Position Overview Reporting to the Chief Financial Officer and responsible for a small team of staff this position will provide leadership and management of Outlooks Financial Services. This role is responsible for ensuring finances are prepared accurately ensuring attention to detail is paramount and within Outlooks timelines. You are to ensure Finance related policies and procedures are adhered to and up to date and take a lead in managing staff and being proficient in Contract Management. This position is located at Outlooks Head Office and is largely office-based, requiring a considerable time seated at a desk in front of a computer. Some driving is required to visit Outlooks various sites located across the Peninsula, northern Melbourne and Southern suburbs. The Accountant has 5 key areas: Contract Management Payroll Management Accounts and Asset Management Staff Management CORP-HR-PD-Accountant Page 1 of 8

2 Administrative Tasks Contract Management Set up and maintain a Contractors schedule Ensure accuracy of all contractor contracts Ensure weekly reporting to the Chief Financial Officer on contracts (new, out of date, increase required in 2 months etc.) Ensure items such as CPI changes, contract amendments etc. are updated on the contractors schedule and are reported weekly to the Chief Financial Officer Uploading Contracts to Outlooks Document Management System once received (ensure done weekly as a minimum) Outlooks are filed in Alphabetical Order and easily accessible (in Chief Financial Officers Office) Formally report on contract updates and changes in line with Management Reporting requirements as set by the Board of Management (currently bi-monthly) Ensure Outlook s policies and procedures are adhered to in relation to preferred suppliers Payroll Management Ensure Outlooks policies and procedures are adhered to in regards to pre-employment processes and new employees Prepare of all employment contracts ensuring information therein is accurate, looks professional and conditions of work are clearly identified Ensure staff are paid in line with the relevant Award or EBA File all staff files alphabetically and ensure filing cabinets are always locked Prepare a monthly report for the Finance Manager on FTE staff, number of staff, RTW/Workcover hours, LTI hours and other items as requested Monthly Preparation of financial figures for RTW as required Process all accruals associated with payroll ensuring accuracy and review monthly actuals against budgeted figures Reconcile regularly all Superannuation, union and backpay accounts Liaise with external payroll provider in relation to new/terminated staff, LSL reporting, and other reporting requirements as requested CORP-HR-PD-Accountant Page 2 of 8

3 Submit Centrelink related documentation via the portal on a fortnightly basis and liaise with Centrelink staff as required Upload payroll information into rostering system and advise payroll provider Liaise with payroll provider on staff queries CORP-HR-PD-Accountant Page 3 of 8

4 Accounts Management Maintenance of the General Ledger Ensure accuracy of accounts for reporting to Management and the Board Ensure that end of month financial reports prepared by the Operating and Environmental Bookkeepers are accurate and that comments are complete, meaningful and relevant Ensure monthly financial reports are presented in a professional manner Compile reports for Management and Finance Sub-Committee reporting requirements (Bound reports) Reporting against Budgets to the Senior Management Team and the Board Maintenance of Monthly Asset and Depreciation Schedules including Journals Do all bank reconciliations for all bank accounts Assist in the preparation of Annual Budgets for all Divisions with both the Operating and Environmental Bookkeepers Preparation of weekly Cash Statement for the CEO, DCEO, Treasurer and Chief Financial Officer Process payments ensuring accuracy of payments and timeliness and in conformance are within Outlook and the Contractors terms of payments Ensure Debtors are managed well consistent with Outlooks terms of trade BAS and PAYG Preparation and Processing Ensure a Cross Check is performed on all site generated income against Spreadsheets and Registers Be the contact for the auditors when performing their yearly Financial Audit Be a backup for and assist team members as required Be a backup for and assist the Chief Financial Officer as required Undertake other duties as directed by the Chief Financial Officer CORP-HR-PD-Accountant Page 4 of 8

5 Staff Management Administrative Tasks Foster an effective team environment, contributing to staff development and performance Ensure staff undertake their duties as per their position descriptions Review position descriptions ensuring they are relevant to your staff for the duties required in line with recommendations from the Chief Financial Officer Monitor performance of staff regularly and undertake yearly performance appraisals Provide direction and support to staff as required Maintain staff training Ensure that staffing issues are dealt with in accordance with Outlook s policies and procedures Ensure reports are submitted in a timely manner Present information for bi-monthly management review meetings on targets, training, staffing turnover, FTE etc File paperwork and work towards a paperless office Review the reconciliation of Telstra expenses prepared monthly Review the reconciliation of MV expenses ensuring staff are arranging for vehicles to be serviced Act as primary contact for Telstra regarding issues and purchases Manage Insurance with the assistance of the Chief Financial Officer Occupational Health and Safety Reporting and B.I.S.U meeting attendance Attend management meetings and meetings where the Chief Financial Officer is unable to attend Establish a warranty schedule to be updated when items are purchased etc Key Selection Criteria Selection will be based on assessing an applicant s skill, knowledge, past performance and other personal qualities relevant to the work assignment, as listed below. 6 Mandatory Completed an Accounting Degree (meet Australian requirements) and working towards CA or CPA Attention to detail and ability to problem solve is a requirement Excellent English verbal and written communication skills Have a minimum of 5 years experience in an Accounting Role in Australia (essential) Prior working knowledge of Australian Accounting Standards Intermediate Excel and Word skills Be highly organised, demonstrated initiative - must be able to meet deadlines Be proficient in all aspects of accounting including EFY reconciliations Demonstrated experience in day to day supervision of people and teamwork Demonstrated MYOB EXO experience Problem solving skills Must have a current Victorian drivers license Police and Working with Children s Check at personal expense Ethics and confidentiality a must Desirable Demonstrated experience in operating as part of an organisational team General Employment Information A bright personality, a sense of humour and a strong sense of initiative Be committed, self-motivated and resourceful.
