3 What is Data Integration & Club Management Systems? Data Integration allows your club to link your club member data to Rotary International s member database from your local database (sometimes called the District Database), for you this would be; to RI s database which is The Official Rotary Database, which can be viewed in My Rotary. 5 What is the difference between the RI Database and your District Database? The RI Database is the Official Rotary Database. Each Club Invoice is generated based on the data found in the RI database which can be seen in My Rotary. TITLE 5

6 What is the difference between the RI Database and your District Database? The District Database is a stand alone database, that is entirely separate from the RI Database. Your District Database is used by your District to view and support the clubs in your individual district, but it is not actually connected to the RI database. TITLE 6

7 Districts using Club Management Systems/Data Integration A club, district, or zone may purchase a club management system for its clubs, but each club must be set-up on the vendor s website and also set-up properly on the My Rotary website. TITLE 7

8 Using both a Club database and a District database 1. Only one vendor may update club data, though authorization may be granted to view data to more than one vendor. 2. A club can use a vendor other than the one its district or zone uses, by simply giving view-only access to the district s vendor, which will allow the district to view the club data also. TITLE 8

9 Steps for Successful Integration between your local database and RI 1. Prior to setting-up on the My Rotary website, each club or district must have a contractual agreement with the data integration vendor they will be using. 2. Each individual Rotary Club must go to Rotary.org/myrotary to select the vendor for proper set-up to transfer data to the RI database. (Note: If they do not, the member data entered into the local database (in this case, DACdb) will not transfer to RI. 3. The Club ID and Member IDs in the vendor database must match the IDs in the RI database to make updates or changes. 4. Set-up on Vendor side DACdb > *Must select - RI Direct Connect 5. Security settings at the Club and individual Member level must be setup to allow transfer of data to RI. 6. Use the Compare & Sync feature provided by your vendor to see what is in DACdb, compared to what is in the RI database. 7. The club cannot be terminated. 8. Know what data the provider has rights to update. *Check the provider list. TITLE 9

16 Individual Rotary Club Set-up and Access Individual Rotary Club Set-up and Access: 1. Club officer goes to Rotary.org/myrotary 2. Go to Manage>Club Administration>Club & Member Data>Update Club Data>Designate a club management vendor 3. To allow the club to transfer member data that is updated using DACdb, the club must click on Tell us which vendor you re allowing to update club data. a. Note: Clicking Tell us which vendor you re allowing to view club data will only allow a club or district to view data, but will not allow updates to be transferred to the RI database. 4. On the page titled Identify and authorize a Club Management Vendor, under the heading Club Management vendor, select your vendor from the drop down menu. 5. Review the terms and conditions and click the box I Agree if you wish to complete the data integration set-up process. *Your club will then be set-up on the RI database side to update your club data. 17 For District Set-up and Access (Note: Districts can only view club data, a District cannot update club data). To allow the district to view the club information by using DACdb, please follow the steps below after completing the initial set-up above for an individual club: 1. Club officer goes to Rotary.org/myrotary 2. Go to Manage>Club Administration>Club & Member Data>Update Club Data>Designate a club management vendor 3. To allow the District to view club data that is updated using DACdb, the club must click on Tell us which vendor you re allowing to view club data. a. Note: This will only allow your district to view data, but will not allow the District to make updates to club data that will be transferred to the RI database. 4. On the page titled Identify and authorize a Club Management Vendor, under the heading Club Management vendor, select the appropriate vendor from the drop down menu that will allow the District or Zone to view club data. 5. Under the heading Access granted to, select who the club will be allowing to view their data: District to view, Zone to view, or Rotary Club to view-only. *Do not select Rotary Club if the club will be making updates using the vendor application. 6. Review the terms and conditions and click the box I Agree if you wish to complete the data integration set-up process allowing your District or Zone to view club data. *The District or Zone will then be set-up on the RI database side to view-only club data.
