8 Overview ARGUS Enterprise XL4ADW is a Micrsft Excel ffice business applicatin (OBA) that enables yu t cnnect t an authrized ARGUS Enterprise (AE) database and extract, manipulate, and imprt data back int AE. It appears as an Excel Add-in and is autmatically installed with ARGUS Enterprise. This tl is designed t help AE users leverage and mdify the data that resides in AE mdels. The user can update a wide range f prperty, tenant, and market infrmatin fr multiple prperties n a mass scale. Due t the cmplexity f calculatins in AE, this tl des nt cver every single data item. The gal is t prvide as many data items as is feasible. 9 Minimum System Requirements ARGUS Enterprise The minimum requirement t run XL4ADW is Micrsft Excel The wrksheets must be saved in 2007 frmat r later in rder t wrk with this add-in. 10 Ptential Uses There are 3 ptential uses fr XL4ADW: Extracting Calculated Results frm AE Imprting Mdeling Assumptins t AE Mdifying Existing Mdeling Assumptins in AE Extracting Calculated Results frm AE Yu can extract calculated results data frm AE int wrksheets fr use in internal systems r reprting. Nte: Results sheets cannt be imprted back int AE. After Cnnecting t AE, see Create Results Sheets fr the steps t create the sheets. Imprting Mdeling Assumptins t AE Yu can create a new scenari in AE and then ppulate the mdel with the assumptins data in a mass imprt. See Create Input Sheets fr the steps t create input sheets. Mdifying Existing Mdeling Assumptins in AE Yu can pull the existing Assumptin Inputs int pre-frmatted wrksheets where yu can make changes t the data and push that data back int AE. 11 The last step in the imprt data prcess is the AE Data Exceptin Validatin step. This is a prcess n its wn. AE Data Exceptin Validatin If the data being imprted int AE des nt crrespnd t the business and systems rules fr the prperty assets in AE, the recrds will be skipped in the imprt prcess. They will errr ut in the jb. Yu can analyze and/r fix these imprt errrs befre pushing the data back int AE. See AE Data Exceptin Validatin fr this prcess. 12 Cnfiguratin ARGUS Enterprise AE must be able t assciate the data acrss all f the wrksheets with the crrespnding prperty r tenant. Since AE users vary n their use f external IDs, several methds may be used. In AE, g t File>Cntrl Panel>XL4ADW Settings External ID Optin System Managed - Use Name Field This setting will use the current name field as the external ID. Existing external IDs that yu set will be changed the next time the prperty is saved. Additinal Optin Checkbx: Ppulate Lease ID if Empty On save, any missing lease ID field will be ppulated with the integer lease ID. Disable the checkbx if yu are ging t manage the system ID. System Managed Use Lease and Accunt IDs if available (default value) If Lease/Accunt IDs are nt entered, then the system will use the Name field Prperty asset the External ID Lease the Lease ID Operating Expense the Accunt ID Capital Expense the Accunt ID Other Revenue the Accunt ID Parking Revenue the Accunt ID Strage Revenue the Accunt ID Accunt Data Item the Accunt ID All ther data views Name User will Manage External IDs The External ID field will becme available when this ptin has been selected. Imprt Errr Optin Fails n Errr Rws (default) Fails n Any Errr Number f Days t retain imprt data User Ntes Defines the length f time that imprt data will remain in the database befre it is autmatically cleared ut. Defines scheduled time fr clearing imprt data. Specifies the time f day that the autmatic cleanup tasks will run n the database. 14 Cnnecting t AE 1. Use the Cnnect t AE buttn and Chse Cnnectin t ARGUS Enterprise using an existing cnnectin r create a new ne. ARGUS Enterprise 2. In the Manage Cnnectins windw, click Cnnect t cnnect using the existing Default cnnectin. 3. Yu can edit the current cnnectin settings thrugh Edit Settings. 4. Click n New Cnnectin t create a new cnnectin using the Wrkstatin Cnnectin r directly thrugh a Client-Server cnnectin. Cpyright 2018 ARGUS Sftware Inc Altus Grup 12

15 5. Yu will need the server lcatin and database name frm yur cmpany netwrk administratr. Refer t the ARGUS Installatin dcumentatin fr instructins n hw t cnnect t the server. 6. 16 Create Results Sheets 1. Click n the Cnnect t AE buttn t cnnect t ARGUS Enterprise. ARGUS Enterprise 2. Click n Create Results Sheets buttn t launch the Create Results Sheets Wizard. 3. Select Add New t create new lad presets r select Last Used t lad the mst recent set f sheets available. Click Next. 4. Select the Sheets and Clumns fr the results data that yu want t extract frm AE. Each f the three sheets will be a separate wrksheet in the Excel wrkbk. Expand the arrws t select the available clumns t display fr each sheet. Cpyright 2018 ARGUS Sftware Inc Altus Grup 14

17 KPI Results - This sheet is used t pull back key perfrmance indicatr (KPI) data. Yu can select a number f nn-time series clumns fr inclusin in the sheet as well as specify the time series data that is retrieved frm the AE database. Prperty Asset Results - Financial results fr prperty assets. Prperty Other Items - Time series data nt available in Prperty Asset Results. Tenant Other Items - Time series data nt available in Tenant Results. Tenant Results - Financial results fr tenant assets. 5. The Save as preset ptin can be selected t create a custm preset template. 6. Select Share with ther users t allw yur preset t be available t ther users in yur cmpany. Click Select All and Next. 7. Select Generate Empty Wrksheets t generate the AE frmatted wrksheets withut data. Blank sheets can be ppulated with data at any time using the Get Results Data ribbn buttn t launch the Fill Result Sheet wizard. 8. Select Fill Sheets with AE Data t generate AE wrksheets with the results data. This step essentially creates the empty wrksheets and then autmatically launches the Fill Result Sheet wizard t fill in the sheets. 9. Click Finish t launch the Fill Result Sheet wizard. 18 Get Results Data ARGUS Enterprise 1. Select the sheet t fill results data in. Only ne sheet can be selected at a time. T fill the ther sheets, at the end f this prcess, click n Get Results Data frm the ribbn buttns t launch this wizard again and select the next sheet t fill. Click Next t cntinue. 2. The Lad Prperties Preset tab allws yu t lad a previusly saved set f prperties r click n Next t create a new set f lad prperties. 19 3. The Select Prperties tab allws yu t select the prtfli, scenari and prperties t extract data frm. Yu can als include the Classificatins (Fund, Regin, Asset Manager, Prperty Manager) t display with the prperties. The Save Prperty Set allws yu t save a custm prperty preset. Check Is Shared t allw presets t be available t ther users in the cmpany. Select the prperties in the grid and click Next t cntinue. 4. 20 5. Select the time series data t ppulate the spreadsheet. Click n the arrw t expand the available data items. Yu can select and drag single r multiple data items t the right r use the Add and Remve buttns. Click Next t cntinue. 6. Set the Start Date and number f years f analysis data t dwnlad. Select the Reprting Interval. 7. Check Save as preset t save this time and intervals preset. Prvide a custm name and Share with ther users t make this preset available t ther users in the cmpany. 21 8. Select the Data Cnfiguratin fr Actuals, Budgets and Frecast data. 9. The end dates fr the Actual and Budget Values in the Scenari Settings are displayed accrding t the settings in AE fr that scenari. They are read nly here in the wizard and s are nt editable. 10. Select either Use Scenari Settings r Use Prperty Settings under Select Currency and Measure as the basis fr currency and measure in the calculated results. 11. 22 Create Input Sheets 1. Click n the Cnnect t AE ribbn buttn t cnnect t ARGUS Enterprise. ARGUS Enterprise 2. Click n Create Input Sheets t launch the Create Sheets Wizard. 3. Select Add New t create a new set f input sheets and clumns. If yu have previusly created input sheets and clumns within this cnnectin, yu will see Last Used as well. Yu can select this t lad the last saved input presets. Click Next. 4. Select the input sheets and clumns t be created in Excel. Each sheet will be a separate wrksheet in the Excel wrkbk. Click n the arrw t expand each heading t shw the list f available clumns. 5. Optin: Select the Save as preset ptin, and enter a custm name fr this template. Select the Share with ther users ptin t allw yur preset t be available t ther users in yur cmpany. 6. T prduce a cmplete set f wrksheets, click Select All. Click Next t cntinue. 23 7. The Generate Empty Wrksheets ptin will generate blank wrksheets in Excel. The data can then be filled using the Get Input Data ribbn buttn at any time. 8. The Fill sheets with AE Data ptin will generate the blank wrksheets and autmatically launch the Get Input Data Frm AE wizard t walk thrugh the fill data prcess. 9. Fr the purpses f inputting yur wn assumptins data t imprt t AE, select Generate Empty Wrksheets and click the Finish buttn. 10. The input sheets are created in the wrkbk with n input data frm AE. Yu can nw input yur wn mdeling assumptins data nt these sheets and d a mass lad int AE using the Send Data t AE ribbn buttn. See Send Data t AE t lad the data t ARGUS Enterprise. 25 Get Input Data 1. This wizard will walk thrugh the prcess f getting the input data frm AE t fill the input sheets. ARGUS Enterprise Select the wrksheets that yu want t fill the input data frm AE with. Click Select All and Next t cntinue. 2. Select Add New t create new lad presets. If available, yu can select Last Used t lad the last used lad preset r a previusly saved preset. Click Next t cntinue. 3. Select the Prtfli, Scenari and Prperties t retrieve data frm. Yu can als include the Classificatins (Fund, Regin, Asset Manager, and Prperty Manager) t display with the prperties. The Save Prperty Set allws yu t save a custm prperty preset. Nw that yu have the excel sheets ppulated, yu can mdify and/r add data in the sheets. T send the mdified data back int AE, see the next sectin n Send Data t AE. 27 Send Data t AE 1. Click n Send Data t AE ribbn buttn t launch the Imprt Data Int AE wizard. This prcess allws yu t push the infrmatin frm previusly dwnladed wrksheets int a selected AE scenari. ARGUS Enterprise 2. Select the sheets cntaining the data that yu want t imprt t AE. This list shws all the sheets that are currently pen in the active wrkbk. Click Select All t chse all the sheets. 3. The red validatin errrs are the errrs that will be run against each field t make sure thse validatins are applied. 4. The yellw warnings are the warning validatins that will be applied. These can be deselected t skip ver these validatins. 5. The infrmatinal validatin can be selected t ignre the skipped rws and clumns r deselected t include them in the validatin run. 6. Click Validate Sheets t review ptential prblems in the Apply Validatin Results windw. Cpyright 2018 ARGUS Sftware Inc Altus Grup 25

28 7. The cunts fr the number f fails in the validatin rules appear n the right windw. It als appears n the left windw next t the sheets where the errrs are fund. 8. A pane n the left f the Excel wrkbk will appear with the validatin errrs. Yu will have t click Cancel n the wizard t clse it and wrk n the validatin errrs in the Excel wrkbk. 9. In the validatin pane f the Excel wrkbk, click n the arrw t expand the sheet t see the errrs. The vilatin messages will appear. Duble-clicking n the errr will highlight the sheet and cell in the wrkbk where that field is being vilated. 10. 29 11. This tab shws the validatin results and messages fr the prperty assets. The Actin clumn tells yu hw the recrd was handled. Click Finish t cmplete the imprt prcess. Nte: This imprt will use the failure rules yu created in the Imprt Errr Optin sectin f the XL4ADW Settings Cnfiguratin in AE. The ptins were: Fails n Errr Rws Only (default) Fails n Any Errr The default setting will allw all data fr a particular prperty t be imprted except fr specific rws that have issues. Sme users might prefer t have the entire prperty t fail if there are any errrs present. 12. Yu can click n Jb Details while the imprt prcess is happening t view additinal infrmatin regarding the imprt. Click Clse t clse the dialg. This ends ur prcess f imprting data t AE. 30 AE Data Exceptin Validatin ARGUS Enterprise 1. At the end f the imprt data t ARGUS Enterprise prcess, sme recrds may nt have been able t be imprted due t data exceptins with the prperty assets in AE. These errrs can be viewed and fixed and then re-sent t AE. (The Queue pane can als be viewed by clicking n the View Task Pane ribbn buttn.) 2. Click n Analyze abve t bring up the Jb Analysis Grid windw. 3. T see the errrs and their messages, yu can exprt and save the recrds t a wrkbk. 4. 32 Exprt Errr Rws Only Exprts nly the errr rws 5. Fix the errrs n the wrksheets. The errr messages are under clumn ETLErrr. Under the first clumn Actin, click n the cell t see the drpdwn f the pssible actins that can be taken n each recrd. Yu can SKIP the recrd upn imprting t AE, INSERT a new recrd t be added t AE, DELETE the recrd frm AE, REPLACE the recrd upn imprting t AE, r leave the cell blank t imprt the recrd t AE. Nte: After fixing the errrs fr each errr rw, change the Actin cell frm SKIP t blank. Delete the tw clumns ETLPrcessed and ETLErrr. 6. 33 Other Functinality ARGUS Enterprise There are ther functinalities in the ARGUS Excel Add-in. They are listed and described belw: Yu can click n the Validate Sheets icn in the ribbn buttns t launch the Validate Data In Selected Wrksheets wizard t validate yur wrksheets. 34 View Task Pane The View Task Pane icn in the ribbn will insert/hide the Queue/Validatin/Scheduled Cleanup Jbs Pane t the left in Excel. 1. Click n the Queue tab. This tab can be selected when yu clse the imprt data dialg during the Imprt Data Int AE prcess. 2. The tab lists the jbs that have been submitted, the jb statuses as well as the submitted dates. It lists the queued jbs and their statuses. 3. Yu can Pause the Queue r Start the Queue, Cancel running jbs, see Jb Queue Details, Analyze the jb results and Clear the ETL imprt table data fr the jb. 4. Click n the Scheduled Cleanup Jbs tab. 5. This tab lists the scheduled cleanup jbs based n Date and Time. There is ne cleanup task displayed per imprt. 6. 35 Create Reference Sheet The Reference Sheet represents the drp-dwn ptins available thrughut the set f wrksheets. The sheet is autmatically generated when a set f wrksheets is dwnladed frm AE. As updates are made t AE, the sheets may need t be refreshed if the user keeps using the same sheets t imprt data. Click the Create Reference Sheet t update the reference sheet. If the reference sheet is missing, a new sheet will be created. Nte: The reference sheet is a prtected sheet. The nly way t make changes in the reference sheet is t update it with the buttn. 36 Time Series Clumns There are certain time series data clumns in the wrksheets which may appear cncatenated, making it difficult t view their cntents. The Time Series Clumns buttns in the ribbn allw yu the view these clumns in an easier way. Analyze Data Psitin the cursr n a time series cell and click n the Analyze Data icn in the ribbn. 37 Expand Series Psitin the cursr n a time series cell and click n the Expand Series buttn t bring up the Time Series Clumn Expansin dialgue.
