1 Role Description Title: Business Manager Location: Mary MacKillop Catholic College, Highfields Reports to: Principal Classification: $98,904 - $109,350 Directorate: Tenure: 1.0 Purpose The Business Manager is responsible for the financial, business and facilities management of the College and provides support to the Principal in these areas. The support provided by the role holder will be guided by Jesus Christ and his teachings as understood and passed on by the Catholic Church other Catholic Church teachings, principles and values relevant legislation, government requirements and best practice Diocesan Strategic Plan, mission, vision, policies, frameworks, procedures and guidelines Mary MacKillop Catholic College Strategic Plan 2.0 Experience and qualifications Essential formal qualifications at degree level in accounting or a related discipline, along with relevant post graduate qualifications including CPA status effective relationship building and influencing skills demonstrated experience working with the Microsoft suite of products advanced interpersonal and communication skills empathy with the values and ethos of the Catholic faith Desirable extensive and relevant experience as required by the employer to reflect higher levels of professional outcomes Role description and Duties statement Page 1 of 6
2 3.0 Key result areas 3.1 contribute to and promote the development, alignment, attainment and review of the strategic goals for the Diocese of Toowoomba Catholic Schools (TCS) 3.2 manage and report on all of the College s financial activities while implementing financial management strategies to ensure the management and application of all funds are in accordance with TCS operation plans and government legislation 3.3 manage the supervision, training and performance outcomes for non-teaching staff including: Administration and Finance, Grounds and Maintenance, Tuckshop, WHS, and Clothing Pool 3.4 supervise the management of all facilities in accordance with the College Master Plan including the maintenance of College facilities and equipment 3.5 collaborate and communicate with other members of the College and the members of the other directorates within TCS to ensure that high professional standards are met 3.6 complete other duties that are directed as needs change or grow, if the duties are consistent with the purpose of this position and any relevant legal and/or industrial obligations 4.0 Statement of responsibility 4.1 The incumbent performs the role cognisant of and in harmony with the vision and mission of TCS. 4.2 The incumbent will work cooperatively with other key stakeholders both within TCS and external agencies to ensure that services are delivered in a planned, coordinated and strategic manner. 4.3 The role holder will engage in performance reviews in accordance with TCS policy and procedure. 4.4 While at work the role holder must take reasonable care for his or her own health and safety take reasonable care that his or her acts or omissions do not adversely affect the health and safety of other persons comply, so far as the role holder is reasonably able, with any reasonable instruction that is given by the person conducting the business or undertaking to allow the person to comply with the Work Health and Safety Act cooperate with any reasonable policy or procedure of the person conducting the business or undertaking relating to health or safety at the workplace that has been notified to workers Page 2 of 6

No authority to commit or expend funds exists. 6.0 Reporting and other relationships The Business Manager reports directly to the Principal. Other significant relationships exist with members of the College Leadership Team; College Board and Finance Sub Committee; Toowoomba Catholic Schools Office (TCSO); the Executive Director and the members of the Executive Leadership Team (ELT). 7.0 Statement of duties The information detailed above is an accurate reflection of this role. 4 Duties statement Business Manager Please note: this statement links to the key result areas in the Role Description 3.1 contribute to and promote the development, alignment, attainment and review of strategic goals for the Diocese of Toowoomba Catholic Schools (TCS) contribute as a member of Mary MacKillop Catholic College to achieve the strategies set out in the Mary MacKillop Catholic College Strategic Plan and the TCS Strategic Plan attend professional development as appropriate document and report on the progress of initiatives in the Mary MacKillop Catholic College Strategic Plan and the TCS Strategic Plan as required 3.2 manage and report on all of the College s financial activities while implementing financial management strategies to ensure the management and application of all funds are in accordance with TCS operation plans and government legislation prepare, monitor and report on the annual budget, long and short range forecasting, as well as cash flows, in collaboration with the TCS and the Principal prepare Monthly, Quarterly and Yearly Profit and Loss Statements, Balance Sheet and Cash Flow Statements so as to analyse and report on variances from Actual to Budget to the required reporting entities liaise with TCSO to prepare draft Annual Financial Reports and the working paper file for auditors oversee the day to day management of College financial activities including but not limited to coding and costing, receiving of goods, authorising payments and invoices develop effective and efficient work systems for the office staff in the areas of financial and operational administration of the College including but not limited to receipting, banking, petty cash, ordering, creditors processing, and fee generation oversee all necessary monthly procedures to balance the general ledger accounts against the bank statements for working, investment and loan accounts of the College implement financial management strategies to ensure the management and application of all funds are in accordance with TCS operation plans and government legislation contribute as a member of the College Board Finance Sub Committee prepare in conjunction with relevant office staff, the annual census - State and Federal; Financial Questionnaires; relevant parts of Capital Grant applications and any other questionnaires (Queensland Catholic Education Commission) that are connected to the financial management of the College source and prepare grant application for capital projects Page 4 of 6
5 develop and maintain parent and past student network and liaise with these groups for social gatherings, donations and fund raising monitor College fees and levies collection and maintain accurate records and procedures for debt collection in line with Financial Management Guidelines administer/oversee all Workers Compensation claims and insurance matters in collaboration with the Principal and office staff at TCSO prepare the annual FBT return and quarterly BAS ensuring all GST items are coded correctly and general ledger accounts are reconciled prepare, review and maintain the College Asset Register ensuring asset details are correctly recorded, depreciated and disposed of ensure familiarity with the College data base system (SAS) to update knowledge on the latest improvements from a financial perspective liaise with the College Parent and Friends Association in the preparation of the Treasurer s report liaise with and monitor the College Uniform Shop external operators 3.3 manage the supervision, training and performance outcomes for non-teaching staff including: Administration and Finance, Grounds and Maintenance, Tuckshop, WHS, and Clothing Pool responsible for the daily supervision, training and performance outcomes for the following non-teaching staff across two administration sites: Administration and Finance, IT, Grounds and Maintenance, Canteen, WHS, and Clothing Pool liaise with the Principal, Health, Safety and Environment Advisor and College Health and Safety Coordinator in matters relating to Workplace Health and Safety to adhere to legislative requirements and TCS policy and procedure 3.4 supervise the management of all facilities in accordance with the College Master Plan including the maintenance of College facilities and equipment oversee the management of all facilities in accordance with the College Master Plan prepare and oversee the College Annual Maintenance Plan ensure all building, plant and equipment maintenance issues are tracked, recorded and completed in a timely and efficient manner ensure the presentation of the College property is of a high standard through monitoring of maintenance programs, budget, contractors and staff responsibilities participate as a member of the College master planning committee and actively engage with this committee Page 5 of 6
6 3.4.6 assist the Principal in monitoring building programs by liaising with architects, contractors, subcontractors and attending site meetings manage the hiring of College facilities and equipment by ensuring that hire contracts, public liability insurance, security deposits, access keys and security codes, payments and inspections are documented and comply with College public access procedure liaise with the Principal, Health, Safety and Environment Advisor and College Health and Safety Coordinator in matters relating to Workplace Health and Safety to adhere to legislative requirements and TCS policy and procedure 3.5 collaborate and communicate with other members of Mary MacKillop College and the members of the other directorates within TCS to ensure that high professional standards are met maintain highly functional and collaborative working relationships with colleagues by interacting effectively, contributing to discussions and seeking advice understand and accept the contributions of others in a multi-disciplinary and collaborative environment to provide a highly competent and seamless service to TCS establish and maintain effective communication networks with stakeholders work collaboratively with stakeholders 3.6 complete other duties that are directed as needs change or grow, if the duties are consistent with the purpose of this position and any relevant legal and/or industrial obligations duties may include the completion of project work that presents itself during the course of the operational and strategic review of the actions associated with the Mary MacKillop Catholic College Strategic Plan, TCS Strategic Plan or other directorate strategies I have read and understood this duties statement.
