SET UP SUGGESTIONS Your booth is a reflection of your business. Your booth should: > Clearly feature your company name. > Be kept neat and tidy at all times. > Be manned by friendly staff who can knowledgeably answer questions about your business. > If possible offer demonstrations that will attract people to your booth andat the same time educate them about your business. > If possible, display product that people can try or buy, or both. 3 EXPO CLARENCE-ROCKLAND MARKETING STRATEGIES The Expo offers many opportunities to be creative with your approach to reaching your customers. In addition to your booth, you may want to consider some of the following marketing strategies: > Try advertising and offering FREE SAMPLES at your booth. > Feature a product and offer it for sale at a one-time EXPO PRICE (This often works well for big-ticket items such as hot tubs, furniture, appliances, etc.). > Offer people a SPECIAL DISCOUNT COUPON that is only available at the Expo, but is redeemable at your place of business after the show. > Have booth staff hand out INFORMATION BROCHURES or other information about your business. > Offer a FREEBIE like a magnet, pen, pencil, business card or other small item that people can have and keep to remind them of your businessafter the show. The Expo has several built-in marketing opportunities you can leverage for more exposure for your company. > Supplying a PRIZE TO BE DRAWN and announced during the Expo (gift basket, gift certificate, free services, donated products, etc.). > Offer to conduct a MINI-CONFERENCE/ WORKSHOP on the main stage to educate people about your business, or do a simple How-to demonstration featuring your products. The very best way to make a lasting, positive impression is to: > Have booth staff dressed in professional business attire (if your employees routinely wear uniforms, your booth staff should too). > Be friendly and positive a smile and a warm handshake go a long way. > Bring your energy and enthusiasm. Keep cellphone and electronics in your bag. > Leaving a lasting, positive impression with the people you meet is a powerfulway to excite people about doing business with your company.

4 HIGHLIGHTS Here is all the details you need for successful set-up, participation and tear-down at The Expo. We recommend you make copies to give to boothstaff so that they have the contact names and numbers of the Expo organizers, as well as a timeline of the weekend events. Booth set up MUST be completed by Friday at 4 pm. You have until Thursday at 5pm to book your mini-conference BOOTH SET-UP Be sure to refer to the Facility Lay-out on page 7 to find the location of your booth. Booth set-up can begin on: > Friday, April from 8 am to 4 pm unless prior arrangment has been made. COCKTAIL PARTY Please join us for this excellent networking opportunity. This is an ExhibitorsOnly (including business owners and their booth staff) event. > Friday, April from 4 pm 7 pm PRIZE DONATION/SPONSORSHIP If you would like to donate a gift card, gift basket, merchandise certificate or any other prize (valued from $50-$150) to te Expo prize draw, please contact us. MINI-CONFERENCES If you would like to conduct a mini-conference to educate consumers, share in-formation about your business, or talk about a new product, please contact us. EXHIBITOR PARKING We ask exhibitors to park their vehicles in the back of the arena, away from the entrance. This provides visitors with easy parking.please note that when parking you are still required to follow city by-laws. 5 EXPO CLARENCE-ROCKLAND ELECTRICAL REQUIREMENTS As of now, electrical requirements for your booth should have been made to organizers. We recommend that you bring a CSA approved extension cord (15 feet) as well as a power bar. The following is a list of UNAPPROVED electrical equipment that is not allowed in any booth as they pose serious fire risk and can be a drain on power: MANDATORY INSURANCE It is the responsibility of the Exhibitor to take out and maintain the necessary insurance against loss or damage to goods, personal injury or death, aswell as against all liability that may result, and must on demand furnish the Organizer with a copy of his insurance policy accompanied by proof of pre-mium payment for the dates of the exhibition period, including the settingup and dismantling period. The Exhibitor agrees to absolve and indemnify the Organizer against any damages, claims and legal fees resulting from lossor damage to goods, as well as against injury or death to persons, relative tothe use of the booked exhibition space. If you need insurance, you can fill out the following form and Bélanger Insurance will contact you with a quote. > No space heaters > No coffee makers > No large equipment (fridge, freezer, etc) that has not been yet approved by organizers The following is a list of APPROVED electrical equipment allowed in booths: > Laptop computers > Televisions > DVD players > Lighting fixtures > Other equipment for which technical requirements have been approved by the organizers. PLEASE NOTE: If you do not comply with the electrical requirements as set out by the organizers, and if you are found to be the cause of excessive power consumption or a power failure, you will be directly responsible for paying the power/repair bill.

6 HIGHLIGHTS We hope you will enjoy your participation at the Expo. Do not hesitate to share with us your suggestions to improve your experience. See you at the Expo! EXHIBITOR CONDUCT Booked spaces must be left as initially found. The cost of any damages to the building or the floor space occupied resulting from the Exhibitor s installations or merchandise shall be assumed by the Exhibitor. SAFETY & SECURITY The Exhibitor acknowledges that he understands and will conform to all safety and security standards established by the public services or by the Organizer for purposes of the exhibition. ON-SITE SECURITY There will be on-site security at the Arena through Friday night, and again through Saturday night. Booth contents should be safe, but we encourage you to take home valuable items at the end of each day. During regular Expo hours, we encourage you to always have someone tending your booth. Keep personal items (purses, phones, small electronics) out ofsight or on your person if you are not at the booth. BOOTH TEAR DOWN Booth tear down will take place on: > Sunday, April 22, 2018 from 4 pm to 8 pm unless prior arrangment has been made. PLEASE NOTE: You are required toremove EVERYTHING you brought into the arena for your booth.
