2 Finance & Procurement, Facilities Directorate Are you a pro-active individual seeking to apply your excellent numeracy and analytical skills in a busy finance/procurement environment? Do you have the ability to provide excellent customer service and deal with a wide range of people at different levels? Can you work effectively on your own initiative as well as part of a team? The Facilities Directorate (FD) is the largest provider of services to University staff and students on campus. It employs approximately 1,200 staff and encompasses Estate Services, Residential and Accommodation Services, Commercial and Campus Support Services and Sustainability. Working as a Finance & Procurement Assistant within the FD s Procurement Team, you will undertake procurement administration in line with University procedures and regulations, ensuring that a high standard of service is delivered to our customers at all times. Your primary focus will be to process purchase orders using the University s accounting system (SAP) and assisting with the gathering and analysing of data. You will also be expected to develop a full understanding of the complete purchase to pay process, ensuring that best value for money is achieved at all times. What does the role entail? As a Finance & Procurement Assistant, your main duties will include: Assisting in the specification of customer requirements, identifying nominated suppliers and / or alternative sources where appropriate and ensuring all requisitions are properly authorised by budget holders prior to processing; Processing requisitions into electronic purchase orders, prioritising as necessary so to ensure that goods and services are delivered as specified and on time. In addition, placing orders with suppliers as and when appropriate; Gathering and analysing information from a range of different sources for quotes or tenders; ensuring that results are presented in a concise and accurate format; Supporting the use of purchasing arrangements negotiated by the University or relevant purchasing consortia such as North Eastern Universities Purchasing Consortium (NEUPC) or The University Caterers Organisation Ltd. (TUCO);

3 Assisting in the evaluation of University contracts, collating and analysing costs and data in line with relevant procedures; Accurately inputting data/saving documentation into databases in a timely manner and maintaining auditable and accurate purchasing records and filing systems; Adhering at all times to the University s Financial and Purchasing Regulations, and complying with purchasing thresholds and directives; Providing a courteous and helpful front-line service to staff, students, visitors and University staff, responding to or redirecting queries in a prompt and professional manner; Undertaking general office administration tasks, such as note taking at meetings, photocopying/scanning documents, etc; Assisting in other areas of the Facilities Directorate Finance & Procurement Team and contributing to the training and mentoring of other members of staff as and when required. In addition, attending any internal or external training and development courses as requested; These duties provide a framework for the role and should not be regarded as a definitive list. Other reasonable duties may be required consistent with the grade of the post. What will you bring to the role? As a Finance & Procurement Assistant, you will have: Experience of working in a busy office environment with an ability to provide excellent customer service; Excellent IT skills, with a good working knowledge of Microsoft Word, Excel and Outlook; Excellent numeracy, literacy and analytical skills with an ability to work accurately and with close attention to detail; Strong communication and interpersonal skills with an ability to interact with people at all levels, both internally and externally and to develop effective working relationships; The ability to deal with confidential information; An adaptable and flexible attitude, good organisational skills, and the ability to respond to changing priorities and work under pressure; The ability to work effectively on own initiative or as part of a team;

4 Demonstrable behaviours in line with University values. You may also have: Experience of working in a similar role; A qualification in Procurement such as NVQ III; Experience of using SAP or other finance/procurement software systems; Previous experience of working in Higher Education.
