1 POSITION DESCRIPTION OF THE POSITION Community Fundraising Campaign Coordinator Agency Caritas Australia Position Type Team Engagement & Sustainability Position Status Full-time, 37.5 hrs/week Permanent Group Fundraising Date of Approval June 2018 Location Alexandria NSW Authorised by Salary Scale ACBC Grade 4 Position No. TBA Senior Manager, People and Culture PURPOSE OF THE POSITION The Community Fundraising Campaign Coordinator delivers operational and promotional activities with particular focus on Project Compassion and other community fundraising campaigns. ORGANISATIONAL ENVIRONMENT Caritas Australia is the Catholic agency for international humanitarian relief and development in Australia. Through effective relationships with the Church, partners and communities in Africa, Asia, the Pacific and Australia, Caritas Australia helps to end poverty, promote justice and uphold dignity. Our programs promote the good of every person and of the whole person, regardless of peoples, religious, political or cultural beliefs. Caritas Australia is an agency established under the Australian Catholic Bishops Conference. Our National Office is based in Sydney and we have offices in several capital cities throughout Australia. Almost half of our staff are based overseas. We are an active member of the Caritas Internationalis confederation which has over 160 members throughout the world. The position reports to Community Fundraising Lead. In terms of impact, the position contributes to the success of Project Compassion and community fundraising events and campaigns by delivering consistently high quality and timely support services in a positive donor and supporter-focused manner. For more information about Caritas Australia go to KEY ACCOUNTABILITIES Coordinate the delivery of CA s Community Fundraising presence with a focus on the annual fundraising campaign, Project Compassion. Support the Community Fundraising Lead in the delivery of Project Compassion concept development, design and implementation.
2 Liaise with internal stakeholders such as the Digital Team, Supporter Services and other Engagement and Sustainability teams and external suppliers to deliver Project Compassion materials. Engage with the Digital group and the Communications team generally, agencies, publishers and designers to support delivery of traditional and online advertising for Project Compassion campaigns. Prepare reports with recommendations to the Community Fundraising Lead regarding Project Compassion deliverables to ensure effective coordination of activities across the agency. Liaise with the International Programs Team to support the development of appropriate stories and case studies and other program materials for Project Compassion stories and films, and participate in the annual selection process of Project Compassion Stories. Manage office-based volunteers, which are required regularly, to deliver Project Compassion elements and processes. Coordinate, source, manage and review the performance of contractors and external suppliers to ensure the highest level of quality services and cost effectiveness for the Agency. Prepare Supporter Services to be the point of contact for Project Compassion for questions from supporters and external stakeholders. Act as the point of contact for the Caritas Australia s Customer Relationship Management (CRM) system, in relation to Project Compassion. Contribute to the development of Community Fundraising s Supporters journeys, programs and events. Maintain diligence in sustaining CA s public profile and reputation by adhering to CA s branding and communications policies and processes in the development of Supporter/Donor relationships, Fundraising products and other external communications. KEY CHALLENGES 1. Meeting the logistical needs of a large number of geographically dispersed internal and external stakeholders 2. Maintaining a high degree of accuracy and high quality service within a fast paced, high volume work environment whilst also respecting confidentiality and privacy considerations Decision Making Decisions which are made by the Position Holder include: Determining day to day work priorities. Deciding the content of reports, submissions, policies, correspondence and briefs with limited direction from the supervisor. Deciding the content of advice and information provided to internal and external stakeholders. Taking ownership for work, being flexible and adaptable, and making suggestions for new policies or processes to improve business performance or address advertising issues. Decisions referred to, or made in collaboration with, a supervisor may include: Any decision that will substantially alter the outcomes or timeframe of a project.
3 Major policy issues or conflicts arising in the course of project and other duties. Matters requiring a higher delegated authority such as approval for expenditure. Risk and Work Health and Safety The Position Holder must: Observe safe work practices in accordance with training and instruction provided and report any risk to her/his immediate supervisor. Risks arising in the workplace may relate to financial, site, task or safety issues and practices. Promote and implement work health and safety and risk mitigation processes in conjunction with her/his supervisor including identifying and reporting any hazards or safety issues within the workplace Comply with ACBC and Caritas Australia work health and safety practices and procedures KEY RELATIONSHIPS Internal Relationships WHO Community Fundraising lead Fundraising Group Digital, Content and Advocacy team Supporter Services team Community Engagement Group International Program team WHY To escalate issues as required, keep informed on work in progress, receive advice, direction and feedback To collaborate on projects, share information, allow interchange of ideas and opportunities for Fundraising Collaborate on Community Fundraising programs, events and supporter journeys To be the point of contact for Project Compassion; use the Customer Relationship Management (CRM) System; train and provide Frequently Asked Questions (FAQs) in relation to Project Compassion for Supporter Services Provide support before, during and after Project Compassion Develop case studies for Project Compassion stories and films; participate in the annual selection process of Project Compassion stories External Relationships WHO Vendors and suppliers Interns and volunteers Diocesan Directors, Bishops and Church personnel International Program Partners Schools and other organisations WHY Order stock, provide quality checks and overcome logistical challenges Coordinate to deliver Project Compassion elements and processes Provide support before, during and after Project Compassion at a parish and diocesan level Work in collaboration with International Programs team to develop case studies for Project Compassion stories and films; participate in the annual selection process of Project Compassion stories Be the point of contact for Project Compassion for Catholic Schools and other organisations
4 POSITION DIMENSIONS Reporting arrangements Reports to Community Fundraising Lead Levels to Chief Executive officer 4 Position Dimensions Staffing: 0 direct reports (excl. interns/volunteers) 0 indirect reports SELECTION CRITERIA Demonstrated experience in a project management role preferably in the Not for Profit sector, or equivalent experience. Demonstrated ability to plan, prioritise, make decisions, meet deadlines and manage resources in a complex environment. Demonstrated ability to manage a variety of tasks in a geographically dispersed environments and stakeholders. Proven experience in the coordination and management of external suppliers, including ordering and delivery processes. Polished oral, written and presentation skills with the ability to train others. Excellent working knowledge of Microsoft Office suite of programs. An understanding of and willingness to work within the Catholic ethos Additional Information The successful candidate must have and maintain the right to work in Australia. Ongoing appointment to this position is dependent on successful completion of a relevant criminal history record check and a Working with Children Check if the role is designated as working with children.
