Job Summary To provide personnel administrative service to Hospice and including the maintenance of employee records for all staff and volunteers and responding to personnel procedure issues (20%) Working with the other HR and Volunteer Administrator to provide administrative support and day-to-day guidance to managers, staff and volunteers, to enable the effective recruitment, training and on-going support for volunteers across the Hospice (20%) To establish and manage systems to facilitate the recruitment of staff for the Hospice. (50%) To promote the philosophy of the PHC and the role and value of volunteers across the Hospice (10%) KY TASKS: - Some tasks may be shared but the post holder remains responsible for ensuring that they are carried out satisfactorily. 1. Manage recruitment administration for PH and Volunteers including posting advertisements on websites (NHS Jobs, Peace, Guardian-online etc.), preparing

2 paperwork for application packs for candidates, shortlisting and interviews to support recruiting managers. Conducting telephone screening interviews with volunteers, prior to interviews with department managers. 2. nsuring all pre-employment due diligence checks are carried out e.g. right to work, previous employer references, professional registration and DBS checks. 3. Where appropriate, be part of an interview panel. nsure all human resources procedures are adhered to within the Hospice and provide advice and assistance on straight forward HR procedures to managers/staff. 4. Provide payroll changes information (salaries/hours/change of employment status etc.) to payroll on a monthly basis, update database with changes and produce contractual change/salary change letters for employees for signing. Able to record changes electronically including on HR Database, Pyramid. 5. Liaise with external suppliers for supply of goods and services e.g. staff badges, recruitment agencies for staff vacancies for variety of roles. 6. nsure that: HR and Volunteer records (manual and electronic) are filed safely and securely and kept up to date All employees have a personal file to hold documentation pertaining to their employment with the Hospice. All relevant documentation is checked and authenticated for all staff, including confirmation of professional status (PIN number) and right to work (passport, driving license). 7. Collection and monitoring of departmental sickness absence and provision of sickness reports to payroll using the HR Database system, Pyramid. 8. Liaise with all members of staff and volunteers in the Hospice as required. 9. To adhere to Hospice policy on confidentiality relating to staff and volunteers. 10. To be the lead contact for the HR database, ensuring data is kept up to date and producing reports and providing support for HR team as required. 11. Monitor the timely return of appraisal documentation from managers and send reminders at strategic points to ensure prompt returns. 12. Liaising with Starlight Services, administer Volunteer Drivers annual inspection scheme, including checking driver s licence, MOT, Insurance. 13. Carry out HR induction for new starters with Line Managers. 14. To assist the ducation Coordinator and the HR Business Manager with setting up and running the Volunteers Induction sessions, The Getting To Know The Hospice Day and with other relevant training, delivering sessions as appropriate. 15. Manage the annual holiday entitlement calculation process, updating systems (e.g. HR Database, spreadsheets) as required. 16. Issue smart cards for new Clinical Staff and professional volunteers.

Be aware of the procedure to follow in the event of fire and other emergencies. 4. To report to your line manager any hazards or accidents that may occur in your working environment and ensure compliance with the terms of the Health and Safety at Work Act. 5. nsure that all equipment used by you in the course of your duties is used appropriately, and any faults or breakages are reported immediately. 6.
