We deliver imaginative, immersive and participatory children s literature programmes which enable children, empower teachers and engage families to read more widely, write and teach more creatively, and develop visual storytelling skills, mostly in deprived schools and communities, and in diverse educational contexts at all levels from nursery to undergraduate. We deliver our work through two strands: Pop Up Festival, our national schools literature programme for primary, secondary and SEN schools; and talent development projects focused primarily on supporting aspiring and emerging writers and illustrators from under-represented groups to create literature, develop audiences and access publishing industry opportunities. Our work in schools is currently upscaling into new regions nationally; we are expanding our talent development activities into more colleges and universities; and we are developing strong international collaborations to connect young people across Europe and beyond. Find out more about our work at We are a team of four full-time and four part-time staff and are looking for a highly organised and reliable part-time Projects Coordinator with exceptional communication (written, verbal) and time management skills to support the Projects Manager in planning, administrating, delivering and developing various exciting projects.
3 THE ROLE Working as part of an energetic and ambitious team the Projects Coordinator will: Support administration and delivery of a number of projects, including: logistical planning and implementation; communications ( s, letters, briefings) with a variety of stakeholders (schools, teachers, universities, students, publishers, authors, museums, galleries, libraries); supporting delivery of activities on-the ground e.g. workshops and events; implementing social media activities; risk assessments; Undertake general administration to support the Projects Manager year-round including: systems management; CRM database maintenance; spreadsheet and information design; creating, laying out and disseminating internal and external documents; note-taking and minuting; financial administration; Support grant fundraising by acquiring data, evidence and other information as required; Support the implementation of Arts Awards through some of the projects (after receiving training). Initially, the Project Coordinator will be inducted and then providing full administrative support for delivery of several current projects, with marketing/events/outcomes all being produced April to July During this time the Project Manager will be also developing new projects and fundraising plans; following the initial delivery period and if successful in the role, the Project Coordinator will be increasingly involved in planning/fundraising for these new projects, acquiring unique insight into: project concepts and development; partnership and stakeholder building; funder relationships and grant application writing; budgeting and forecasts. SUPPORT & MANAGEMENT Under the joint steer of the Director and Company Manager, the Projects Manager and Projects Coordinator will form a Projects Team within the organisation to deliver a range of exciting projects and events year-round, build partnerships and devise/fundraise for new projects. You will be line-managed by the Project Manager in terms of tasks and deliverables; the Company Manager is responsible for organisation-wide HR and will be your point of contact for all general HR, company and financial matters, as well as opportunities for progression. Regular meetings will include: Weekly one-to-ones with the Project Manager Fortnightly Projects Team meetings chaired by the Director or Company Manager Monthly one-to-ones with the Company Manager to review progress Regular Pop Up team meetings where colleagues share activities, progress and challenges Four-monthly performance reviews with the Director and Company Manager
4 ABOUT YOU You will have EITHER 1 year experience working in an administrative role OR have recently graduated from an Arts Administration degree/course OR have successfully completed a relevant training OR apprenticeship programme (e.g. in creative and cultural skills ). Vitally, you are ambitious, and want to embark on or progress in your career in the arts through gaining experience in a highly acclaimed literature organisation at the forefront of innovation and social impact; and where there are always learning opportunities to upskill and grow with our work. You will be intuitive, responsive, show initiative and want to succeed - not just for yourself, but in support of your team and the people who benefit from our projects. You are an excellent communicator, able to quickly comprehend and articulate instructions, and to represent complex issues succinctly, especially in s. You are confident, highly efficient and completely reliable; as well as a good multitasker and problem-solver, thinking on your feet. Experience organising logistics and managing administrative systems to support delivery of projects, programmes, events and/or festivals 2. Outstanding written and oral communication skills 3. High standards in word processing and IT - ideally familiar with Google Drive, Docs, Sheets and MAC operating system 4. Excellent time management skills, and ability to work independently and on your own initiative 5. Ability to multitask and work efficiently under pressure, delivering to tight deadlines; 6. Exceptional attention to detail 7. Strong ability to research, digest, analyse, interpret and present material clearly and concisely The following skills are desirable and would strengthen your application: 1. Experience improving or adapting existing administrative systems for your own purposes 2. Experience in the literature/publishing or education sectors 3. Knowledge of and passion for contemporary children s literature 4. Experience in promotion, marketing, and/or supporting sales 5. Experience of organising events 6. Knowledge of & experience of working with different social media platforms 7.
