1 Digital Collaboration Specialist POSITION DESCRIPTION Unit/Branch, Directorate: Location: Information & Data Management, Technology Directorate Wellington Salary range: G $68,316 - $102,474 Purpose of position: The Digital Collaboration Specialist supports the adoption and strategic use of the intranet and collaboration tools across GCSB, NZSIS and partner agencies. This position provides front-end development, design, platform administration, testing and training services for a range of content management and collaboration tools including WordPress, Confluence and Jira. The position works with customers to analyse, design and configure new collaboration solutions. This may involve building workflows and integrations between systems, creating bespoke macros, templates and plugins; migrating data and creating an interface design or brand for the site. The position also provides technical advice and support for GCSB and NZSIS website owners, ad hoc graphic design services, and brand management advice to the organisation. The Directorate s purpose is to ensure that mission requirements are met today and in the future, targeting relevant strategic objectives. The Directorate s work encompasses engineering, data/information management, end-user support, software development, service delivery management, project management, provision of cryptographic infrastructure, and more. The Directorate operates in service and capability terms e.g. attending to policy, process and implementation pre-requisites as much as pure technology or particular systems. The Directorate leads information management for GCSB, including in compliance terms. Key accountabilities Support adoption and strategic use of collaboration tools Deliverables/Outcomes

2 Build and maintain the intranet for GCSB and the wider sector Install, develop and administer web-based applications and tools for team collaboration, task management and code sharing Provide 2 nd line technical support for externally hosted websites Install new software and updates Evaluate and provide recommendations on new plugins and modules Ensure system documentation is prepared and maintained for certification and accreditation Monitor content to ensure best practices are adhered to The GCSB intranet is the principal source of corporate knowledge and news for staff, and the central point for initiating processes and requests Staff have access to best of breed tools for sharing information, collaborating on work, and compiling knowledge Sector reliance on distribution is reduced Collaboration tools are complaint with all security requirements Systems are patched and up to date Analyse, design and configure new solutions for teams and individuals Gather customer requirements and design content management, collaboration, task management and/or workflow solutions that meet their needs Facilitate migration of content to new collaborative platforms Configure and deploy solutions for customers Write and test custom plugins, macros and workflows Provide user support and training Provide assistance and constructive advice on how to maximise the use of the tools and their content Maintain online help and guidelines to ensure they are up to date and relevant Assist content owners to load and publish content Provide technical advice, guidance and support for external website owners, including WC3 web accessibility auditing and reporting, coordinating penetration testing, publisher training Provide graphic design services and publishing support Provide UX design and brand development assistance to the organisation Provide guidance on corporate brand and style guidelines Design web-forms, templates and Teams and individuals can perform their work more effectively because solutions are tailored to their needs The organisation can take better advantage of its information and optimise the creation of new knowledge Users have the right levels of training and support to use the tools to full effect Support is provided within agreed timeframes Customers rate the service highly Sector websites comply with NZ Government guidelines and standards Published documents, presentations, corporate websites, graphics and other artefacts look professional and convey their meaning effectively Publications, websites etc., are consistent

3 blueprints for web platforms Provide advice on writing for the web and comply with corporate style and brand guidelines Information capture is increasingly standardised and automated Build interfaces to support seamless integration Build interfaces between platforms and applications through APIs Embed web forms and workflows in sites Health and safety (for self) Work safely and take responsibility for keeping self and colleagues free from harm Report all incidents and hazards promptly Know what to do in the event of an emergency Cooperate in implementing return to work plans Be a visible role model at all times Follow GCSB s safety rules and procedures Information assets are centrally managed and secured, but applications work seamlessly together to deliver information where and how the user needs it A safe and healthy workplace for all people using our sites as a place of work All requirements in the NZIC Health and Safety policy and procedures are met Information and Data Management Understand and comply with requirements to keep full and accurate records Understand and comply with requirements to appropriately access and handle intelligence reporting and data Follow GCSB s and NZSIS rules and procedures for information management and handling Other duties The Agencies requirements for evidence of their activities and decisions are met Access to, use of and sharing of information and data is managed appropriately in line with legal and business requirements Any other duties that fall within the scope of the position Position delegation Financial delegation: None Key stakeholders Internal: Internal customers Information and Data Management Specialists Communications Manager and staff Service Centre staff Engineering and software development teams

4 External: Counterparts in the New Zealand Intelligence Community and partner agencies Counterparts in other government agencies Web hosting support staff Software and design companies Product vendors Person Specification Experience: Solid experience at an intermediate or higher level with at least one of the following: o Front end web development (UI) o CMS administration o Graphic design o UX design o Information architecture o Programming in one or more of the following: o PHP o Python o Java o JavaScript/jQuery o HTML, CSS and publishing applications o Web-related services and technologies including web hosting, proxies, databases, dns and firewalls Customer support and training (desirable) Business or process analysis (desirable) Knowledge and Skills: Be self-motivated, results focussed, innovative and able to work with minimal supervision Be able to accurately identify, analyse and resolve difficult problems Be an effective written and oral communicator and committed to documentation standards Proactively research and learn new knowledge and skills Be committed to the adoption, implementation and evolution of business and technical processes to maintain effective capabilities Ability to understand and translate complex
