1 Job Description Job Title Responsible to Location Swim School Manager Pools Manager Guildford Spectrum Leisure Comple Job Purpose To design, maintain monitor and oversee the various Swim School programmes at the Spectrum. To be ultimately responsible for all staff operating within the Swim School, with specific line manager responsibility for Swim School Coordinator. To be ultimately responsible for all customer communication, including meeting the demands of E-Focus (Customer Feedback Database). To deliver a high quality, resource efficient Swim School, which promotes positive skills development and encourages greater participation of swimming. To deliver on various KP s associated with financial and sales/growth and class occupancy performance. Key Relationships Swim Teachers Pools Manager Centre users Pools Duty Manager Aquatic Business Manager Schools Swimming Coordinator Customer Services Team Swimming Club Pools Duty Officers Main Duties To oversee all aspects of the centre s Swim School programme with a focus on maimising growth and income opportunities through knowledge of industry initiatives and customer trends. To support the Pools Manager in the periodic review and development of the pool programme to ensure that available pool space is utilised efficiently and effectively at all times. To ensure that relevant KP information is provided on a weekly basis to the Pools Manager & Freedom s Aquatic Business Manager as well as reporting on a monthly basis to the Pools Manager on performance against income & ependiture budgets and sales/growth targets specifically linked to the Swim School. To work with the relevant members of the customer services team to manage all aspects of the Swim School courses/bookings on the On-Course system,

2 including class movements, re-enrolment, payments and the Home Portal (lesson feedback). To develop (as appropriate) and maintain schemes of work for the various swimming lesson programme, including Schools Swimming lessons, that links in with the ASA awards programmes and aids standardisation of lesson delivery. To ensure swim teachers operate within a safe environment, carrying out duties that comply with all safe systems of work, as defined in the Operating Documents (OD s). To take overall responsibility for the review and development of Risk Assessments and Operating Documents that relate to all aspects of the Swim School operation. To coordinate a pro-active succession planning scheme and recruitment process required to sustain an appropriate level of swim teacher resource within the Swim School. To oversee the production and on-going operation of staffing rota s, A/L records and sickness documentation in liaison with the Swim School Coordinator. To positively performance manage the swim teacher team with the support of the Swim School Coordinator, including implementing a code of conduct as well as taking regular job chats and periodic appraisals. To ensure that effective methods of communication, including staff briefs & periodic meetings, are maintained so that all swim teachers are kept suitably up to date regarding their job role and the Swim School operation. To devise, coordinate and where relevant deliver a structured training and development programme for swim teachers. To maintain a close and positive working relationship with the Swim School Coordinator that provides guidance and support for this post holder to enable all aspects of their job description and appraisal objectives to be achieved. Ensure that customer comments and complaints are handled promptly and professionally, with issues being referred as and when necessary, to a more appropriate staff member. To work with the Pools Manager and on-site marketing support to meet the requirements of the Customer Communication Strategy and Pools Marketing Plan in relation to the Swim School. To support the Pools Manager in reaching out to potential new customers within identified target groups as indentified with the Pools Service Plan, Sports Development Plan and Marketing Plan. To maintain and develop positive working relationships with key eternal partners, including Guildford City Swimming Club, Swim England (Formally the ASA), nstitute of Swimming (OS), Active Surrey and Guildford Borough Council s Sports Development Officer. To maintain and develop positive working relationships with key internal partners, including Spectrum s Customer Services Manager and Freedom Leisure s Aquatic Business Manager. To coordinate, along with the OS & Tutor(s), the agreed programme of Swim England (ASA) courses held at Guildford Spectrum as well as ensuring that all

3 aspects of the SLA are met and that all invoicing relating to the venue hire is completed in a timely manner. To take overall responsibility for Guildford Spectrum s participation in the annual Swimathon event and any other local, regional or national swimming campaigns. General To fully participate in two annual staff performance review processes and producing personal development/training plans for all staff. Undertake training to maintain validity of necessary qualifications in line with the requirements and development of the post and agreed with line manager. Occasionally, training or meetings are organised outside normal working hours. The post holder will be epected to attend whenever reasonably practicable. To achieve and demonstrate agreed standards of personal and professional development within agreed timescales. To contribute positively to the effectiveness and efficiency of the teams in which he / she works. To undertake any other duties at the request of the line manager or eecutive director team which are commensurate with the role, including project work, internal job rotation and absence cover. Special Conditions Due to the nature of the job role, the post holder will be required to undergo a Disclosure & Barring Service (DBS) enhanced check before undertaking duties as well as a re-check on a periodic basis. To maintain consistency and continuity within the delivery of the Swim School programme the post holder will be required to programme their annual leave in line with conditions as set out within the terms of their contract. When essential maintenance work is being carried out in the centre, the post holder may be asked to take either paid annual leave (if the post holder has this) or unpaid leave whilst the work is carried out. Eperience of using courses & bookings management software (e.g. On Course/Course Pro) An understanding of identifying staff training and development requirements and identifying development opportunities. Eperience with coordinating swimming events (e.g. Swimathon) Knowledge, Skills, Competencies A high awareness of industry developments, new activities, trends and research. Commercial awareness which translates into contributing to a successful and financially viable operation. A passion for the industry demonstrated through continuous professional development.
