1 JOB DESCRIPTION POSITION: REPORTS TO: WORKS CLOSELY WITH: LINE REPORTS: London Palladium Operations Director, RUTG Programming team, Ticketing team, Marketing team, Property team, Commercial Partnerships team and Finance team Technical Manager Front of House Commercial Manager Event Operations Manager Facilities Manager SUMMARY Really Useful Theatres Group Really Useful Theatres Group owns and operates seven commercial theatres, six of which are in London s West End as well as the recently reopened The Other Palace based in London s Victoria. Our theatres are some of the most prestigious and desirable in the world, including the iconic London Palladium and the stately Theatre Royal Drury Lane. Our theatres vary in size and seating capacity, ranging from 2,300 seats at the London Palladium, to the intimate Studio at The Other Palace for 120. The Really Useful Theatres Group plays host to some of the world s best musicals, as well concerts, comedy and events. Musical theatre is the largest market segment in UK theatre entertainment and the Really Useful Theatres Group is the largest operator of musical theatres in London. Approximately 1 in 3 of all visits to a London musical is to a Really Useful Theatres Group theatre. Current shows in our theatres include Matilda, Kinky Boots, School of Rock and the world famous The Phantom of the Opera, which has been running for over 30 years. The Group is wholly owned by Andrew Lloyd Webber; one of the greatest composers of our time. The London Palladium hosts a variety of concerts, events, venue hires, filming and short run productions. In recent months we have hosted Bob Dylan, Kaiser Chiefs, ColdPlay and Whoopi Goldberg amongst many others as well as a Pantomime staring Paul O Grady, Julian Clary and Amanda Holden. Filmed events in 2017 have included Britain s Got Talent and Tonight at the 1

2 London Palladium for ITV. Other recent events include The Princes Trust Celebrating Success awards and Dame Vera Lynn s 100 th birthday celebrations. PURPOSE OF POSITION The will provide clear and consistent leadership for the venue, act as its brand champion and deliver an operation which meets the expectations of the Company and its customers. The will promote and maintain an organisational culture which delivers the highest standards in executing the artistic programme, financial management, customer service, maximising the venue s commercial potential, and effective operation of the venue. The will project manage the efficient running of all large scale and high profile productions and events at the London Palladium, and will maintain an oversight of all other productions and events to ensure effective delivery. RESPONSIBILITIES Event Management Effective delivery of all productions, concerts, events and venue hires at the London Palladium. This will involve: - Personally project and event managing all aspects of large and high profile incoming events. This will cover scheduling, staffing, technical requirements, health and safety, hospitality and catering, security, box office arrangements and onsite advertising. - Delegating the project management of small and medium scale events to the Event Operations Manager but retaining an oversight to ensure effective delivery. - Together with the Event Operations Manager establish a visible and accessible management profile on the day of each event overseeing all activity and fostering good relations with our clients. Remain in close contact with the Company s bookings department, have an overview on future and potential bookings. Input into the preparation of contracts and ensure the event contractual and financial terms are fully understood and adhered to. Arrange and attend event site visits as required. Keep the Local Authority, Police and Fire Brigade informed of any special events and work in close conjunction with these authorities to safely deliver events. Liaising with the finance team and programming teams to budget for all event activity and ensure settlements are completed accurately particularly in respect of any recharges. Ensure that events are delivered in an operational and cost effective manner in line budgetary expectations. Through effective line management of the Event Operations Manager, Front of House Commercial Manager and Technical Manager ensure correct levels of staffing for events 2

3 (technical, front of house, bar, retail, hospitality, fireman and security) and ensure those staff have been fully briefed on matters pertaining to the event and the event schedule. Chair regular event update and debrief meetings with key operational members of the Company s staff. Produce event paperwork and distribute to staff and relevant contractors. Commercial In conjunction with the Company s Commercial Partnerships Director optimise the theatre s commercial potential. In conjunction with the Company s Head of Retail Operations and through line management of the Front of House Commercial Manager oversee the delivery of a first class retail and hospitality operation which maximises income and ultimately profit; ensuring this is underpinned by a real understanding of our customers. Maximise commercial and promotional use of the digital signage. Delivering all KPIs and ensuring the financial success of the venue. Ensure marketing communication and partnership initiatives are used proactively. Initiating marketing and communications strategies and overseeing their implementation. Identifying and delivering new revenue streams. Understanding and delivering partner expectations. The venue Maintain an oversight of the day-to-day effective and efficient running of the venue, and through effective line management of the London Palladium management team ensure: 1. The highest possible standards of customer service are in evidence throughout the venue. 2. The London Palladium management team works closely and effectively with the Company s Commercial Partnerships Director and Head of Retail Operations to maximise commercial opportunities. 3. A visible and accessible management profile throughout the theatre is established which fosters good relations and provides support, advice and assistance to producers, artists, visitors and staff 4. The practical application of the Company s HR policies and the creation of an environment in which people are encouraged to thrive. As the Company s senior manager based at the London Palladium ensure (largely through line management of the Facilities Manager, Technical Manager and Event Operations Manager) effective arrangements are in place which deliver: 1. The practical application of the Company s Health and Safety Policy. 2. A positive and embedded health and safety culture. 3. The Company s security strategy, policies and framework. 4. A security conscious culture. 5. Compliance with the conditions of the Local Authority Premises Licence. 6. Constructive relationships with local residents and businesses. 7. The safeguarding of documentation that may be required such as licences. 8. Productive partnerships with the Police, Fire Brigade and Local Authority departments. 9. Adherence to Employment law, Union Agreements and any local agreements. 10. Cost effective and efficient delivery of all soft facilities management services. 3

4 11. Fire Risk Assessment and Emergency Plans are being regularly reviewed and effectively implemented. Be and perform the duties required of the Designated Premises Supervisor for the venue as defined in the 2003 Licensing Act. Property/ Technical Maintain an oversight of the day-to-day effective and efficient running of the property, and through effective line management of the Facilities Manager and Technical Manager ensure appropriate management arrangements are in place for: 1. A positive and effective relationship with the Company s property team. 2. The maintenance and upkeep of the venue. 3. Fire safety and suppression equipment. 4. Building services and the electrical installation, lighting and emergency lighting. 5. Technical production equipment including any mechanical installations, stage engineering, lighting and sound equipment, special effects and any other theatrical scenery and properties. 6. Access and welfare facilities. 7. Technical facilities such as digital screens, door access systems, tills and CCTV (liaising with the Head of Retail Operations and marketing departments as appropriate). 8. The continuous supply of metered utilities. 9. Delivery of a cost effective and efficient telephony and IT solution (liaising with RUTG s IT Service Delivery Manager as appropriate). 10. The venues facilities, services and fixtures and fittings. 11. The practical application of the CDM Regulations (2015). Financial and Procedural Report on management finances, preparing financial statements as required. Ensure appropriate cash handling procedures are in place and observed at the venue. Make arrangements for accurate payroll information to be submitted to the Finance team. Together with the Finance Director maintain adequate insurance policies and ensure all schedules and policy wording is embedded into operating practice. In conjunction with the Finance Director oversee the venue s financial operations contributing to the financial strategy and developing and monitoring annual budgets. Essential Knowledge, Skills & Abilities: Substantial experience of leading a high profile venue and a proven track record of delivering large scale events such as productions, concerts, events and venue hires. Solid working knowledge of the SOLT/BECTU agreement. Excellent understanding and application of the Health & Safety requirements associated with venue and events management. Demonstrable experience of managing and motivating large teams in order to achieve the highest level of customer service and maximise commercial opportunities. Demonstrable experience of leading change within organisations. An established credible profile with tour promoters, colleagues, staff and the public. Highly effective communicator and strong negotiator Sound financial knowledge and ability to manage large budgets. 4
