2 ABOUT THEATRE AD INFINITUM Founded in 2007, Theatre Ad Infinitum is an LGBT-led, multi-award-winning, international ensemble based in Bristol that creates shape-shifting sociopolitical theatre to provoke, move and inspire. 3 COMPANY STRUCTURE Theatre Ad Infinitum is currently a Company Limited by Shares, but in the next 3 months we will apply to become a charity. The company has a core team of two Co-Artistic Directors and a Senior Producer. General Management support is provided by Theatre Bristol and the successful candidate will work closely with Sarah Kingswell, Theatre Bristol Director of Business Development. Press & marketing associates and the production team are engaged for specific projects on a freelance basis. The company has an advisory board that has been meeting quarterly since The advisory board are: Melanie Aram (Head of Major Gifts and Appeals - National Portrait Gallery), Briony Bax (Editor Ambit Magazine), Jonathan Kennedy (Executive Director - Tara Arts), Lauren Clancy (Press Officer Bush Theatre), Richard Watts (Director of Arts Consultancy People Make It Work ), Porl Cooper (Producer/Programmer Harrogate Theatre), and Jim Zalles (Producer Theatre Bench). In the next five years, whilst we will continue to operate as an independent organisation, we will also evolve our program and endeavour to increase our organisational capacity as we embark on more ambitious projects that will reach wider audiences in the UK and internationally. THE COMPANY ADMINISTRATOR ROLE This is an exceptional opportunity for someone beginning their career in Arts Administration/Management to work with one of the UK s most exciting companies whilst receiving ongoing mentoring from Sarah Kingswell, Director of Business Development at Theatre Bristol. The successful candidate will also work with Emily Williams, an independent Art & Culture Producer, throughout the process of integrating into the role and the company. The Company Administrator will work with the core team to ensure the smooth operational management and delivery of the company s activities. Job Description Company Administrator Hours: Salary: Holiday: Pension: 16 hours a week [equivalent to 2 days] Some occasional evening and weekend work required 18,000 pro rata 20 days plus 8 public holidays pro rata The Company will comply with the statutory obligations on auto-enrolment at the appropriate time 3

4 Length of contract: 12 months fixed, until December 2019 Notice period: Employer: Location of post: Responsible to: Purpose of Job: One month notice after an initial three-month trial period has ended, during the trial period two weeks notice. Theatre Ad Infinitum Bristol, UK. One day a week at Theatre Bristol, and one day at another location in Bristol TBC. The Co-Artistic Directors, Senior Producer The successful candidate will work closely with Sarah Kingswell, Director of Business Development, Theatre Bristol To ensure to smooth running of the organisation and enable the highest level of achievement for Theatre Ad Infinitum through efficient and positive support and administration Key duties and Responsibilities tasks Administration Oversee day-to-day administration of the company to promote smooth business operations Maintain good relationships with partners / venues and liaising on the smooth running of productions With support issue sound contracts for venues, co-productions, and creative crew Manage the company s schedule and diary Ensure that appropriate insurance cover is maintained, and manage any claims as they arise Participate in and attend regular team meetings and other meetings as required With support set up data collection systems and lead on the collection of data to report to funders and other stakeholders. Attend and minute board meetings. Assist the chair of the board with drafting papers including the agenda for meetings Marketing Contribute to the overall marketing efforts and profile of the company Keep company promotional material up to date and to supply the PR team, venues, funders and/or partners with images, copy, URL links for trailers etc. 4

5 Contribute to TAI s marketing through the editing and management of monthly newsletters, Twitter and Facebook posts and updates. Oversee the maintenance and development of TAI s website. Financial Management This role will be mentored by Sarah Kingswell and training will be given on day to day financial administration and other financial tasks This list of responsibilities is not exhaustive and the employee will be required to perform duties outside of this as operationally required and at the discretion of the Co-Artistic Directors and Senior Producer Person Specification Essential A natural collaborator who will fit into a close-knit company with ease, humour and confidence A strong ambition to pursue a career in arts administration and management A flexible approach to work and the ability to manage multiple priorities and deadlines Exceptional organisational and communication skills Excellent attention to detail Ability to work independently Excellent level of English: writing, reading and speaking Good ability of working with Microsoft office, Word, Excel. Computer literate (Apple MAC and Windows).
