1 Conference Dates: June 4-7, 2018 Exhibit Hall Dates: June 4-6, 2018 Call for Exhibitors, Sponsors and Advertisers Location: Renaissance Austin - Austin, TX About the Conference The Department of Energy s (DOE) Cyber Conference, hosted by the Office of the Chief Information Officer (OCIO) plays a critical role in implementing the Department s cyber efforts, as it will bring together DOE leadership and DOE enterprise stakeholders, spanning across a geographically dispersed Department. DOE enterprise includes Program Offices, Power Marketing Administrations, Plants, Site Offices and National Laboratories of approximately 110,000 people, and 85 facilities spread across 27 states. The conference enables DOE leadership to deliver their message in-person, in an interactive forum that provides the opportunity for communication and collaboration. It provides a dynamic platform to share information that supports the Department s success in achieving its critically important national security and ensuring mission success. The goals are to convene the brightest minds from across the extended DOE Enterprise to interact with key speakers and presenters from federal interagency, academia, private sector, and international arena that are dynamic thought leaders in cyber. The OCIO seeks to establish an inclusive, transparent, and collaborative environment that will engender information sharing and information safeguarding best practices, prompt dialog that will further the Department's cyber mission, and foster partnerships. The conference will enhance the Department s cyber efforts by integrating cybersecurity coordination, harnessing the depth of technical expertise across DOE, removing redundancy, and leveraging cyber resources enterprise-wide. Additionally, we are investing in DOE cyber workforce, the most critical elements in effectively addressing threats and developing technology solutions to meet national challenges. Participation as a supporter or exhibitor in the DOE Cyber Conference does not imply any affiliation with or endorsement by the U.S. Department of Energy. Premium spaces are designated by a "p" following the booth number on the floorplan. Current floor plan is available at Additional Information The exhibitor assumes the entire responsibility and liability for losses, damages, and claims arising out of exhibitor's activities on the Hotel premises and will indemnify, defend, and hold harmless the Hotel, its owner, and its management company, as well as their respective agents, servants, and employees from any and all such losses, damages, and claims. Hotel will not be responsible or liable for any loss, damage or claims arising out of exhibitor's activities on the Hotel's premises except for any claims, loss, or damages arising directly from its negligence. eventpower will be responsible to negotiate the contract with its exhibitors. 3 All vendors must sign a holds harmless waiver for food and beverage brought in to display in their booth, regardless if they are providing or not. Exhibit Amenities - Pipe and drape dividing the booth spaces - Carpeting - Booth ID Sign - Two complimentary booth personnel badges per booth regardless of size Booth Partners Exhibitors and sponsors are permitted to have partner companies. There is a $75.00 charge per partner company. Partner companies will be included in the guide with a description and logo. Additional Exhibit Services Booth services such as electricity, Internet, booth furniture, booth cleaning, etc. must be purchased separately through the conference decorator (additional information about options and fees is available on the conference website in the exhibitor kit). The exhibitor kit will be ed and posted online approximately eight weeks prior to the conference. Exhibitor Booth Staff Two complimentary booth badges are provided per booth no matter the size. Exhibitors and sponsors will receive a special link to register their staff. All passes must be used before the online registration cut-off date of June 3, Additional cost for each booth representative over the allotted free badges is $275 (price is subject to change). Exhibitor and sponsor attendee can attend conference sessions if space is available. Sponsorship Opportunities All sponsors will be recognized on the conference website and most will be included in conference signage. This supporter opportunity includes a meeting room, AV (screen, projector and basic sound if needed), session promotion on agenda, promotion as the lunch supporter and ability to scan leads following the session. Attendees will be reminded of your company each time they retrieve their keycard to enter their hotel room. Every attendee staying in the hotel will receive the branded key card at hotel check-in. Exhibit Hall Raffle This activity is another means of getting conference attendees to your booth. Each attendee will be required to visit a certain number of booths and get their raffle cards marked and enter the raffle. Items will be raffled off during the exposition. Participating companies will be listed on all promotions surrounding the raffle. NOTE: Other items are available for the raffle and price may vary depending on the item.
