1 JOB DESCRIPTION Job title: Graduate SITS System Support Officer Grade: This post has been evaluated at Grade 3 Responsible to: Head of Strategic ICT Date: February 2016 Job purpose: This role is designed to give recent graduates in a computer science related discipline the opportunity to use their skills and knowledge assisting the ICT Team with the on-going support and maintenance of the technical infrastructure of the University s student records system (SITS). This role provides essential technical support for both the back office system and its webbased functionality, e:vision. The post holder will be responsible for supporting and development of admissions and applications system areas. Under the supervision of the Head of ICT the role will support the day-to-day and periodic maintenance of the SITS system, document processes (both existing and under development). Main duties and responsibilities 1. With guidance from the Head of ICT take the lead for the support of applications and paperless admissions and assist with development of the SITS e:vision portal in particular the development of additional IPP Application Forms. 2. To assist with the day-to-day and periodic maintenance of the SITS system, and document processes (both existing and under development). HERA\NS\0786\Feb2016

To be the technical point of contact with the external software provider (TRIBAL) and the UCAS Technical Team for support calls and technical issues regarding the admissions product area, and to be the internal technical contact for admissions colleagues and for applicants as required. 4. To monitor internal SITS support calls and be an initial point of contact for all support calls and s to the SSD team. 5. To proactively liaise with admissions colleagues to understand and identify user requirements and to work responsively and collaboratively with them, ensuring that regular and timely communication, technical advice and guidance is provided. 6. To keep abreast of changes to academic course provision and work closely with Marketing and admissions to ensure any associated development is timely and planned to avoid delays to applicants. 7. To provide additional technical support for the Head of Strategic ICT in the development of the SITS system and support applicants using IPP with credentials and access queries. 8. To continue development and implementation of SITS admissions projects under the guidance of the Head of Strategic ICT. 9. To assist with the delivery of training and support for end users on both IPP and paperless admissions and to produce documentation and user-friendly training manuals for use of the system. 10. Ensure all training documentation is updated and kept within a central area, accessible to all end users, and react promptly to requests for training and changes to documentation. 11. To provide regular updates on various SITS projects to key stakeholders. 12. Under the guidance of the Head of ICT develop technical expertise and assist with support for the admissions area of SITS including role groups and access requirements, with a view to pre-empting potential issues and suggesting possible solutions wherever possible. 13. To integrate new systems and processes into the SITS and other University systems 14. To help manage the e:vision applicant portal and ensure all support calls are resolved as priority. 15. To assist with all technical problems with the admissions system both internal to the system and end user related. 16. To assist the SITS team with patches (regular) and upgrades (bi-annual) of the system and associated testing. Page 2 of 5
3 17. To monitor the consistency of data backups and assist the SITS team to perform regular disaster recovery tests for the system. 18. To instigate regular liaison with central IT Services to assist ensuring consistency of standards and support. 19. To assist the SITS team with report writing and batch letter processing 20. To ensure data protection is adhered to at all times. 21. To keep up-to-date with current developments and changes in computing and information technology, and their methods of delivery, and particularly within the MAS and IPP areas of SITS 22. To attend and participate in meetings as required, including attending user groups external from the University actively engaging with the SITS community through the forum and with the UCAS Technical community through bulletins. Understanding of database design and experience writing SQL queries. Knowledge and excellent grasp of HTML5/CSS3. Some working knowledge of JavaScript, experience with JQuery Comfortable working within Windows environment An interest in working within the HE sector Attention to detail and troubleshooting skills Excellent interpersonal skills including the ability to communicate effectively verbally and in writing, to explain complex technical information in plain English Very good analytical and problem solving skills, with the ability to identify technical solutions with attention to detail. Demonstrate aptitude to deliver training and briefings Ability to deliver small scale projects Ability to work on own initiative as well as part of a team.
