3 Job Description Job Title: Project Officer Hours: 35 per week Responsible To: Project Manager Works With/Key Contacts: Learning & Development Manager Subject Specialists Location: London Duration: Fixed-Term - 1 Year Responsible For: N/A Salary: 27,350 per annum. Context and Background Established in 1860, Battersea Dogs & Cats Home aims aim to never turn away a dog or cat in need of our help, caring for them until their owners or loving new homes can be found, no matter how long it takes. We are champions for, and supporters of, vulnerable dogs and cats, determined to create lasting changes for animals in our society. We currently operate from three centres in Battersea London, Old Windsor in Berkshire and Brands Hatch in Kent. Every year, we care for over 7,000 dogs and cats. The Learning and Development and Operations teams work together closely to enable our staff and managers to develop the skills and knowledge they need to deliver the Home s objectives. We are currently scoping the expansion of our learning and development programmes for the benefit of animal welfare professionals within and beyond Battersea. Main purpose of the role To organise and administer all project activities in cooperation with and under the direction of the Project Manager, helping to ensure that projects are completed on time, to quality expectations and within budget. Overall Objectives Initiation Phase: Support the Project Manager in the delivery of the demand research exercise, and in the development and preparation of the full project proposal. Support the workstream leads in the planning and resourcing of their key deliverables. Mobilisation and Delivery Phases: Monitor and track the project s progress, handling any issues that arise and escalating where necessary. All Phases: Create and maintain comprehensive project documentation, plans and reports including project risk and issues logs. Act as the primary point of contact for workstream leads and communicate project status to all participants

4 Responsibility Approx % of time Undertaking demand research, and developing and maintaining the market 10% research contacts database Preparing project proposals, timeframes, schedules and budgets 10% Co-ordinating & administering all project plans, activities, events, resources, 25% equipment and information Monitoring and tracking the project s progress, liaising with workstream leads to 30% ensure project development, delivery and reporting requirements are met, handling any issues that arise and escalating where necessary Updating and maintaining project documentation including resource plans, 20% budgets and control, risks and issues logs Ensuring project documentation is stored effectively and version control 5% processes are in place The above job description is intended to be an outline of the duties and responsibilities for this role. This is not an exhaustive list, and the types of activities and their frequency will vary depending on the phase of the project. You may be expected to undertake other duties that are commensurate with this role and grade. 5 Person Specification Essential qualifications, experience and skills Significant experience of working as part of a project team in a co-ordinator or officer (or similar) role A good understanding of the full project lifecycle from pre-project activities through to closure and post project review Demonstrable ability to deliver projects or parts of projects from beginning to successful completion An understanding of risks and issues in the context of a project and how these can be effectively managed Experience of using GANTT charts and/or RAID logs and project documentation. Strong working knowledge of Microsoft Office and of project management tools Previous experience of organising workshops and training events Excellent written and verbal skills, with the ability to write complex reports to a high standard and to adapt your communication style for different audiences Demonstrable ability work effectively both independently and as a proactive team member in a project environment Proven experience of working constructively and collaboratively with colleagues from different teams, including senior managers, and of negotiating effectively with them for their active support and involvement at times of high activity and conflicting deadlines Experience of a flexible and adaptable approach to managing and prioritising a high workload and multiple tasks. Demonstrable ability to work with tact and diplomacy when dealing with sensitive and confidential issues Experience of positively embracing and adapting to change Commitment to and understanding of the vision and mission of Battersea Dogs & Cats Home Ability to travel between the Home s three sites and to external events Desirable qualifications, experience and skills Experience of working in a third sector organisation Experience of working in training and/or educational institutions A formal project management certification (e.g. PMP, Agile, PrInCE2) Experience of monitoring or administering project procurement and project budgets Experience of delivering market research activities Experience of communicating with international stakeholders
