2 Motors by the Moat 2018 Application Form 12th and 13th May 2018 Please note this is a popular event and will get fully booked. Apply early to avoid disappointment. Returning for the third year, Motors by the Moat offers car enthusiasts and families a chance to get up close to hundreds of vintage, classic and high performance vehicles at one of Kent s top tourist attractions s event welcomed 20,000 visitors and over 900 exhibiting vehicles, making it the biggest and best yet. Have a go activities, a live band and family friendly shows are on hand to entertain, as well as vehicle themed catering units and a double decker bar bus. A fantastic weekend for exhibitors and visitors alike. Exhibiting at the Event All traders must sell automotive related products or trade from a converted vehicle and are required to attend for both days of the event. The event is held entirely outdoors and therefore all stands are situated outside. You will need to provide all furniture and materials. We may ask to see pictures of the products you wish to display or a previous event set up. Why Exhibit / What s Included All Exhibitors will be located on the castle lawns within the event area, meaning direct access to approx. 20,000 car enthusiasts over the weekend. The event has a dedicated advertising plan including print in our Spring/Summer event guide, e-casts and social media campaigns. All exhibitors will be listed on the Leeds Castle website and will be featured on the event page of Leeds Castle s Facebook. Along with field banners, digital screen advertising, Google Adwords, YouTube and Ecasts to 43,000 people we also advertise with the Kent Messenger, KMFM radio, The Daily Mail, Telegraph and Guardian online. 5 Motors by the Moat 2018 Terms and Conditions By submitting the application form you are agreeing to the following terms and conditions. 1. Criteria for application Applications will be accepted at the discretion of the Leeds Castle Events Team. Submitting an application does not guarantee acceptance at the event. Leeds Castle may ask for detailed plans and photos to support an application. 2. Trading Hours The event is open to the public 10am 4.30pm on both days. You are required to be open and trading between these hours. 3. Parking Traders will not be allowed to park within the event site, all vehicles will be directed to an exhibitor car park on site. 4. Allocation Pitches will be allocated by the Leeds Castle Events Team and cannot be negotiated. Promotional material must be kept to the boundaries allocated. 5. Set Up Times Set up is between 10am and 5pm on Friday 11th May, or between 6am 8am on Saturday 12th May. All trade stands must be in position and presentable by 9am on the 12th May. 6. Vehicle Movement Vehicle movement is strictly forbidden between 9.30am and 4.30pm. No cars may leave or enter site until authorised to do so by the Leeds Castle event team. Any unauthorised vehicle movement will result in a ban for future events. When driving on site, all vehicles must adhere to a 5mph speed limit. 7. Security All property and vehicles on site are at their owners own risk. Leeds Castle will be not be held responsible for damage to vehicles or property, loss or theft. On overnight security guard will be within the event site on Saturday night. 8. Trader Conduct All exhibitors must comply with on-site signage and instructions from event staff at all times. 6 within the grounds of Leeds Castle including visitor car parks. Leeds Castle retain the right to remove anyone from the site who is considered to have breached these terms and conditions. 9. No dogs are allowed onsite. 10. No bicycles are allowed onsite. 11. Payment Terms In order to confirm your booking, full payment will be due within 14 days of confirmation and invoice. 12. Cancellation Terms If you cancel your booking for any reason the following cancellation policy will apply. Cancellation within 14 days of payment, before April 6th = 50% payable. Cancellation within 14 days of payment, after April 6th = 100% payable. Cancellation after 14 days of payment = 100% payable.
