Tel: Fax: Mission Statement We in Milford Care Centre as a Little Company of Mary Health Care Facility aim to provide the highest quality of care to patients or residents, family and friends, both in the areas of palliative care and services to the older person, as envisaged by Venerable Mary Potter. Job Description Job Title: Reports To: Direct Working Relationships: Grade IV Human Resources Job Summary: The Role of Human Resources Administration assigned to the Human Resources Department is to provide proactive assistance and completion of HR administration activities of the Department on a day to day basis under the direction of the Head of Human Resources. 1

2 DUTIES AND RESPONSIBILITIES: Whole Time Equivalent Management - Update and audit WTE records in conjunction with Head of HR and Management Team Recruitment and Selection - Advertise positions both internally and externally - Liase with Line Managers and Head of HR on candidates to be called for Interview - Co-ordinate Interviews - All administration in relation to recruitment and selection - Closing off all campaigns on completion - Produce regular reports and recruitment updates - Liasing with agencies to arrange staff cover when required - Ensuring that best practice standards are maintained when dealing with recruitment and selection issues Time Management System - Update and audit TMS records - Provide technical support and training in relation to TMS - Overall management of TMS - Production of timely and accurate TMS reports Education and Training - Process all relevant Education and Training Records as per Education Policy - Organise and Co-ordinate Human Resources Training Programmes including Orientation Days, Staff Briefing Sessions, Information Sessions and Line Management Development Programmes in Human Resources - Delivery Staff Training Modules in relation to current legislation and policies and Procedures - Maintain Education and Training records in the designated databases Pension Scheme Administration - Administer all pension scheme queries - Set up new staff members in the pension scheme - Organise pension scheme briefing sessions as required - Assist with the update of the annual pension scheme statements - Liase with the on specific pension queries Terms and Conditions of Employment - Draft all Contracts of Employment for new staff members - Ensure all staff members have a current contract of employment - Regular reports on contract end dates from HR System - Understand different types of employment contracts e.g. Specific Purpose, Fixed Term, Part-Time, Secondment Etc. - A good understanding of employment legislation in relation to terms and conditions of employment 2

3 - Deal with staff members annual leave queries as requested and produce annual leave reports and monitoring attendance levels of staff. - Ensure each staff member has a current annual leave sheet - Liase with Finance Department in relation to pay amendments as directed by the - Carry out surveys with similar service providers in relation to terms and conditions of employment - Deal with queries as directed by the General - To conduct all assignments and communications in a professional, efficient and confidential manner. - To provide cover for other HR staff as and when required - To participate in training either in-service or at external locations as required by the Line Manager. - To maintain an awareness of the Mission Statement and Core Values of Milford Care Centre in relation to all associated work. - To comply fully with the Centre s policy on Confidentiality. In the course of employment you may have access to, or hear information concerning the medical or personal affairs of staff members or other Milford Care Centre business. Such records and information are strictly confidential and unless acting on instructions of an authorised officer, on no account must information concerning staff or other Milford Care Centre business be divulged or discusses except in the performance of normal duties. In addition records must never be left in such a manner that unauthorised persons can obtain access to them and must be kept in safe custody when no longer required. HEALTH AND SAFETY - To maintain a safe work environment in co-operation with the Centre Management Team and with reference to the Safety, Health and Welfare at Work Act, To work in a safe manner with due care and attention to safety of self and other authorised persons in the workplace. - To be familiar with Milford Care Centre s policies, practices and procedures. - To report immediately any accidents or incidents involving patients, staff or members of the public to the Chief Executive. - To adhere to the policies laid down in the Safety, Health and Welfare at Work Act,

Person Specification The following skills / characteristics are essential for this position: o Qualification in Human Resources o Previous experience within a Human Resources Support Role o Previous technical experience with Time Management System o Good Knowledge of Employment Legislation o Proven ability to see projects through from start to finish o Excellent working knowledge of Microsoft Office Suite particularly:- Word, Excel, Outlook and Powerpoint. o Excellent communication and interpersonal skills. o Excellent organisational ability. o Ability to take initiative, when required. o Ability to work well individually and / or as part of a team. o Willingness to subscribe fully to the ethos / philosophy of Milford Care Centre. o Willingness to undergo further training / personal development if required 4
