1 DUTIES STATEMENT & JOB DESCRIPTION DEPUTY GENERAL MANAGER Established in 1974, Western Australian Youth Orchestras (WAYO) has a long history of outstanding results in delivering innovative and successful music programs to young people throughout Western Australia. WAYO has significant corporate, governmental and community stakeholders and partnerships that facilitate its activity and cement its place as an integral part of the Western Australian community. Following a decade of unprecedented growth and stability, as well as a restructure of its small team, WAYO is seeking an outstanding individual to fill this new position. The Deputy General Manager will report to the Executive Director across all facets of the organisation as well as managing their specific areas and projects. This position will also work collaboratively with the WAYO Board and other WAYO staff. The Deputy General Manager position represents a rare opportunity to join this highly successful organisation and to play an important part in every part of the operation. The position provides an outstanding opportunity for the right candidate to apply their dedication, experience, knowledge and future development across a broad range of duties and outcomes. SELECTION CRITERIA & EXPERIENCE The ideal candidate will be an experienced manager with an outstanding track record in the performing arts, not for profit or corporate sector. They will have a reputation for maintaining integrity while also delivering a sustainable financial outcome for the organisation. With experience as a leader of small teams, they will understand the importance of leading by example and motivating and inspiring others to achieve their best. The ideal candidate will be required to demonstrate the following: - A successful track record in working with Senior Management - Delivery and ability to manage successful commercial outcomes for either arts or public programs, corporate events or sales - Successful record of being part of team that has raised and maintained funds through fundraising and submissions to government/philanthropic funds/private organisations and the development of strong relationships between their organisation and donors - Effective management within a lean organisation, keeping a strong focus on cost management and leveraging supporters of the organisation - High level of understanding of administrative processes and statements in the not-for-profit sector and experience in constructing budget and reports - Proven ability to work with creative young people 8-25 (and their parents) and deliver educational and program based outcomes - Understanding and passion for the arts and not-for-profit sector - High level of computer skills within the Microsoft Suite. Experience in Adobe InDesign, MYOB, Wordpress, Filemaker Pro would be advantageous
2 EDUCATION The ideal candidate will hold a tertiary qualification in one or more relevant disciplines including Arts Management, Public Relations, Finance, Commerce, Business, or Marketing. A knowledge of classical music and orchestras is required. COMPETENCIES The ideal candidate will demonstrate the following competencies: Drive for results: Demonstrated ability to deliver results for their organisation. The successful candidate will be energised by a challenge and will bring an organised and focused approach to setting and delivering on goals for themselves and the organisation. Stakeholder Management: Demonstrated ability to work with stakeholders within the organisation, such as a board, funding bodies and sponsors, including a sound understanding of key aspects of corporate governance for an organisation of WAYO s size. Relationship building: proven ability to form and maintain close and effective relationships with others. The successful candidate will be relationship driven and will apply themselves to building and sustaining a network of public, private and corporate supporters for the WAYO. Commercial acumen: Demonstrated ability to drive strong ticket sales and develop other sources of commercial revenues to help deliver financial sustainability, without compromising on the artistic vision and educational outcomes and integrity of the program and ensembles.
3 POSITION DESCRIPTION REPORTING / WORKING RELATIONSHIPS The Deputy General Manager works with and reports to Executive Director to achieve the following objectives: - Managing and meeting the financial, public relations, corporate partnership and strategic goals of WAYO - Ensuring that the WAYO s program of activities meets the needs of WAYO s major funding bodies and relevant stakeholders including audiences, the arts community, sponsors, supporters and the general community - Developing the business modelling and reporting obligations for the Association including Business Planning, Strategic Direction, Board Planning, Risk Management Planning and Annual Planning - Developing and maintain strategic relationships with the corporate community, securing sponsorship and other sources of revenue through managing WAYO s Government and Corporate Partnerships Strategy - Identify and develop private relationships for philanthropic support, including management of the WAYO Foundation - Implement fundraising campaigns to support WAYO s projects - Manage WAYO public relations strategies ADMINISTRATION - With the Executive Director develop the business modelling for the Association including Business Plan, Strategic Direction, Board Planning, Risk Management Planning and Annual Planning - Assist the Executive Director with funding and grant applications and acquittals - Maintain the collection of appropriate data/statistics - Oversee WAYO's reporting methods and obligations - Oversee office filing and archives - Where directed, maintain relationships with WAYO stakeholders PUBLIC RELATIONS (with the Executive Director) - Demonstrate passion, dedication and skill in developing further the overall branding and positioning of WAYO through a comprehensive public relations strategy which addresses brand development, audience development, sponsorships, donations and bequests, stakeholder engagement and the development of existing and alternative markets - Manage the development of public relations strategies and materials - Liaise with in-kind communication and marketing sponsors to effectively position WAYO in its chosen markets - Oversee pricing policies and audience development initiatives - Establish and refine WAYO s database and introduce analysis of various statistical factors - Oversee the preparation of publications including the Prospectus, concert programs and reports as well as online activities - Manage and grow WAYO's online presence
4 FUNDRAISING - With the Executive Director manage the implementation and growth of WAYO s Foundation - Manage WAYO s Fundraising Strategy with the Executive Director - Seek potential partners and develop prospective target research reports - Implement fundraising campaigns for WAYO projects - Manage all files and databases associated with the partnership strategy; and - Support the Executive Director in the management of corporate and philanthropic partnerships BOARD - With the Executive Director report regularly and in a timely manner to the Board of Management on financial standing and the implementation of strategies towards achieving the organisation s objectives - Ensure compliance with legal and policy and ensure transparency of reporting and information flow to all Board Members OTHER DUTIES - Any other duties as required that are reflective of the position, including deputising and representing the Executive Director if required COMPLIANCE REQUIREMENTS - National Police Clearance - Working with Children Check (WA) CONDITIONS Salary: $70,000 per annum plus statutory superannuation and leave entitlements. Salaries are reviewed annually. Continuing full-time position following 3-month probation Hours; Monday to Friday 9am - 5pm Time in lieu to be taken if attending performances and out of hours work Location 82 Beaufort Street, Perth Only applicants with full Australian work rights will be considered for this position. 6 APPENDIX History WA Youth Orchestras (WAYO) was established in 1974 and has grown into one of the leading youth music providers in the country. In recent years WA Youth Orchestras has developed beyond a high-quality youth music training organisation with up to 7 ensembles into a major concert presenter and community advocate. In 2016, over 40,000 attended a WA Youth Orchestras event, as the organisation continues to expand its important role in the Western Australian community and beyond. WAYO has mutually beneficial partnerships with its long-term Principal Partner Woodside as well as St John of God Health Care, in addition to its government funding through the Department of Culture and the Arts. Further information at In 2016 WA Youth Orchestras achieved the following, with 2017 earmarked and projected for similar outputs: - Performed four annual concerts the Perth Concert Hall as well as large scale free events in Burswood Park in partnership with the Town of Victoria Park and also in Langley Park as a collaboration with the Perth International Arts Festival - Featured international conductor Tze Law Chan as part of WAYO s unique Woodside Annual International Conductor Season - Through innovative partnerships with concert promoters, local government and sponsors presented large-scale free admission concerts - Have multi-year corporate sponsorship agreements with Woodside and St John of God Health Care - Received multi-year Funding with the Western Australian Government through the Department of Culture and the Arts Continued its regional presence through the South West Youth Strings - Presented sell-out children s concerts the St John of God Health Care Babies Proms to many thousands - With a stable administration and strong financial reserves WAYO continued to achieve a strong financial position and maintained efficient operation, allowing the organisation to invest in developing programs, stakeholder relationships and concerts - Strong governance and extensive risk management policies - Toured and performed in Singapore and Japan in December 2016 as part of future plans to tour internationally every three or four years - Performed 3 Australian commissions including a new orchestral work from Rebecca Erin Smith
