1 POSITION DESCRIPTION Position: Business Systems and Technology Manager Contract: Full Time Reports to: Director of Operations and Finance Commencement date: March 2018 POSITION PURPOSE The Business Systems and Technology Manager oversees the Information Technology related business functions within Queensland Ballet and has responsibility for supporting staff with efficient solutions related to IT, Data, Information and Business performance. This role interacts with external providers and aids in the definition and support of IT related business process requirements. The Business Systems and Technology Manager role has a large internal client focus and works toward enhancing the utilisation and output of all IT systems within Queensland Ballet. 2 REPORTING RELATIONSHIPS Reports directly to the Director of Operations and Finance in a highly autonomous management role. This position interfaces and works with other leadership and staff in a peer relationship to ensure rapid corrections and, more importantly, corrective and preventative actions to prevent the occurrence or recurrence of problems. Works closely with other Directors to assure services as required to support Queensland Ballet in the achievement of its strategic goals. Works with and manages relationships for external partners who deliver services for Queensland Ballet such level 1 and 2 IT helpdesk, cybersecurity oversight, network, building management systems, CRM and so on. RESPONSIBILITIES SYSTEMS AND TECHNOLOGY Direct and coordinate vendors, partners and suppliers for technology and business systems support Manage technology budgets, purchasing and asset management, allocation and maintenance Build, deploy and support of end user systems and platforms Prioritise IT-related problems as they are identified to the appropriate vendor, partner or supplier, and escalate and manage to resolution when necessary Define, prioritise and assign problems / tasks to appropriate technology support specialists and suppliers Regularly analyse and review logs, services delivery reports, to determine if problems are chronic or imminent and develop solutions before they occur Conduct and / or oversee regular maintenance on core systems Work with stakeholders and staff / teams to gauge their satisfaction with problem resolution; identify tech support problem areas (i.e., negative trends) and, if warranted, implement corrective actions Inform training requirements for staff to ensure same is appropriate, effective and regularly delivered Act as the point of co-ordination for projects, initiatives, deliverables and so forth that involve technology Define, implement and manage a range of data integrations to assure a 360-degree view of the organisation s information Inform, develop and define policies, processes and guidelines around technology and its utilisation within the Queensland Ballet corporate environment TESSITURA / ENTERPRISE PLATFORMS
3 Administrate the Tessitura database and related applications consistently and effectively, and implement and maintain data hygiene processes to preserve data integrity. Prepare data files and monitor the daily imports and exception reporting. Ensure Tessitura is maintained as an effective Single Point of Truth for all QB constituent data. Develop outsourced briefs for; or create stored procedures and customisations to enhance the access of data and reporting requirements within QB enterprise platforms. Provide support to internal departments in delivering, configuring and maintaining their Tessitura setup and requirements within the scope of the Tessitura Governance structure. Database Management: liaise with the Tessitura Network and connect with the Tessitura community to ensure QB maximises the opportunities associated with this system; Inform the training requirements for QB and develop that capacity for Tessitura and related enterprise applications within the organisation Proactively inform a range of education and training opportunities for teams and individuals across the organisation promoting best practice use of the reporting systems/ applications and the critical value of data for the decision-making within the organisation. KEY CRITERIA 1. Bachelor s Degree in Information Technology and/or a related discipline combined with 5+ years of experience in a technical support role and at least 2+ years in a technology management position. 2. Demonstrated ability to translate high level business requirements into tailored systems and solutions. 3. Experience with and exposure to the implementation and ongoing management and support of ERP and CRM type solutions. 4. Commitment to data integrity and proven experience in data extraction and analysis. 5. Excellent verbal and written communication skills and the ability to influence others to adopt innovative solutions. INDUSTRY EXPERIENCE Must also have strong industry experience with: Microsoft Office 365 Microsoft Active Directory Microsoft AD Connect Microsoft Azure and other similar Cloud infrastructure platforms Managed wireless networks Cisco OpenDNS / Umbrella HP workstations and laptops Microsoft Surface hardware Apple MacOS and IOS platforms
4 Operating systems such as Microsoft Windows 10 Apple MacOS 10.x and higher, Apple IOS 9.x and higher Video and teleconferencing platforms Tessitura or similar SQL based CRM systems (Tessitura administrative support training will be provided) Financial / ERP platform availability (Administrative support training will be provided for specific platforms where needed) Business critical applications and platforms marketing management platforms, their integration and use DNS, DKIM, SPF and DMARC records and domain name management Managing and coordinating the management of storage solutions, NAS infrastructures, disk arrays, both Cloud based and on premise Microsoft Server 2012 and higher Microsoft HyperV hypervisor DESIRABLE ATTRIBUTES 1. Qualifications and experience with technology vendors such as Microsoft, Cisco, Apple, Ruckus, Google, Hewlett Packard, Tessitura and APC Schneider will be viewed favourably 2. Relevant project management and/or tech support management certifications 3. Vendor certifications in Microsoft Azure and Cloud services will be viewed favourably 4. Ability to analyse situations and determine resources needed to solve them 5. Ability to make decisions quickly, often with limited information, to assure service and availability WORK ENVIRONMENT The job is performed indoors in a traditional office setting. Extended periods of sitting while using a computer or other devices are common. No heavy lifting is expected, though occasional exertion of about 20 lbs. of force (e.g., picking up and carrying monitors, laptops) may be required. Good manual dexterity is required to use common office equipment (e.g., computers, mobile devices, calculators, copiers, scanners). Must also be able to position self to maintain equipment, including under tables and desks. GENERAL INFORMATION Recreation Leave 20 working days per year (pro rata). Accrued leave may be taken with the agreement of the Executive Director at any time of the year, subject to the demands of the position. Personal/Carer s Leave Ten working days per year (pro rata) Probationary Period Six months from commencement. Hours of Work Office hours are nominally 9.00 am to 5.00 pm, Monday to Friday but the appointee is regularly required to be available to work at performances and functions after hours and on weekends Salary will be negotiated with preferred candidate. Superannuation is paid into the superannuation fund of your choice, currently at the rate of 9.5%.
