1 ABOUT THIS OPPORTUNITY It s an exciting time for Link4Life and we have big plans to develop our culture and entertainment offer across our three venues. We are looking for dynamic individuals with a keen interest in live events and experience of live performance and events to join our developing team supporting our live performance, entertainment and events programmes at our venues: Middleton Arena Following a 15 million build in 2009, the Arena has quickly become an iconic building for Middleton. At its heart is a 500 seat auditorium providing space for comedy, live music, dance and a popular annual pantomime. It is a hub for local community groups and businesses for conferences, events and awards. In addition to the performance space, the venue has a licensed bar and café, a four-court sports hall, swimming pools, sauna and steam suites, squash courts and fitness facilities. Heywood Civic Centre - A multi-purpose entertainment and meeting venue seating up to 420 people, Heywood Civic Centre presents a range of live music, dance and drama productions and a weekly programme of workshops and classes for people to take part in. Touchstones Rochdale Touchstones Rochdale is a multi-purpose arts and heritage venue located in Rochdale Town Centre. It is home to the Borough s Museum and Art Gallery as well as Local Studies library, café and a 100 seat studio theatre. In addition to a range of exhibitions and participatory activities for all ages, the venue presents a growing programme of small scale touring productions and performances encompassing children s theatre, drama, comedy and live music. Initially the posts will be based in Middleton Arena and Heywood Civic Centre and offered as fixed term for 9 months with option to extend pending review. This is because we know that with your help we will develop our plans and thinking quickly as we grow our programming across the three venues and we want to ensure we have the flexibility to work with the right candidates to shape your future role with us. We operate and deliver activities at a range of sport, leisure, culture and recreation facilities including leisure centres, golf courses, museums, galleries and performance venues.

2 JOB DESCRIPTION Job Title: Job Reference No: Location: Grade / Band: Hours of Duty: Accountable to: Accountable for: Any Special Conditions: Event Officer L1751 Closing Date:22 nd August 2017 Middleton Arena and Heywood Civic Centre Band 3, Salary 16,541 to 19,705 per annum (pro rata for part time) 37 hours per week - This post is initially offered on a fixed term basis for 9 months with the option to extend pending review. Includes days, evenings, weekends and Bank Holidays. Postholders will be required, with reasonable notice, to change shifts as and when required to meet business needs. Duty Manager Box Office Duties, Reception Duties, Caretaking, Porterage & Maintenance, Centre Operations. Evening and weekend working will be required as directed by the service. This may also include providing these services at any other Link4Life facility should it be deemed necessary. PURPOSE AND OBJECTIVES OF THE JOB Link4Life and its partners at RMBC work within national guidelines and legislation. There is no provision for smoking. 1. To ensure the direct and indirect effective requirements of box office sales across Link4Life venues including HCC and Middleton Arena and any other event at any other site 2. To provide Reception duties with excellent customer service provision including face to face, telephone calls, and social media. 3. To ensure facilities are safe and presented to an exemplary standard and that equipment is set up and taken down to meet event needs as required. 4. To support producers, performers and hirers in the safe planning and execution of events ensuring they commence on schedule with suitable preparation of rooms, facilities and equipment. 5. To ensure security and maintenance of premises, materials and equipment. 6. To ensure all services offered are available as prescribed and that customers enjoy high levels of satisfaction Principle Duties 1. Box office duties including use of computerised ticketing and diary systems. Sale of tickets and other merchandise, extracting various reports from the software systems including XN, Artifax and Databox.

3 2. Taking admission fees for regular events. 3. Reading the till and compiling daily cash sheets. 4. Operation of debit card payment system. 5. Deliver the day to day operation of the Civic Centre by providing admin and finance functions 6. To act as receptionist at the Civic Centre. Dealing with a variety of telephone and counter enquiries from members of the public, council officers and elected members. Ordering of provisions and equipment/recording of goods received and processing of invoices including the use of Civica and e-procurement. 7. The cleaning and minor maintenance of the centre premises, furniture/fittings, equipment and surrounds areas (car parks etc.) to the required standards and in supervising the cleaning staff as necessary 8. To operate the heating/domestic hot water and ventilation plant and the reduction of utility consumption. 9. To assist in the preparation of the various areas for training courses, exhibitions and other activities 10. To complete, authorise and forward time sheets and holiday request forms to the Civic Centre management 11. To assist with enquiries from all persons using the centre. 12. To act as a cellar person within the bar service including keeping the cellar and bar area clean, tidy and in a safe condition. 13. To assist management or their representatives in conducting pre event meetings with customers to determine event needs. 14. To provide cleaning and housekeeping service either indoors or outdoors. 15. To work before, during, after events held at the Civic as required. Secondary Duties 1. To participate in any training initiatives, as trainer or trainer/assessor, in relation to the duties of the post and ensure that personal qualifications are kept valid via attendance to training as provided by the service as reasonably practicable. 2. To provide cover as necessary in the absence of staff. 3. To work at other venues as required to which advance notice and training will be provided. Responsibilities The Post holder must: - 1 Perform his/her duties in accordance with the Trust s Equality and Diversity Policy. 2 Ensure that Trust s commitment to public service orientation is provided.

4 Health & Safety The post-holder must be aware of safe working practices in connection with cleaning and housekeeping and the importance of COSHH regulations. A high standard of personal hygiene and personal presentation is required at all times. The post-holder will be responsible for the health, safety, and welfare of himself/herself and other persons who may be affected by his/her actions or omissions whilst at work. Control of Resources All relevant personnel Relationships Internal Including Staff and senior managers within Link4Life, Rochdale Boroughwide Cultural Trust, Members of the Cultural Trust Management Board. External Customers, Hirers, General Public, External Partners. Financial Responsible for cash reconciliation, monies and stock in line with approved Financial Regulations and Procedures of the Company. Buildings/Equipment/Materials Responsible for cleaning equipment and materials, cash, re-saleable items, customers valuables, portable furniture, scaffolding and reporting faults and defects. Health / Safety / Welfare The postholder is responsible for the health, safety, and welfare of himself / herself and other persons who may be affected by his / her actions or omissions whilst at work. Additionally, he / she is responsible for maintaining and implementing the requirements of the Health and Safety at Work Act and for the execution of any duties and responsibilities attached to the post within the Company s Health & Safety Policy and Procedures. Training and Development The post holder will be responsible for assisting in the identification and undertaking of his / her own training and development requirements in accordance with the Company s Employee Development Scheme. Data Quality To ensure that the Company s policy and procedures in respect of Data Quality is adhered to consistently and at all times in respect of any data collected or used in the planning and delivery of services. Performance Management To promote and practice a performance management culture within all facilities and services within the postholder s remit, including the setting of team and individual performance targets and the implementation of robust monitoring, evaluation and reporting systems.
