1 Guildford s Yvonne Arnaud Theatre & the Mill Studio Millbrook, Guildford, Surrey, GU1 3UX The Yvonne Arnaud Theatre in Guildford was built by enthusiastic theatregoers and opened in It is one of the UK s leading producing and receiving playhouses with 2 auditoria (Main Stage 590 seats, Mill Studio 80 seats), a restaurant and cafe, bars and a riverside garden. Situated in the heart of Guildford in Surrey on the banks of the River Wey the theatre produces, presents and tours new plays, West End shows, classic and contemporary drama, opera, ballet, music and comedy as well as a variety of children s events. A pantomime, an art exhibition and a film season also feature in the year s programme. In addition to the above, the theatre s Youth Department offers an exciting mix of activities for young people and adults all year round, both at the theatre and through its outreach programme at schools and other local venues it currently caters for around 400 young people each week throughout the year. PRESS & MARKETING ASSISTANT Full time, permanent position Responsible to: Head of Marketing & Sales Salary: 15,000 per annum Holiday: 20 days per annum, plus statutory holidays on a pro rata basis Start date: Jan 2013 Hours: 35 hrs per week, normal office hours 9:30am 5:30pm and some evening work Probationary period: three months Notice period: two weeks within probationary period, six weeks thereafter
2 The Marketing and Press Department The Marketing and Press Department is situated in the Old Town Mill (housing the Mill Studio theatre) immediately adjacent to the main building. It has a small team of staff led by the Head of Marketing & Sales and includes a Marketing Officer, Press & PR Officer and Mailing List Administrator. 3 Press & Marketing Assistant Job Description Main Duties & Responsibilities To manage all Front of House (FOH) displays including current/future productions, creating attractive and informative displays and keeping print topped up daily To pro-actively develop the use of distribution lists and contacts and to ensure that YAT (Yvonne Arnaud Theatre) show print (including brochures, posters and leaflets) is distributed widely and comprehensively throughout the theatre s catchment area To manage the FOH community board and to organise reciprocal deals with other community venues to display print To plan weekly council poster displays; mark up posters and deliver to Council offices. To update display of leaflets at Council offices To co-ordinate weekly print mailings for all Main Stage and Mill Studio productions and other promotions under supervision from the Marketing Officer To co-ordinate the overprinting of all Mill Studio show print, including children s shows and for main stage shows, as and when required To update the Theatre s Facebook and Twitter pages on a regular (daily) basis, under guidance from the Marketing Officer To arrange ad hoc external displays, promotions and targeted distributions under supervision from the Marketing Officer To design the billboard on a weekly basis, check billing and spelling with producers, liaising with designers. To check the billboard on arrival at YAT and to deliver to Stage Door, ready for display To manage the print store, keeping it tidy and organised, co-ordinating deliveries, organising skips and print re-cycling when necessary and to update the print database with every new delivery
4 To organise the ordering of all stationery for the Marketing Department, as well as general office supplies and to keep up to date regarding stock levels To organise all marketing related archives; to record all shows and organise files and archives accordingly To monitor press coverage, and compile cuttings from newspapers and websites. Distribute copies on a weekly basis to various YAT departments, and file and scan original cuttings for archive To provide long-lead magazines with our events listings information and update local websites with our events listings To write press releases for the Mill Studio shows on an ad hoc basis To assist the Press & PR Officer with the New Season press release and New Season listings To assist the Press & PR Officer with all aspects of PR events, such as photo calls and personal appearances and to stand in for the Press & PR Officer on occasional press nights, as and when required To assist the Press & PR Officer in accompanying cast members to TV and radio interviews as and when required To assist the Press & PR Officer with all aspects of the pantomime press launch and subsequent related activities i.e. lights ceremonies, personal appearances To assist the Marketing Officer and the Press & PR Officer whenever necessary To carry out any other reasonable duties as required by the Head of Sales & Marketing or the Theatre Director
