3 About Us The Student Welfare Outreach Team (SWOT) is a high school outreach program that aims to improve the educational outcomes of students who are underrepresented in secondary schools across Victoria. At SWOT, we aim to emphasise the wellbeing and welfare of students during the stressful VCE period by equipping students with the essential skills needed for success. From humble beginnings courtesy of the University of Melbourne Medicine Student s Society (UMMSS), SWOT has grown immensely and provided academic and mentoring support to thousands of students over the years. In addition, the expansion of SWOT s repertoire of programs will further engage with students from both local and regional communities. SWOT has traditionally been very popular with high school students and volunteers alike. In 2018, SWOT was run by a team of around 100 dedicated volunteer staff from a diverse range of faculties and year levels, studying at a variety of universities across Victoria. Being entirely student run and not for profit, SWOT has a clear aim of assisting bright youths, with volunteers deeply invested in the education and prosperity of their students. Subprograms SWOT s subprograms of SWOT Masterclasses, SWOT Virtual, SWOT Week allows for a three-point integrated solution in improving VCE outcomes in both urban and rural areas of Victoria by delivering short-term class lessons, long-term online tutorials and a final revision week to consolidate VCE content. In 2018, we piloted a mid year SWOT Week during the winter break. SWOT Week The SWOT VCE Revision Week is an annual VCE exam revision program which has operated for the past 25 years and has traditionally been very popular with high school students and volunteers alike. In 2018, SWOT Week hosted a cohort of over 500 secondary school students. SWOT Week is held during the September school holidays, which coincides with the mid-semester break in Semester 2. The VCE Units 3 & 4 subjects that were on offer in 2018 were Biology, Chemistry, English, Further Mathematics, Mathematical Methods (CAS), Physics, Psychology and Specialist Mathematics. However, other subjects have been run in previous years (such as Health and Human Development and Legal Studies), yet this is dictated by the staff recruited and interest from both students and tutors alike. Each subject is run over the course of a day and the subject matter is broken down into a number of lectures, with supplementary tutorials to aid comprehension of the material. This format provides volunteers with the opportunity to lecture and teach subjects that they themselves have studied extensively. Furthermore, it provides high school students with a chance to revise for their VCE exams, whilst giving them a glimpse of what university is like. Participants are also provided with subject booklets that offer revision material and summaries. In 2018, we piloted the mid year SWOT Week during the Term 2 holidays (university winter break). Subjects were run as a half day of revision including lectures and tutorials. 2
4 SWOT Masterclasses The SWOT Masterclasses are a series of termly VCE workshops which aim to provide students from underrepresented schools with regular academic support to allow them to achieve their best and make the most of their Year 12 experience. In 2018, SWOT Masterclasses ran for its fourth year, with the original intention of bringing SWOT VCE Revision Week to schools throughout the year instead of just before exams. These are conducted once per school term excluding Term 4, for about 90 minutes. As of the end of 2018, SWOT Masterclasses is partnered with the following schools: Essendon Keilor College, Essendon Braybrook College, Braybrook Roxburgh Park College, Roxburgh Each masterclass is conducted by at least two university students who will be given the opportunity to travel to participating schools in metropolitan University of Melbourne. This will enable more intimate engagement with students and a richer learning and teaching experience. The masterclasses combine elements of classroom-style teaching, group discussions and active problem solving, all delivered with insight from recent high-school graduates to ensure students are offered tips that are most relevant to them. Each session, tailored to the participating school s requirements, aims to complement the support provided by schools to help students reach their full potential. Tutors are also provided with a rare opportunity to act as role models and demonstrate their leadership and communication skills, while making a tangible difference to bright young minds. SWOT Virtual SWOT Virtual launched in 2017 to complement SWOT Masterclasses and SWOT Week. The program runs for the entire year (March October) and provides private online tutoring to VCE students in rural or regional Victoria via online video conferencing. The nature of the program allows for tutoring to be tailored to the needs of individual students and their schools. Students participating in private lessons will have the option of revising VCE content or accelerating through the content. These sessions are encouraged to fall under the category of weekly or fortnightly lessons, however flexibility is an advantage of a program such as this. Tutors are allocated a maximum of two students. In 2018, SWOT Virtual continued to be partnered with Bendigo Senior Secondary College (in Bendigo) and Matthew Flinders Girls Secondary College (Geelong). SWOT Virtual Oral Language Program Its subprogram, the SWOT Virtual Oral Language Program (OLP), also uses the SWOT Virtual framework to support students with the oral language component of the LOTE examinations. The OLP only runs for a total of six weeks; starting in the last week of August and ending the week before the start of the oral LOTE examinations. In 2018, the OLP continued to be partnered with Drouin Secondary College (Drouin) for French. 3

6 SWOT Leadership Team (SWOL) The positions within SWOT can be explained as follows: The SWOT Manager is in charge of the entirety of the program and all volunteers across the subprograms. The Manager is also the point of contact between MUHI and SWOT. Each program has two coordinators in order to share the workload of the program and ensure that there is a back-up coordinator in the case where one coordinator is unavailable. These are the SWOT Week Coordinators, SWOT Masterclasses Coordinators and the SWOT Virtual Coordinators. They will be reporting to the SWOT Manager. The Project Officers have tasks delegated to them by the SWOT Manager and the subprogram coordinators. They will be reporting to all the coordinators and the manager, and will be delegated tasks depending on which event is upcoming. The Project Officer roles are split into specific tasks - Communications, Events, Finance and HR. The Subject Coordinators are in charge of their individual subject teams across all the subprograms. They report to the subprogram coordinators, depending on upcoming events, and facilitate the preparation of materials and running the events with their subject teams. The Tutors report to the Subject Coordinators and assist with running the events for SWOT. How to Apply SWOT runs several recruitment drives throughout the year. Tutors are recruited throughout the year, including the start of the school year and leading up to SWOT Week. 7 SWOT Subprogram Coordinators SWOT Week Coordinator Report to : SWOT Manager Commitment : On-peak: 10 hours/week, as well as attending SWOT Week, off-peak: 2 hours/week Purpose : The SWOT Week Coordinators are responsible for the planning, running and execution of SWOT Week (both mid-year and end-of-year). They ensure that the week of classes for students from underrepresented students runs smoothly and efficiently. Create a timeline with fellow SWOT Week Coordinator and SWOT Manager to keep track of progress Liaise with Subject Coordinators to organise a logistically sound SWOT Week timetable that accommodates for any other commitments and reduces student clashes Liaise with schools to promote SWOT Week and keep them up-to-date Create marketing materials for SWOT Week alongside the Communications Officer Maintain consistent contact with the rest of SWOL to share own ideas and progress, future plans and deadlines and to hold other collaborators accountable Prior experience in event planning and management is desirable, but not necessary Strong logistical planning skills Creativity and problem-solving skills Strong communication skills Confidence to reach out to and liaise with external parties 6
8 SWOT Masterclass Coordinator Report to : SWOT Manager, fellow SWOT Masterclass Coordinator, HR Officer Commitment : On-peak: 5 hours/week, off-peak: 2 hours/week. Purpose : The SWOT Masterclass Coordinators are directly responsible for the termly Masterclass program where SWOT sends small teams of tutors to disadvantaged and underrepresented schools in Victoria. You will be a direct leader for over 8 subject coordinators, and indirectly responsible for 70+ subject tutors. Liaise with schools to organise Masterclass dates that fit in between VCE SAC dates, holidays and other school activities Gather tutor availability and schedule subject timetables Attend SWOL meetings Communicating decisions, timelines (deadlines, class times) and required action with SWOL Delegate tasks to Subject Coordinators and hold them accountable Strong logistical planning skills Adaptable to last-minute changes Creativity and problem-solving skills Clear communication in order to eliminate ambiguity SWOT Virtual Coordinator Report to : SWOT Manager Commitment : At least 6 hours a week per Coordinator. Purpose : The SWOT Virtual Coordinators are directly responsible for the running of the SWOT Virtual program, a one-on-one online tutoring service for students from underrepresented regional schools. Create and implement an administration system to keep tabs on all SWOT Virtual tutors and students Reach out to schools to expand SWOT Virtual s reach Liaise with our current schools to further enhance our relationship with them Organise and run meetings, tutor training sessions and other workshops for the SWOT Virtual tutors Attend SWOL meetings Strong organisational skills Strong proficiency in Google Drive, especially Google Sheets In-tune with educational inequity and SWOT s vision and mission 7

10 SWOT Project Officers HR Officer Report to : SWOT Manager, SWOT Subprogram Coordinators Commitment : On-peak: 10 hours/week, off-peak: 2 hours/week Purpose : The HR Officer leads all recruitment drives throughout the year and ensures that SWOT complies with the non-for-profit volunteer organisational guidelines. Manage recruitment Organise and maintain an up-to-date volunteer database Ensure that SWOT is compliant to its organisational requirements, including Working With Children s Checks Training tutors Strong proficiency in Google Drive, especially Google Sheets Organisational skills Conflict resolution Events Officer Report to : SWOT Subprogram Coordinators, Subject Coordinators Commitment : On-peak: 12 hours/week, off-peak: 2 hours/week Purpose : The Events Officer is responsible for organise and running events that best assist students from disadvantaged backgrounds, as well as cultivate SWOT s culture. Organise the room bookings for SWOT Week Organise catering Communicate with fellow SWOL members to understand their needs during major events, such as SWOT Week Liaise with third parties Logistical planning Organisational skills Has a strong initiative Knowledge of University of Melbourne s Parkville campus is preferred 9
11 Finance Officer Report to : SWOT Manager, SWOT Subprogram Coordinators, MUHI Finance & Sponsorship Officer Commitment : On-peak: 6-8 hours/week, off-peak: 1-3 hours/week Purpose : The Finance Officer s role is to assist in development of budget, maintain accurate financial records, grant and sponsorship sourcing and application and liaising with MUHI Finance & Sponsorship Officer, other SWOL members and volunteer tutors to coordinate utilisation of the budget and reimbursement where necessary. Attend SWOL meetings Discussion with SWOT Manager and SWOL team members at the start of the year to formulate a proposed budget. Keeping members updated on the budget and tracking of expenses and incomes Coordination with SWOL team members to purchase supplies and printing of subject content. This is especially important for SWOT Week Regular reviewing and checking financial records Reimbursement for SWOL members and volunteer tutors for approved expenses used for SWOT Grant and sponsorship sourcing and applications. Once successful, liaising with stakeholders, updating them on the program and budget Past experiences in a similar role is highly preferred Strong working knowledge of methods on keeping financial records and on accounting standards Communications Officer Report to : SWOT Manager, SWOT Subprogram Coordinators Commitment : On-peak: 5 hours/week, off-peak: 2 hours/week Purpose : The Communications Officer is responsible for creating and implementing internal and external communications that best represent SWOT s vision and mission. Running and creating SWOT s marketing, such as on the MUHI website, newsletters Social media management, such as Facebook Communication with external stakeholders Strong knowledge on how to effectively market a volunteering organisation and its vision, mission and goals Working knowledge of how to use programs such as Photoshop 10

13 Tutoring Team The following subjects ran in 2018 (all VCE Units ¾): English Further Mathematics Mathematical Methods Specialist Mathematics Biology Chemistry Physics Psychology SWOT Subject Coordinator Report to : SWOT Subprogram Coordinators, HR Officer Commitment : On-peak: 5-10 hours/week, off-peak: 2-3 hours/week. Purpose : The Subject Coordinator orchestrates the development of their subject within the three SWOT subprograms along with their tutoring team. This will involve directing the vision of the program for 2019 with respect to content and lessons, meeting regularly with team members, reporting to internal management within SWOT and training team members. Organise meetings with your tutor team Review applications of volunteer tutor candidates during recruitment drives Run tutor training Develop a team spirit/dynamic to keep tutors engaged throughout the year Delegate teaching content creation with your tutor team and collating it Organise a running schedule for your subject for SWOT Week and Masterclasses, such as how you will run your classes, when and where they will be and lesson plans Demonstrate leadership by directing and managing the team on the ground at the SWOT events Engage with the Virtual tutors of your subject and provide them with support Communicate with teachers from Masterclass schools, other members of the SWOL team and your own tutor team Strong knowledge of the current VCAA study design for your relevant subject Note: The vast majority of study designs have have been altered around 2016/2017. Teaching skills, including creating lesson plans, creating engaging content, controlling the classroom, training other tutors on how to best teach Organisational skills Ability to delegate tasks effectively 12
14 Tutor Report to : SWOT Subject Coordinators Commitment : Off-peak: 2 hours/week, On-peak: 4 hours/week and travelling to and attending 90-minute Masterclasses and a full day of classes for SWOT Week. Purpose : Our tutors are the face of SWOT. They are the forefront of SWOT s subprograms. They deliver the content they ve created alongside their team Attendance at meetings run by Subject Coordinator are essential. Contribute to the development of materials and lesson plans for all SWOT events for their subject Travel to and run Masterclasses at our partner schools, once per school term. These go on for roughly 90 minutes Run a full day of classes alongside their team at SWOT Week Knowledge of the current VCAA study design for your relevant subject Previous tutoring experience is desirable, but not necessary.
