2 A B O U T Welcome Week Welcome week is a week packed full of fun and exciting events aimed mainly at our new students (freshers) but also at our returning students. It gives students an opportunity to meet new people and get involved in the various activities that the Students Union has to offer. The Freebie Fair kicks off the start of the week s events on Monday 21 September. This is the most popular event of the week in which businesses bring along freebies to giveaway to students in a bid to raise brand awareness and create a loyal student following. Stall bookings sell out fast so you need to book early in order to avoid disappointment. Wednesday 23 September - Sports Fair where students have the opportunity to sign up to the various sports clubs on offer. Friday 25 September Mini Freshers Fair (Collegiate) An opportunity for Collegiate based students to get in on all the fun. Tuesday 22 and Thursday 24 September are dedicated to the Societies and Volunteering Fairs respectively, where students can get a taste of the different societies and volunteering opportunities that they can get involved in through the Students Union. 3 Reasons to be involved: There are currently 2.5 million students in the UK with an estimated spending power of billion (BAM Freshers Report, 2014) CAN YOU AFFORD NOT TO ENGAGE WITH THEM? 64% of students ranked the Freebie Fair as the number one reason for attending Welcome Week events (BAM Freshers Report, 2014) Last year the Welcome Week footfall was 16,500 students During the month of September alone, our website received over 44,600 visits Around 11,000 new students (freshers) are heading to Sheffield Hallam University this September 29,000 returning students. During Welcome Week, students are on The Sheffield Hallam Students Union Website for an average of 3minutes 50 seconds 20,000 Welcome Packs produced 10,000 are sent out as mailouts to both freshers and returning students home addresses. 3,000 distributed to student halls of residence. 2,000 sent to international students. 5,000 handed out during Welcome Week. 100 Fresher Reps scattered around campus all week engaging students and directing them to the fairs.

At the Freebie Fair there is an expectation from students for there to be plenty of freebies (this does not include leaflets). We will therefore ask you to give us an idea of the freebies that you will be bringing before we can accept the booking. Early booking is advised due to high demand for this event. Stall options include: Gold: 1,000 A stall in the main entrance of the HUBS Silver: 600 A stall upstairs in the central atrium Societies, Sports and Volunteering Fairs 22, 23, 24 September, 1-5pm The Students Union is going to be at its busiest throughout Welcome Week so why not take advantage and have your posters displayed around the building? 100 per 10 A3 posters - for the duration of Welcome Week Take advantage of the high footfall of the Sports, Societies & Volunteering Fairs and provide us with your A5 flyers which our Freshers Reps can distribute to students throughout Welcome Week helping you gain exposure for your brand. 250 per 1,000 flyers You will be provided with a table (60cm x 120cm) and Wi-Fi access. 5 PRINT Welcome Pack Mailout Every year we post out 10,000 welcome packs directly to new students home addresses. The pack will include the welcome booklet, Students Union A to Z, lanyard, wall planner and room decorating kit. The Welcome pack is a great opportunity to engage with students just before they arrive at Sheffield Hallam. Inserts: 10,000 Cost: 2,000 Max paper weight: 200gsm Max paper size: A5 Insert deadline: Friday 10 July Last year s mailout DIGITAL Web Banner During Welcome Week and the following weeks is when we get the greatest amount of traffic to our website with over 44,600 visits last year. Take advantage of this peak period traffic and advertise through our web banner (subject to availability). Adverts need to be in.gif or animated.gig format. Dimensions (width x height) 468 pixels x 60 pixels Cost: 400/month from 21 September - 21 October Digital Panel Videos Is a still image advert not enough to get your message across to our students? Don t fear as we also offer video advertising opportunities through our 3 digital panels. Video adverts need to be in H.264/QuickTime (.MOV) - Dimensions (width x height) 1920 pixels x 1080 pixels Cost: 50/week per panel Please note: We recommend that you avoid having large amounts of white space in your ad content as it does not show up very well. Furthermore it is their responsibility that the information contained in the promotion is accurate and complies with the law. Sheffield Hallam Students Union will not accept any responsibility for misleading or inaccurate information supplied. Terms and Conditions 2.4 Where appropriate, proofs will be supplied. 2.5 Corrections and/or changes must be confirmed in writing. 2.6 Sheffield Hallam Students Union will not accept any responsibility for loss or damage resulting from error, late publication or non-publication or failure of any course. (A refund may be possible depending on the circumstances but not guaranteed). 2.7 Artwork or material must be supplied to Sheffield Hallam Students Union by the date required. 3. Payment: 3.1 Payment must be paid with 30 days of receipt of invoice. 3.2 All cheques are to be made payable to Sheffield Hallam Students Union. 4. Cancellations: All cancellations must be made in writing to the Marketing Department at Sheffield Hallam Students Union. Reasons need not be given. 4.1 Where cancellations are made 30 days (or less) prior the agreed promotional activity or publication 100% of the fee is chargeable. 4.2 Where cancellations are made 31 days or more prior to the agreed promotional activity of publication a full refund will be given provided that no expenditure has been made on our part regarding your campaign. 5. Artwork: If you are supplying finished artwork please supply in the following format: JPEG, TIFF, PDF, (EPS for clothing), (GIFF for web). 6. Liability: 6.1 In the event for any reason Sheffield Hallam Students Union shall cancel all or part of an event or publication or be unable to fulfil its obligations under the agreement the liability of Sheffield Hallam Students Union will be limited to a refund of any payments made by the client. 6.2 Sheffield Hallam Students Union cannot store any items/or be held responsible for any items left on site. 7. Signatory: Where the signatory does not have the authority to make payment and signs the booking form then Sheffield Hallam Students Union reserve the right to pursue the signatory themselves for outstanding monies. 8. The Law: It is your responsibility to fully read the terms and conditions. Please contact us if you have any queries. 8.1 Your bookings are only complete upon the receipt of confirmation from Sheffield Hallam Students Union. Completing the booking form therefore does not mean the booking is complete.
