for the Outbound Warehouse managers. Options to make it moree interesting: o Deliver only need to know information. o If you have other managers familiar with these systems, divvy out responsibility for delivering segments. o Turn statements into questions and draw knowledge from the participants. 2 Course Overview (5 minutes) Do: Cover Objectives, Agenda, and Logistics Say: The outbound warehouse would not have any work to process, select, and load if it was not for customer orders being placed by customer service reps, Marketing Associates, and thee customers themselves. Order processing is done through several different systems: AS400 (aka SUS / Uniform System) is usedd by Customer Service reps to enter andd modify orders for customers. Customer Service reps have the ability to change dates (for b- flag orders) and force allocations (prioritize allocations for a specific order or customer over other orders in the system). SAM ( Account Manager) is used by Sales to enter orders for customers. Orderss default to the next scheduled delivery day. Customer Service would need to manuallyy change the date if a customer orders on an unscheduled day.. Customers with no scheduledd delivery days default out to July of the current or subsequent year and will requiree a manual day change to allow the order to flow down to Routing. Market is software used by customerss to enter their own orders. As is the casee with orders entered in SAM, orders entered in o Market require a manual day change for off day or unschedule ed orders to be processed properly. Once all the orders are placed, they are then sent downn to RoadNet, by designated cut off times, to be routed. 2
3 RoadNet (5 minutes) Say: RoadNet is used to route all the orders sent down from SUS to build delivery routes. Thesee routes are utilized to keep orders that are within a closee proximity together. This helps reduce transportation costs. Important Key Points of RoadNet and Routing: The router imports orders into RoadNet routing software. Using the customer orders, the router uses RoadNet to calculate the delivery info for eachh order (i.e. Case counts ordered, total cube of order, and delivery times) for every customer that placed an order. The routes are usually either created using Standard Routes (that are usually built andd already set up in RoadNet for each day of the week), are manually created by putting themm on a route one order at a time, or by a process known as Dynamic Routing (where RoadNet builds the route based on the parameters of the software). All routes need to account for time windows, special requests, off day deliveries, DOT hours, and trailer cube. Without Routing/RoadNet, the warehouse e would nott have an effective way to process orderss and ensuree drivers were able to deliver the cases efficiently. It is important that routers build routes as quickly and efficiently as possible to get work too the warehouse floor as soon as possible. If this is not done it will create late orders gettingg to the floors and possible late trucks Once the routes are processed, they are sent back up to SUS (to look for any 2 nd allocations) and then to SWMS. Say: This is just a quick overview of RoadNet; we will get more in-depth on it during the next workshop titled Transportation 1. Ask: What are the 3 methods we receive customer orders by? Page 2 3
4 SWMS Order Generation (10 minutes) Ask: Who can tell me what happens in SWMSS to generate orders? Say: Once Roadnet/SUSS sends the routes down to SWMS, the Order Generation process cann begin. The main parts that make Order Generationn work are Order Configuration, Order Generation, and Order Pick Adjustments. Order Configuration screens (in the maintenance setup area) is how selection and loadingg batches are created. If this area is not set up correctly, order processing will not work properly. The key areas to be configured are: Selection Equipment this is where you set upp the equipment to allow Optimum Pull (maximizing productivity by combining trucks in a single batch), the number of floats per batch, number of zones per float, number of cube per zone, % over cube per float, minimumm cube to create a unitized float parameter, the re-palletize cube. All these settingss determinee size and number of floats in a batch. Selection, Staging, and Loading (SSL) Selection Method Maintenance this is wheree you createe a selection method. The selection method is what ultimately creates eachh selection batch during the route generation process.. This is done by entering the pick zones, what pieces of equipment (for float sizes), and whatt job codes will be used to create selectionn and labor batches. Route Default Dataa this is used to allow for default doors and Selection Method to bee attached to a route. This allows for this data to auto populate those door and SSL fields inn the Order Generation screen. 4
5 Order Generation is where the routes sent down to SWMS from proper SSL s and are generated. Roadnet are combined with thee This process of Order Generation then creates the replenishment, selection, and loadingg batches based off the SSL and sends that work to the floor to be selected using SOS (o Order Selection) and SLS ( Loading System). During Order Generation it is important too remember these things: Make sure you have the correct doors and SSL in the fields before you generate the order. If the fields are left blank then a default SSL will populate during generation and the blankk doors will not tell the selector where to drop the pallets. Make sure you batch generate between routes at a time percentagee of Optimum Pull batches. If you generate less than 4 at your opportunity for Optimum Pull batches created. to help increase thee a time you decreasee Utilize the Add On Route feature to ensure SLS can be used to load those 2 + routes onto 1 trailer. This will also allow the drivers to be able to scan all those cases for those deliveryy routes all on that 1 trailer using STS. 5
6 Order Pick Adjustment Screens is where the screen you have access to the following: final processing of the routes is confirmed. In thiss Warehouse Outs this screen is wheree you can see whatt items automatically shorted because of a Machine Out issue or to key in a warehouse out because inventory was off andd we did not have the quantity ordered in stock. Catch Weights this screen allows you to enter in missing or fix wrong catch weights after a selector has finished a selection batch. You alsoo have the ability to search for missingg weights in this screen by utilizing the CW Type and using a P for Partial Collected or N for None Collected. Clam bed this screen allows for the clam bed tracking data (i.e. harvest number to be entered where needed for tracking purposes. and dates) Country of Origin Label (COOL) this entered or changed when needed. screen allows for Country of Origin tracking to bee Delete this screen deletes the item or order off of the invoice. Route Close this screen allows for the routes to be closed and invoices and manifests to bee created. Also during the close process, if you are missing catch weights a pop up screen will alert you. Then you can back out and key in the missing weights. NOTE: during the missing catch weight alert it askss if you want to Average the missingg weights this in not a recommended practice. Day Close this screen allows for the Day End processing to be done. It creates the date flipp of the system to be pushed to the next business day. This screen will not allow for Day Endd processing to run if any routes are in OPEN or SHORT status. All Routes have to be in a CLOSED or NEW status for Day End to run. 6
7 ASK: Who can explain how the S.O.S. system works? Order Selection (SOS) (15 minutes) Say: SOS is a software package that incorporates SWMS and RF Technology to allow thee selection of items customers have ordered. The important features are as follows: SOSS Software is the SOS application attached to SWMS and where the following SOS screenss are set up: Area Status this is the 3 area screenss (by Cooler, Dry, and Freezer) that allows you too monitor the SOS selectors batch activity User Configuration Screen this screen is wheree all the SOS users are given permissionss to select on SOS. It is where the users are tied to Labor Job Codes, Optimum Pull, Trainingg setup, etc. It is where you can send messages to the user(s) RF device. You alsoo reassign users to kick them off of selection batchess as needed from this screen. Short Screen this screen is where all keyed selector shorts out for the selector to select. go to be batched and sent backk Parameters Screen this screen is where all SOSS parameters are set up to control thingss such as high quantity, special labels, trainingg float labels, upload catch weightss (scanned/key), etc. Training Screen this screen is where all the selection batches in the order generation. The user can then do the following: SOS file reside after o o Pool batches this is usually used for training purposes. It allows new selectors too download smaller batches from a pool set aside for them to select. Reserve batches this is used to reserve specific batches to selectors. This can be usedd to ensure reassigned batches go back to original selector, to control batch size flow for end of shift, and moving batches up in the list if needed due to a route being generatedd out of sequence. Ask: What are the 3 key areas to configure in order to make order generation work? Page 4 What does the Area Status feature allow us to do? Page 7 7
8 Trainer Note: Choose someone to model the following specifics Hardware device while you cover the SOS Hardware is the RF devices themselves (Motorola wearable and Zebra printer). Motorola Wearable Device Say: SOSS Motorola Wearable this RF device is worn by the selector on the forearm ridgeline allowing for easy viewing of the display screen. Connected to the wearable is a trigger activated finger ring scanner whichh allows the selector to scan thee UPC of the item or the barcode of the rack (if the item does not scan). The color coded keys allow the selector to be able to key in alpha-numeric information as needed. This device also has a Bluetooth radio thatt allows it to link and pair with the Zebra Printer. 8
9 Key points to remember about the wearable: Remember to make sure the wearable is placed in the cradle/docking station at the end of every shift. Ensure the orange indicator light is flashing (this means it is charging). If you do not have individual cradle/docking stations, make sure a battery is wearable to ensure the backup battery does not discharge. left in thee Note: the backup battery is used to hold the data in the memory for only 4 5 minutes duringg the battery change process. If left out longer than 5 minutes you will lose information and a cold boot will occur when the battery is replaced. The backup battery can only be dischargedd approximately 150 times before it needs service and be replaced. So keep a battery in thee wearable at all times. A warm boot clears out the cache but everything and flushes the memory. leaves thee memory intact, but a cold boot wipess Make sure your trigger stays attached at all times (even when not in use) as downloads too the RF occurs in off hours. If the trigger is not attached the update will error out during thee process and not finish loading the data. It is the nature of the Bluetooth radios that the radios hear each other and have to decipher which messages are intended for each printer. Therefore when several selectors are in closee proximity to each other, it will take longer for thee units to process and discardd messagess which are not intended for them and therefore it takes longerr for the labels to start printing. Reducing the number of selectors that are grouped together during the selection process will mitigate this problem. Bluetooth radios are susceptible e to interference from other radio devices such as headsets and cordless phones. Example headsets are Plantronics and other manufacturers. Interference will slow down the printer communications. If the printer disconnects from the wearable, utilize the <CTRL><BLUE> <8> keys to pull up the Printer ID screen. This will allow the user to reconnect or swap to a different printer. Utilize the <CTRL><BLUE><6> > keys to pull up the menu screen to reprint the USER ID, PRINTER ID, FLOAT LABELS, BATCH LABELS, and SELECTION PICK LABEL. 9
10 ZEBRA Printer Ask: What should we know about the Zebra printer? Say: The Zebra Printer Bluetooth device is linked / paired with the selector ss wearablee and used to print the selection labels above. These labels are then affixed to the pieces selected to identify to the driver what is to be delivered to what customer. 10
11 Key points to remember about the ZEBRA printer are: Ensure the printer battery is plugged into the charging cord att the end of every shift. The extended life batteries should last a 10 hour shift (if fully charged at beginning of shift). Each battery will last approximately 350 charges and then need to be replaced to ensure noo loss in productivity because of frequent battery changes for the wearable device. Spare batteries should be kept on the charger until they are neededd and should NOT bee taken in the warehouse in the pockets of selectorss or on the pallet jack dash (especially inn the freezer). Low temperatures will cause the selector s 2 ndd battery to have a reduced lifee and contribute to the printer performancee problemss that discharged batteries can cause. It is normal for the printers to print a little slower in the freezer because motor performss slower in the low temperature. However, we have not had problems with the print speedd not being consideredd acceptable when printing in freezers down to -5F. Please confirm thee temperature of your freezer. If you are having problems with condensation inside the printers that are used in thee freezer, (freezer equipment only) they should be stored on the cold dock during shift. Thiss reduction in extreme temperature changes may help reduce the condensation issue fromm occurring. Checking the print heads regularly for scratches and breaks in the print is important too ensure the label barcodes scan properly. To do this, press the printer blue <FEED> buttonn in the printer quickly 3 times in rapid succession. This will cause the checker board to print showing any flawed areas of the print head Cleaning printers daily at the beginning of the shift is important to ensure the print headss are clean and print properly. Use alcohol pens or cleaning pads to remove any dirt or buildup from the print head area. Ask: What s the difference between a warm and cold boot on the wearable device? Page 9 How can you reduce condensation in printers used in the freezer? Page 13 11
12 Loading System (SLS) (10 minutes) Ask: What are the most important features of the SLS System? Say: SLS is a software package that incorporates SWMS and RF Technology to allow the loading of the selected pallets ontoo trucks that customers have ordered. The important features of SLS aree as follows: SLSS Software is the SLS application attached to SWMS and where the following SLS screenss are set up: Load List This screen shows an overview of all the routes that have been generated, their current status of loading, the trailer that it is beingg loaded on, the doors being used to load, and the number of stops and cube per area. This screen does not refresh real time. Dock Status This screen shows the dock doors, truck numbers, pallets already loaded inn zones, and pallets left on the dock to load. You can also go into the detail of the trailer and see what pallets/batches are still left to select, what labor status they are in, what selector is selecting them, door locations, bulk headd locations, loader loading truck, etc. Truck Status This screen shows all the current Real Time status of the trucks. It showss how many pallets are left to load by area, the status of each trailer, doors being used, loaders loading the trailer, and floats that are beingg waited on, and start time of trailer. Youu can also go into the detail of the trailer from this screen as well. Loader Status This screen shows the loaders detailed info being updated real time. It shows what truck(s), current float scanned on, door being loaded in, current load batchh number, time being active on the batch, and palletss remaining by area for the truck. User Configuration This screen is where the user ids are entered to give SLS loadingg permissions. In this screen messages can be sent to the user(s) on the RF device(s). It iss also wheree user(s) can be reassigned and kicked off a loading batch(s) if needed. Truck Equipment This screen is wheree assets aree set up for Asset Tracking purposes. SLS Parameters This screen is wheree the SLS parameters are set up for equipment idd requirement, Safety Check requirement, Trailer Check requirement, Default pallet typess used by area, etc. Trailer Labels This screen is used to set up all thee zones forr each trailer. This can be donee 1 zone at a time or 1 trailer at a time based on the size of trailer and number of zoness needed per trailer. Truck Accessory This screen is where you can see all assets that are set up for trackingg and have been scanned on the trailer by a loaderr and then back off the trailerr by Driver Check-in at the end of the route. 12

15 Syntelic Load Mapping (5 minutes) Ask: Who is comfortable explaining Syntelic Load Mapping? Say: Syntelic is a loading software application used to map the pallets on the trailer for loadingg purposes. Syntelic pulls data from SWMS tables and Roadnet tables to create these load maps. The Syntelic information flow is as follows: SWMS Item Import - Syntelic Imports Menu from SWMS Item Import (###) and iss loaded into the Syntelic file. This is to be run one time per night Roadnet WS Interface - Syntelic Imports Menu from Roadnet WS Interface (###) andd is loaded into the Syntelic file. This is to be run one time per night SWMS Order Import - Syntelic Imports Menu from SWMS Order Import (###) and iss loaded into the Syntelic file. This step will be run each time routes are generated in SWMSS until all routes are displayed on the Load Planning Running the Load Planning Worksheet Select the load planning menu from Loadd Planning Worksheet (###). Make sure that the time selection of Tomorrow is selectedd and click OK. (If past midnight, change the Time Selection to Today to view the next day ss routes.) Assign Trailer Types - Determine the correct trailer Types to each route. To assign all trailers based on pre-set trailer type assignments, highlight all rows, and then click thee Assign Trailer Types toolbar icon. To modify the Trailer Type for a single route, double clickk on the trailer type entry for the desired route, and select the appropriate trailer type from thee drop-down box. Then assign the Trailer Types. Build routes - Highlight one or more routes you would like to build, Then Right Click, Drill Down, Then Build Your Load Plan. Once the routes have been built, a status messagee indicating which routes were built will appear and click OK. Hit the Refresh toolbar icon. The status of the planned routes will change from Pending in yellow to Ready in green. Routes with overflow cases are highlighted in red. Moving Floats/Zone Positions Move any floats that need to be changed manually byy dragging and dropping the float to its new desired position. All moves are automaticallyy saved. Route Notes - Route notes can be added on the right side of the dashboard for any notess that are needed.
