1 JOB DESCRIPTION Voids Co-ordinator DIRECTORATE: Merlin Works DEPARTMENT: Repairs & Maintenance SALARY: 20,000 RESPONSIBLE TO: Void Team Leader RESPONSIBLE FOR: N/A CONTACTS All staff within Merlin Housing Society, tenants, leaseholders, tenant and resident groups, councillors, Members of parliament, members of the public, contractors, suppliers and service providers Reports Directly to: Void Team Leader Job Purpose To be responsible for the day to day scheduling of void works through the company scheduling system for a number of Operatives creating maximum efficiency, ensuring key performance indicators are maintained to the desired level. To support the Void Team leader in the planning and execution of void works Specific Duties and Responsibilities: This role will have key responsibilities for the following: Customer Employees Performance Main Duties & Responsibilities To schedule, programme and co-ordinate void works, ensuring the maximum efficiencies are met for all operatives. To liaise on a daily basis with voids staff and suppliers dealing with any queries raised To be responsible for the coordination and forward planning of ordering materials and goods for the execution of the void works by operatives Void Planner Page 1 of 5

2 To ensure all operatives non working activities are entered accurately onto the scheduling system. To support the customer service advisors on matters relating to repairs & voids To have regular communication with Operatives throughout the working day ensuring void target dates are met and the desired Key Performance Indicator targets are achieved. When required to carry out regular telephone quality assurance checks on Operative s jobs and report back on your findings. To provide feedback on the use of the scheduling system offering advice on improvements. To assist the Repairs Planner, with varying workloads as required. To assist peer planners as and when required. GENERIC DUTIES AND RESPONSIBILITIES 1. Liaise with colleagues in these organisations to ensure the provision of a comprehensive quality service to all Merlin residents. 2. Promote the organisation and it s work with stakeholders ensuring effective co- ordination of it s activities with other organisation and partners and develop good working relationships 3. Actively participate in and undertake continuous improvement of service delivery, working closely with customers to enhance current services, participating in team improvement plans and service reviews. 4. To work with colleagues within the operation directorate to provide a comprehensive and seamless service to all our residents. 5. Be aware of the organisation s values and commitment to diversity and to promote equal opportunities in service delivery, working effectively with colleagues to ensure the highest standards of customer care.. 6. Understand and observe Merlin Housing Society s Health and Safety policies & procedures, always protecting personal health and safety and that of colleagues and customers. 7. Be aware of the need for confidentiality, professional boundaries and responsibilities in respect of Data protection and other relevant legislation in respect of the treatment of confidential and personal information. 8. Experience of building maintenance terminology Ability to work under pressure and to deadlines Ability to communicate effectively both verbally and in writing Ability to organise and prioritise your own workload A positive and flexible approach to change Ability to work on your own and as part of a team Experience working within a housing association A confident, assertive and friendly telephone manner Ability to deal calmly with difficult situations Void Planner Page 4 of 5
