2 General Information Exhibit Hall Setup Options: Exhibitors may set up either Monday, July 17 from 1:30 PM CT to 6:00 PM CT or Tuesday, July 18 from 9:00 AM to 1:00 PM. The Exhibit Hall opens at 5:00 PM CT on Tuesday. NOTE: Packages are permitted to arrive July 14. Electricity is provided. Any telephone, wired IP connections or special AV must be ordered in advance. Please contact for specifics. These services incur additional charges. WiFi will be available, courtesy of a Sponsor. Exhibitor teardown will be Wednesday, July 19 at 7:00 PM CT. All shipping labels should be filled out and placed on any item that you want the hotel to ship back for you. Forms will be given prior to the end of the show to arrange for pick-up of your booth and/or boxes. Q. Who gets the attendee list and when? A. MWAA Sponsors will receive a registration list prior to the conference as a part of their benefits package. This attendee registration list is scheduled to be sent to Sponsors by two weeks before the conference. All exhibitors will receive an attendee list no later than two weeks after the conference. As an additional service this year to our Sponsors you will also receive an electronic list of the attendees who checked in with you on our new mobile Passport Giveaway. Q. How to make changes to the Sponsor or Exhibitor attendees on the Registration page? A. When you registered, you received a system-generated with your login name and password. Login at the top, underneath already registered. Please insert the login name and password you received in that system-generated . You will then be taken to your record. As you scroll down the page, you will see the section entitled Attendees and under that you will see a box Add Registrant(s). Click Add Registrant(s), you will be able to add another attendee. Or, if you are changing the attendee already in the system, then click the Edit box next to their address and to make the change in that record. Additional FAQ's located at

WiFi will be available, courtesy of a Sponsor. General Rules for General Sponsors and Exhibitors and Their Displays Exhibitor s displays must be in good taste and must be safe. Exhibitors and their displays may not create either audio or noise that is excessively loud nor have lights, pictures or video that are objectionable. The MWAA officers will be final arbiters of whether a display violates the MWAA Exhibitor Display Rules. If an exhibitor or exhibitor display is found to be in violation of the rules, the exhibitor will be notified and must immediately correct the violation. Failure to do so will result in the exhibitor being banned from further participation in the MWAA Conference. Registration as an exhibitor for the MWAA Conference be understood to be the exhibitor s acceptance of these rules.

5 MWAA Premium Sponsor Display Rules and Requirements All vendors wishing to exhibit as a Premium Sponsor must apply and be approved by the MWAA. Specific Rules for Exhibitor Displays as a Premium Sponsor Only Premium Sponsors - Golden Wheat - may exhibit as a free-standing booth Maximum Overall Height of Display above floor 12 feet Maximum Overall Depth Golden Wheat = 10 feet Maximum Overall Width Golden Wheat = 10 feet General Rules for Exhibitors and Their Displays All exhibitor spaces for Premium Sponsors depend on the level of sponsorship. They may extend only to a height of 12 feet. The Width and Depth depend on the sponsorship level. See the charts at left. All exhibitor displays must safely and entirely fit within this space. Exhibitors may use a booth display or a table top display. The MWAA will provide up to three skirted 8 long by 30 wide tables for each Premium Sponsor exhibitor, if needed. A draped curtain or separation will be behind each display. Golden Wheat displays must be open on 3 sides. Electricity is provided. All exhibitor electrical connections and wiring must conform to the hotel s local fire code. Exhibitors may place materials under tables as long as the table skirt fully covers them draping normally. Exhibitors may use a custom table skirt as long as it is in good con-dition and entirely covers the table top and drapes to the floor in front and on the sides. Customer understands that the rental and use of Cvent LeadCapture Device and Application grants only a license to use it for the duration of this event, and that no equity or ownership is imparted by this rental lease. It is understood that each Cvent LeadCapture Device will need to be charged prior to use, Electrical Service in the exhibiting space may be required. Customer further is acknowledging and accepting full liability as a representative of your organization and understands fully that he/she is responsible for the proper use and security of any Cvent LeadCapture Device while it is in customer's possession and will be liable for any loss or damage to the rental equipment and that damaged Cvent LeadCapture Devices or Cvent LeadCapture Devices not returned to the Cvent LeadCapture Service Desk at the close of event will be billed for full replacement cost of the device. 7 Scanning LeadCapture Leads 1. Get the App If you'll be using your phone or tablet to scan leads, download Cvent LeadCapture from the App Store or Google Play. Renting the scanner? The app is already installed. 2. Enter Your Access Code Enter the access code from your . If you never received one, tap Re-Send Access Code or ask your exhibitor admin to look it up. Tap Next. If your admin hasn't assigned you a license yet, you'll need to scan your badge (tap OK to allow the app to access your camera) or enter your confirmation number by tapping Manually Enter. Tap Yes, Activate Device to confirm. 3. Start Scanning Tap Add Lead in the lower right. If prompted, tap OK to allow the app to access your camera or the attached scanner. To scan a lead with: Your own device, center the code on the screen. A rental scanner, aim it at the QR code and press the button on the side. If the lead isn't wearing a badge, add their information by tapping Manually Enter. Tap Qualify Lead to answer additional questions or add notes. When finished, tap Done. To view or edit a lead's info, tap My Collected Leads on the app's home screen. You won't be able to see leads your coworkers have collected. 4. Sync Your Leads After the event, ensure you connect the device to Wi-Fi to sync all of the leads to the server. If leads are not synced, your exhibitor admin will not be able to export the leads you collected. Verify that the leads have synced by checking the home screen.

8 Using the Exhibitor Portal As an hibitor Admin, you ll play an integral part in your organi ation s lead gathering. The first thing you ll need to do is register your booth sta. These are the members of your team that will be on the front lines, representing your organi ation at the event and scanning potential leads. The instructions below will show you how to access the hibitor ortal, add your dream team, and export the leads they collect. 1. Access the Exhibitor Portal Locate the LeadCapture invitation in your inbox, and click Get Started. reate a password and clic Log In. 2. Add Your Staff Click Find Booth Staff. In order to add someone as Booth ta, they need to be registered for your event as an attendee. earch for your team, chec the bo ne t to their names, and click Import Selected. 3. Assign Licenses our sta won t have access to the ead apture app until you assign them a license. To do so, clic Assign Licenses from the home page or Licenses from the side nav. All your license codes will be listed. one available lic the Purchase tab to buy more. Bring Your Own Device Licenses require your booth staff to download the LeadCapture app on their own device in order to scan leads. Device Rental and Licenses include the scanning devices, which we ship to the site, ready to go. Click Options beside one of your unassigned license codes, then Assign License. lic the name of the person you want to assign the license to, and clic Assign. nce you ve finished, that sta er will get an invitation ed to them with instructions to download the app and start scanning leads.

9 4. Create Questions Want additional info about each lead ou can create questions you want your sta to answer. Click Lead Collection from the side nav. The Leads Collected tab opens by default. lic the neighboring tab, Custom Questions, then Customize Questions. isting questions are listed on the left. elect a question type icon to add more. 5. Capture Leads To scan leads, instruct your booth sta to download vent ead apture from the App Store or oogle lay and enter the license code from their s. enting the scanners imply find your nsite olutions rep and they ll get you set up and scanning. 6. Export the Leads After the event, you can e port and save your scanned leads as an e cel file from the hibitor ortal by clic ing Export Leads at the bottom of the home page.

10 MWAA Policies and Rules Registration Those who wish to participate in the MWAA 2017 Conference will register in one of four categories: 1. Attendee 2. Exhibitor/Sponsor 3. Roaming Exhibitor 4. Speaker/Staff Attendee Registration Attendees are individuals who register to attend the MWAA conference to learn more about the industry, discussing industry developments with colleagues and make contacts with other members of the industry. Attendees may not solicit business, sell products or services or recruit agents or resellers. ISO owners or employees may be either attendees or vendors/exhibitors, based on: 1. Whether the ISO has previously been a vendor/exhibitor at MWAA or any sister regional acquirers conference: If an ISO has ever been a vendor/exhibitor at an MWAA conference or any of our sister conferences, the ISO is always a vendor/exhibitor. 2. The ISOs at the MWAA conference: If the ISO solicits business, sells products or services or recruits agents or resellers at the MWAA conference, the ISO is a vendor/exhibitor. Attendees are required to provide certain registration information. By registering for the MWAA Conference and paying the registration fee, the attendee agrees to the policies and rules of the MWAA Conference. The MWAA provides select registration information to all sponsors before and after the MWAA conference. Vendor/Exhibitor Registration It is MWAA policy that every person or company that solicits business, sells products or services or recruits agents or resellers is considered an exhibitor and must pay a vendor/exhibitor fee. Once a company has exhibited at the MWAA, that company is considered a vendor/exhibitor and must pay a vendor/exhibitor fee at all MWAA events. Soliciting is defined as conducting any of the following activities anywhere on the conference hotel property or anywhere in the conference hotel lobby, hallways, meeting rooms or exhibit hall:

11 1. Distributing literature, brochures, corporate name/logo items, merchandise or electronic media that promote a company, an association, a group or its products or services. 2. Wearing or carrying a button, badge or sign that promotes a company, an association or group or its products or services (logo apparel is normally permitted but the MWAA reserves the right to determine acceptability). 3. Verbally prospecting for buyers of a company's products or services; making a sales pitch, presentation or proposal that promotes a company, its products or services, whether verbally or through images. Recruiting is defined as conducting any of the following activities anywhere on the conference hotel property or anywhere in the conference hotel lobby, hallways, meeting rooms or exhibit hall: 1. Distributing literature, brochures, corporate name/logo items, merchandise or electronic media that promote becoming an agent of or seeking employment with a company or membership in any group. 2. Wearing or carrying any button, badge or sign that promotes a company, an association or group or its products or services (logo apparel is normally permitted but the MWAA reserves the right to determine acceptability). 3. Verbally prospecting for agents, sales persons, sales managers or any employees; making a sales pitch, presentation or proposal that promotes seeking an agent or reseller relationship or employment relationship with a company, an association or a group. The act of exchanging business cards with another individual at the MWAA conference is not by itself considered soliciting or recruiting. Exhibit Hall Exhibitors may select their exhibit space or table online. Exhibitor registration is first come, first served. Exhibitors must pay the MWAA fees via credit or debit card online during the registration process. The MWAA will not invoice exhibitors for payment by check. Through its online registration process the MWAA allows vendors to see where other companies have registered their exhibits in the Exhibit Hall. The MWAA does not prohibit exhibitors from locating their exhibit next to a competitor nor does the MWAA prevent competitors from locating their exhibit next to an exhibitor. 12 General Sponsors in Exhibit Hall The MWAA encourages vendors to consider becoming a General Sponsor. General Sponsors receive their choice of 8 foot table exhibit space in choice exhibit hall locations. General Sponsor registration is first come, first served. General Sponsors must pay the MWAA fees via credit or debit card online during the registration process. Premium Sponsors in Exhibit Hall (Harvest Moon and Golden Wheat Sponsor) The MWAA encourages exhibitors to consider becoming a Premium Sponsor. Premium Sponsors receive their choice of 12 x12 exhibit space or 8 table exhibit space; a Golden Wheat Sponsor 12 x12 exhibit space; a Harvest Moon Sponsor 8 Lx30 H table; in choice exhibit hall locations. Premium Sponsor registration is first come, first served. The MWAA encourages Premium Sponsors to pay the MWAA fees via credit or debit card online during the registration process. Registration is not complete until payment has been received. First preference is given to Premium Sponsors who pay online. However, the MWAA will invoice Premium Sponsors for payment by check by special request to the MWAA. Please send invoice requests to the MWAA Treasurer Mark Dunn at mark@midwestacquirers.com All payments by check must be received within ten days after the invoice is sent. Please note that the MWAA does not refund Premium Sponsorship payments. Please note: Because the MWAA has only a few Premium Sponsor spaces available and the Premium Sponsorships require a long time to secure, the MWAA does not refund any sponsorship payments to Premium Sponsors.

13 Roaming Exhibitors Some vendors prefer not to have a display in the exhibit hall. Other vendors want to attend the show but there may be no more exhibit spaces or tables available. These vendors may attend the conference by registering as Roaming Exhibitors. Roaming Exhibitors may solicit business, sell products or services or recruit agents or resellers in the conference hotel during the hours of the conference. Roaming Exhibitors may hand out sales literature, company brochures or presentations in the conference hotel during the hours of the conference. Roaming Exhibitors may hand out sales literature, company brochures or presentations in the aisles of the exhibit hall when the exhibit hall is open, provided they are not interfering with the activities of exhibitors in front of their exhibit tables or in front of a Premium Sponsor s booth space. Speaker/Staff Only pre-approved speakers or MWAA staff may register in this category. Refunds The MWAA Board will provide refunds to any individual or company (not Premium Sponsors) that has registered for the MWAA 2017 Conference, paid and submitted a request for refund, provided the payment and the request for refund were both received prior to close of business at 5pm Central, Tuesday, May 31, The MWAA does not refund sponsorship payments to Premium Sponsors, that is, Golden Wheat and Harvest Moon Sponsors. Requests for refunds must be sent via to Mark Dunn, MWAA Treasurer at mark@midwestacquirers.com MWAA Review of Registration MWAA staff reviews all registrations. The MWAA Board and Officers reserve the right to change or cancel the registration of any individual or company at its sole discretion to enforce the rules and policies of the MWAA. Registration Information Policy All data collected in the registration process becomes the property of the MWAA. The MWAA shares select advance registration information with all sponsors two weeks prior to the MWAA conference. The MWAA shares select registration information with all sponsors two weeks after the MWAA Conference. By completing the MWAA registration, the exhibitor, sponsor, attendee, speaker or staff agrees 1. to allow MWAA to use the registration data to promote the MWAA and its services,

14 2. and to allow MWAA to provide the registration data to paid sponsors of MWAA, 3. and to allow paid sponsors to use the registration data to contact any individual or company that is registered. Minors and Children The MWAA conference does not allow admittance of any persons under the age of 18, including children of attendees, exhibitors, sponsors, speakers and staff. Acceptance of the MWAA policies and rules By completing the registration and making payment of the registration fee, the individual or company shows its acceptance of these MWAA policies and rules for the current year. Violations of MWAA policies and rules The MWAA Officers and Board do not wish to impose penalties on any individual or company. However, anyone violating, circumventing or attempting to violate or circumvent the policies and rules of the MWAA Conference may be banned by the MWAA Officers and Board, at their sole discretion, from the conference. Banned companies or persons will not receive refunds for fees paid.
